Introduction

Whenever you create a new presentation in PowerPoint, you'll need to know how to save in order to access and edit it later. As with previous versions of PowerPoint, you can save files to your computer . If you prefer, you can also save files to the cloud using OneDrive . You can even export and share presentations directly from PowerPoint.

Save and Save As

PowerPoint offers two ways to save a file: Save and Save As . These options work in similar ways, with a few important differences.

  • Save : When you create or edit a presentation, you'll use the Save command to save your changes. You'll use this command most of the time. When you save a file, you'll only need to choose a file name and location the first time. After that, you can just click the Save command to save it with the same name and location.
  • Save As : You'll use this command to create a copy of a presentation while keeping the original. When you use Save As, you'll need to choose a different name and/or location for the copied version.

About OneDrive

Most features in Microsoft Office, including PowerPoint, are geared toward saving and sharing documents online . This is done with OneDrive , which is an online storage space for your documents and files. If you want to use OneDrive, make sure you’re signed in to PowerPoint with your Microsoft account. To save a presentation:

It's important to save your presentation whenever you start a new project or make changes to an existing one. Saving early and often can prevent your work from being lost. You'll also need to pay close attention to where you save the presentation so it will be easy to find later.

Clicking the Save command

  • If you're saving the file for the first time, the Save As pane will appear in Backstage view .

Clicking Browse

  • The Save As dialog box will appear. Select the location where you want to save the presentation.

Saving a presentation

  • The presentation will be saved . You can click the Save command again to save your changes as you modify the presentation.

You can also access the Save command by pressing Ctrl+S on your keyboard.

Using Save As to make a copy

If you want to save a different version of a presentation while keeping the original, you can create a copy . For example, if you have a file named Client Presentation you could save it as Client Presentation 2 so you'll be able to edit the new file and still refer back to the original version.

To do this, you'll click the Save As command in Backstage view. Just like when saving a file for the first time, you'll need to choose where to save the file and give it a new file name .

If you don't want to use OneDrive , you may be frustrated that OneDrive is selected as the default location when saving. If you find this inconvenient, you can change the default save location so This PC is selected by default.

Using AutoRecover

PowerPoint automatically saves your presentations to a temporary folder while you are working on them. If you forget to save your changes or if PowerPoint crashes, you can restore the file using AutoRecover .

To use AutoRecover:

  • Open PowerPoint. If autosaved versions of a file are found, the Document Recovery pane will appear.

By default, PowerPoint autosaves every 10 minutes. If you are editing a presentation for less than 10 minutes, PowerPoint may not create an autosaved version.

If you don't see the file you need, you can browse all autosaved files from Backstage view . Just select the File tab, click Manage Presentation , then choose Recover Unsaved Presentations .

Exporting presentations

By default, PowerPoint presentations are saved in the .pptx file type. However, there may be times when you need to use another file type , such as a PDF or PowerPoint 97-2003 presentation . It's easy to export your presentation from PowerPoint to a variety of file types.

  • PDF : This saves the presentation as a PDF document instead of a PowerPoint file.
  • Video : This saves the presentation as a video.
  • Package for CD : This saves the presentation in a folder along with the Microsoft PowerPoint Viewer, a special slide show player anyone can download.
  • Handouts : This prints a handout version of your slides.
  • Other file type : This saves in other file types, including PNG and PowerPoint 97-2003 .

To export a presentation:

In our example, we'll save the presentation as a PowerPoint 97-2003 file.

  • Click the File tab to access Backstage view .

You can also use the Save as type drop-down menu in the Save As dialog box to save presentations in a variety of file types. Be careful to choose a file type others will be able to open.

Sharing presentations

PowerPoint makes it easy to share and collaborate on presentations using OneDrive . In the past, if you wanted to share a file with someone you could send it as an email attachment. While convenient, this system also creates multiple versions of the same file, which can be difficult to organize.

When you share a presentation from PowerPoint, you're actually giving others access to the exact same file . This lets you and the people you share with edit the same presentation without having to keep track of multiple versions.

In order to share a presentation, it must first be saved to your OneDrive .

To share a presentation:

Clicking Share

  • Open our practice presentation .
  • Use Save As to create a copy of the presentation. Name the new copy Saving Challenge Practice . You can save it to a folder on your computer or to your OneDrive .
  • Export the presentation as a PDF file.

PowerPoint is Microsoft’s presentation software . It’s frequently used by families, students, and businesses to create slideshows that use text, images, art, and videos.

Whether you want to access lecture slides or presentations showing essential business insights, in this post, we’ll walk you through you how to download PowerPoint presentations so you can work with them offline. 

1. Get the Software

If you don’t already have PowerPoint, you will need to download it. Microsoft PowerPoint is part of Microsoft 365 . This is a subscription service, so it does come with a cost.

A free alternative for working with PowerPoint files may be Google slides .

If you choose to download PowerPoint, first make sure your computer will be able to run it: 

  • Windows Users: Check that your computer is running Windows 10 or higher that your system has the required hardware specifications to run PowerPoint smoothly.
  • Mac Users: Confirm that your Mac is running a version of macOS that supports Microsoft’s software .

2. Connect to the Internet

This may seem obvious, but it’s good to make sure you have a reliable internet connection before you try to download anything. 

3. Download Your PowerPoint Presentation

Once you’ve got PowerPoint or Google slides set up, you’re ready to download PowerPoint presentations.

First, find the PowerPoint you want to download. This could be in an email, on a website, or on a platform like Google Drive or OneDrive . 

Next, make sure you have access to the file and permission to download it. For some websites, you may need to create an account and login. 

Downloading a PowerPoint from Email

While each email provider is a little different, the basic steps for downloading a PowerPoint are the same:

1. Open the email that contains the PowerPoint presentation.

2. Click on the Attachment icon to download the file.

3. Once the file is downloaded, click on it to open it with PowerPoint.

4. To save a copy of the presentation, click on the File tab. 

5. Select Save As and choose where you want to save the file.

6. Give the file a name and hit Save .

You can download a PowerPoint presentation from a website in just a few steps:

1. Right-click the presentation link or select File if you are viewing the presentation.

2. Select Save As .

Some websites use PowerPoint for the web, which is one of Microsoft’s online tools. The steps to download these PowerPoint files are slightly different: 

1. Click on the File tab of the main ribbon.

2. Select Download As .

3. From the panel of options on the right, select Download a Copy .

4. A dialog box will confirm that the copy is ready to be downloaded to your computer.

5. Select Download to continue. 

Downloading a PowerPoint from OneDrive or Google Drive

You can download a PowerPoint presentation from OneDrive or Google Drive for offline use:

1. Open the appropriate website and sign in to your account.

2. Locate the PowerPoint presentation you want to download.

3. Right-click on the file and select Download .

4. When prompted, select Save or Save As .

5. Choose where to save the file and click Save .

If you’re using Microsoft 365, your PowerPoint presentations may automatically save to your OneDrive. Follow the steps above if you want to save a copy to your computer.

How to Save a Slide in PowerPoint Individually? [Quick Tip!]

There are times when we want to either just print or share just a single slide from our PowerPoint presentation. It might seem a bit difficult to do so initially, but the process is actually quite simple!

To save a slide in PowerPoint, select the slide from the slide preview panel on the left part of your screen. Press “Ctrl+C” to copy it. Now, click on the “File” tab, and open a “Blank PowerPoint Presentation”. Press “Ctrl+V” to paste the slide. Press “Ctrl+S” to save the single slide presentation.

In this article, I will share with you how you can save just one slide from an existing PowerPoint presentation.

Plus, I will also show you how to save a single slide as an image so that you can avoid the changes in the color and the look of the slide when you move it to a new presentation.

So, without further adieu, let’s get started!

1. How to Save a Single Slide in PowerPoint?

There are actually two different ways in which you can save a single slide in PowerPoint. The first method is where you copy the slide into a new presentation and save it separately. Another method is where you can save a single slide as an image!

Let’s take a look at both the methods below –

Method 1 – Save a Single Slide Using a New Presentation

If you want to extract and save a single slide from an existing PowerPoint presentation, the best thing for you to do is to copy the slide and paste it into a blank PowerPoint presentation.

Then, save the Powerpoint presentation that contains the single slide that you just pasted in it.

This method allows you retain editing capabilities to the single slide that you move into a new presentation.

Here are the steps that you need to follow –

Step 1 – Copy the Slide

The first step is to copy the slide that you want to save as a presentation. To do that, first, select the slide from the “ Slide Thumbnail View ” on the left part of your PowerPoint window by clicking on it.

Then, “right-click” on the slide. From the options that are displayed in the menu, click on “ Copy “.

You can also use the keyboard shortcut “ Ctrl+C ” to copy the slide once it has been selected.

Step 2 – Open a Blank Presentation

The next step is to move this slide into a new presentation. For that, first, we will need to open a blank presentation.

To open a blank presentation in PowerPoint, click on the “ File ” tab on the top. You will be taken to the backend view.

From the backend view, simply click on the “ New ” option on the left, and then select the “ Blank Presentation ” option.

This will open a new blank PowerPoint presentation.

You can also press “ Ctrl+N ” to open a new PowerPoint presentation and avoid all the above steps.

Step 3 – Paste the Copied Slide

Once the new presentation is open, simply click on the first slide in the new presentation, and paste the slide that you have copied from the original presentation.

You can “ right-click ” on the first slide, and from the options that appear, click on “ Paste “.

Alternatively, you can also simply click on the first blank slide in the new presentation and press “ Ctrl+V ” to paste the copied slide.

Step 4 – Choose the “Keep Source Formatting” option

Once you’ve pasted the slide from the original presentation into a new blank presentation, you will notice that sometimes the formatting of the slide (meaning the color and font) doesn’t get carried over.

This can be annoying as you really don’t want to spend time recreating the slide!

To solve this problem, click on the small “clipboard” icon underneath the slide that you just pasted in the new presentation. A dropdown menu will appear.

Simply, choose the “ Keep Source Formatting ” option from the dropdown.

This option will basically retain the way text, image and other elements were formatted in the original presentation.

Step 5 – Delete Additional Slides

Now, all you are left to do is delete any additional slides that may be present in the new presentation.

To delete the slides from the presentation, select it by clicking on it. Then, right-click and choose the “ Delete Slides ” option.

You should be left with only a single slide that you copied from the original presentation.

Step 6 – Save the Presentation

The last step of the process is the make sure that you save the presentation.

To save a PowerPoint presentation, click on the “ File ” tab. Then, from the backend view, click on “ Save “.

You can also use the keyboard shortcut “ Ctrl+S ” to save a PowerPoint presentation.

You will be prompted with a new window asking you to choose a destination to save the file. Navigate to the specific folder where you want to save the file. Then, click “ Save “.

Method 2 – Save a Single Slide as an Image

If you are in a hurry and don’t really care about being able to edit the slide once it has been moved separately, then perhaps you should use this method.

Saving an individual slide as an image in Microsoft PowerPoint is quite an easy process.

It requires 4 easy steps as follows:

Step-1: “Right-click” on the slide

The first step is to go to the slide you want to save as an image and “Right Click” anywhere on the slide. This will open a drop-down menu.

Step-2: Select the “Save as Picture…” option

From the drop-down menu, click on the “Save as Picture…” option. This will open a new window.

In this window, you can select the folder you want to save the slide as a picture in. You can also rename the image by typing in the “File name” box.

Step-3: Select your preferred image format

Below the “File name” box, click on the “Save as type” option. This will open a dropdown menu containing all the standard image format options. Click on your preferred format to select it.

I would recommend using the “ JPEG ” file format especially if you only plan to email this to a client or a team member.

If you plan to project it on a screen or print this slide on a huge paper, you would perhaps be better off going with the “PNG” file format.

Step-4: Click on the “Save” button

After naming your slide and selecting the image format, click on the “Save” button at the bottom of the new window. This will save the selected single slide as an image.

How to Save One Slide in PowerPoint as a Picture on Mac?

You can follow a similar process to the one mentioned in the previous section even on Mac. However, you can also use the export function and save just one slide as a picture in PowerPoint on Mac.

Here’s how to save just one slide as a Picture in PowerPoint on Mac –

Step-1: Select your preferred slide

First, click on the specific slide you want to save as a picture. Be sure to select the entire slide rather than a single element in the slide.

Step-2: Click on the “Export” option

In the “Primary Menu” bar at the top of your screen, click on the “File” option, which will open a dropdown menu. From the dropdown menu, select the “Export” option.

Step-3: Click on the “File Format” box

Clicking on the “Export” option will open a pop-up menu. At the bottom of the pop-up menu, click on the “File Format” box. This will open a dropdown menu containing various file formats.

Step-4: Select the preferred file format

In the dropdown menu under the “File Format” box, there are three image formats which are “JPEG” , “TIFF” and “PNG.”   Select your preferred image format.

My recommendation would be to choose the “JPEG” file format as that doesn’t significantly increase the size of the image and also maintains a decent quality for most purposes.

Step-5: Click on the “Save Current Slide Only” option

Once you select your desired file format, you will see two new options appear below the “File Format” box. Among the two options, click on “Save Current Slide Only.”

Step-6: Click on the “Export” button

To complete the process, click on the “Export” button which is located at the bottom of the pop-up window. Thus, the selected individual slide will be saved as a picture on your computer.

2. How to Save a Single Slide in PowerPoint as a PDF?

Another option is to save a single slide in PowerPoint as a PDF file. This is great especially when you want to send the slide to a client. Sending a file in a PDF format looks more professional.

Here’s what you need to do to save a single slide in PowerPoint as a PDF –

Step-1: Select the Slide

The first step is to select the slide that you want to save as a PDF file.

Step-2: Click on the “File” Tab and choose “Print”

At the top left corner of your screen, click on the “File” menu to open it. In the “File” menu, select the “Print” option from the sidebar at the right side of your screen.

Step-3: Select the “Microsoft Print to PDF” option

Once the “Print” option is open, click on “Printer” and select the “Microsoft Print to PDF” option from the dropdown menu.

Step-4: Click on the “Custom Range” button

Now, under the “Settings” section, click on the top-most option which says “Print All Slides.” From the dropdown menu, click on the “Custom Range” button.

After that, click on the “Slides” box and type in the slide number of the slides that you want to save as PDF.

Step-5: Click on the “Print” button

Now, click on the “Print” button to open a pop-up window. Type in the name of the PDF in the “File name” box and click on the “Save” button to save the selected slide as a PDF.

3. How to Save All Slides in PowerPoint as a Picture?

In Microsoft PowerPoint, you can save either an individual slide or an entire presentation as image files. Check out my other article where I’ve gone in-depth on how to save a PowerPoint as a picture . Make sure you check out the article for all the visual references and tips.

I’m also highlighting the process below but if you need to see the process with visual aids, check out the article linked above.

Step-1: Open the “File” menu

At the top-left corner of your PowerPoint window, you will find the “File” tab, which is the first option in the ribbon. Click on the “File” option to open a variety of options.

Step-2: Click on the “Save As” option

With the “File” menu opened, click on the “Save As” option from the sidebar located at the left side of your screen and select the folder where you want to save the pictures in.

To save the slides as pictures in a new folder, click on the “New Folder” button and type in the folder name.

Step-3: Click on “Save As Type”

The “Save As Type” drop-down menu is located in the text box that says “PowerPoint Presentation (*.pptx).”

Click on the text box to open a dropdown menu. Scroll down the menu and select your desired image format from “JPEG File Interchange Format (*.jpg)” , “PNG Portable Network Graphics Format (*.png)” , “TIFF Tag Image File Format (*.tif)” or “Scalable Vector Graphics Format (*.svg).”

After selecting your preferred image file format, click on the “Save” button beside the “Save As Type” box. This will open a new dialogue box.

Step-5: Click on the “All Sides” button

Now, all you have to do is click on the “All Slides” button from the dialogue box to save all the slides of your presentation as image files.

Please Note – Each slide will be saved as a separate image arranged serially by slide number in your selected folder when you save a complete PowerPoint presentation as an image.

4. How to Print a Single Slide in PowerPoint?

In Microsoft PowerPoint, the process of printing an individual slide is similar to the process of saving the slide as a PDF file. Open the “Print” option from the “File” tab and then follow the 3 basic steps:

Step-1: Select the “Add Printer…” option

In the “Print” menu, click on the “Printer” box. From the dropdown menu, select the “Add Printer…” option.

This will prompt you to connect your printer to the computer. If your printer is already connected to your computer, click on it to select it.

Step-2: Select your preferred slide

Next, click on the “Settings” button and select the “Custom Range” option from the drop-down menu. In the “Slides” box below, type in the slide number of your preferred slide.

Step-3: Click on the “Print” button

Now, all you have to do is click on the “Print” button for your printer to print the single PowerPoint slide you have selected.

Do you want to have your data in a slide show? If you have Microsoft 365, you can use PowerPoint! PowerPoint is a program that's part of the Microsoft Office suite (which you have to pay for) and is available for both Windows and Mac computers. This wikiHow teaches you how to create your own Microsoft PowerPoint presentation on a computer.

How to Make a PowerPoint Presentation

  • Open the PowerPoint app, select a template and theme, then like “Create.”
  • Click the text box to add your title and subtitle to create your title slide.
  • Click the “Insert” tab, then “New Slide” to add another slide.
  • Choose the type of slide you want to add, then add text and pictures.
  • Rearrange slides by dragging them up or down in the preview box.

  • Templates make it easy to create vibrant presentations no matter your skill level.
  • When adding photos, you can adjust their sizes by clicking and dragging in or out from their corners.
  • You can add animated transitions between slides or to individual elements like bullet points and blocks of text.

Step 1 Open PowerPoint.

  • If you don't have a Microsoft Office 365 subscription, you can use the website instead of the desktop app. Go to https://powerpoint.office.com/ to use the website version.
  • You can also use the mobile app to make presentations, though it's easier to do this on a computer, which has a larger screen, a mouse, and a keyboard.

Step 2 Select a template.

  • If you don't want to use a template, just click the Blank option in the upper-left side of the page and skip to the next part.

Step 3 Select a theme if possible.

  • Skip this step if your selected template has no themes available.

Step 4 Click Create.

  • If you're creating a PowerPoint presentation for which an elaborate title slide has been requested, ignore this step.

Step 2 Add a title.

  • You can change the font and size of text used from the Home tab that's in the orange ribbon at the top of the window.

Step 3 Add the subtitle.

  • You can also just leave this box blank if you like.

Step 4 Rearrange the title text boxes.

  • You can also click and drag in or out one of a text box's corners to shrink or enlarge the text box.

  • Clicking the white slide-shaped box above this option will result in a new text slide being inserted.

Step 3 Select a type of slide.

  • Two Content
  • Content with Caption

Step 4 Add any other slides that you think you'll need.

  • Naturally, the title slide should be the first slide in your presentation, meaning that it should be the top slide in the left-hand column.

  • Skip this step and the next two steps if your selected slide uses a template that doesn't have text boxes in it.

Step 3 Add text to the slide.

  • Text boxes in PowerPoint will automatically format the bulk of your text for you (e.g., adding bullet points) based on the context of the content itself.
  • You can add notes that the Presentation will not include (but you'll still be able to see them on your screen) by clicking Notes at the bottom of the slide.

Step 4 Format the slide's text.

  • You can change the font of the selected text by clicking the current font's name and then clicking your preferred font.
  • If you want to change the size of the text, click the numbered drop-down box and then click a larger or smaller number based on whether you want to enlarge or shrink the text.
  • You can also change the color, bolding, italicization, underlining, and so on from here.

Step 5 Add photos to the slide.

  • Photos in particular can be enlarged or shrunk by clicking and dragging out or in one of their corners.

Step 7 Repeat this for each slide in your presentation.

Step 1 Review your PowerPoint.

  • If you need to exit the presentation, press Esc .

Step 5 Make any necessary changes before proceeding.

  • Windows - Click File , click Save , double-click This PC , select a save location, enter a name for your presentation, and click Save .
  • Mac - Click File , click Save As... , enter the presentation's name in the "Save As" field, select a save location by clicking the "Where" box and clicking a folder, and click Save .

If there is a particular slide in your presentation that you feel would be useful in other mediums, you can save that slide as an image and use it accordingly. Here's how to save a Microsoft PowerPoint slide as an image.

First, open PowerPoint and, in the thumbnail pane, select the slide that you'd like to save as an image by clicking it. A box will appear around the slide once it's been selected.

Next, click the "File" tab.

In the left-hand pane, select "Save As."

To the right of the screen, you'll see two text boxes. In the top text box, enter the file name.

The lower text box is where you'll select the file type. Click the down arrow to the right of the text box.

A drop-down menu will appear displaying several different file types that you can save the presentation (or slide) as. These are the image file types that you can choose from to save your slide as:

  • Animated GIF Format (*.gif)
  • JPEG File Interchange Format (*.jpg)
  • PNG Portable Network Graphics Format (*.png)
  • TIFF Tag Image File Format (*.tif)
  • Scalable Vector Graphics Format (*.svg)

Click the image file type that you'd like to convert the PowerPoint slide to. Next, select the "Save" button.

A dialog box will appear asking whether you want to export all slides as an image or just the one you've selected. Click "Just This One."

The slide will now be saved as an image.

Aside from saving slides as images in Microsoft PowerPoint, you can also save objects within a slide as an image . Use this method if you just need specific parts of the slide to be saved as an image and want to keep the file size of the image smaller.

  • To save a specific image from your PowerPoint presentation, right-click the image and select Save as Picture.
  • You can save all your presentation slides as images by exporting them in JPEG or PNG format.
  • If you only want to save images from your PowerPoint, convert the presentation to a ZIP file and then extract it.

Method 1: Use the “Save as Picture” Option

Using the “Save as Picture” option is the quickest way to extract an image from a PowerPoint file. This method is useful if you only want to save one or two images from your PowerPoint presentation.

Step 1: Open the PowerPoint presentation from which you want to save images.

Step 2: Locate and select the image you want to extract. Right-click on it and choose the Save as Picture option.

Step 3: In the Save As Picture dialog, specify where you want to save the image. Then, click the drop-down menu next to Save as type to select your preferred file format for the image.

You can repeat the above steps to extract more images if you like.

Alternatively, if you want to use the image in another program on your PC, right-click on the image in your presentation and select Copy . After that, move to the program where you want to use the file and press the Ctrl + V keyboard shortcut to paste the image.

Method 2: Save the PowerPoint Slides as Images

While the “Save as Picture” option makes it easy to save images from your PowerPoint file, it’s not the most efficient method if you are looking to extract all the images from your PowerPoint presentation. In that case, it’s better to save your PowerPoint slides as images (in JPEG or PNG format ) using the steps below.

Step 1: Open the PowerPoint file from which you want to save images.

Step 2: Click the File menu in the top-left corner.

Step 3: Select Save As from the left pane. Then, click the Browse button.

Step 4: Click the drop-down menu next to Save as type to select JPEG File Interchangeable Format or PNG Portable Network Graphics Format from the list.

Step 6: Select All Slides when the prompt appears.

After you complete the above steps, all the images within your presentation will be saved separately in the specified location.

Method 3: Add a ZIP Extension to the Presentation File and Extract It

Another way to save all the images from a PowerPoint file simultaneously involves converting the presentation into a ZIP file and then extracting the file on your computer. This method allows you to save all of the images in your presentation in their original format.

Step 1: Press the Windows key + E to open File Explorer and locate the PowerPoint from which you want to save images.

Step 2: Right-click on your file and select the rename option.

Step 3: Replace the PPTX or PPTM extension with the ZIP extension. Select Yes when the confirmation prompt appears.

Once you have all the images, you can rename the ZIP file and add the PPTX or PPTM extension to recover your original presentation.

When creating Microsoft PowerPoint presentations for work or school, it's often necessary to collaborate with others on your projects.

Thankfully, it's easy to share a PowerPoint presentation no matter what version you use. The process looks fairly similar on both Mac and PC programs, as well as on the online version that can be accessed from any web browser. The online option is helpful if you don't have the Microsoft Office program downloaded to your desktop.

For all of these options, you can add a collaborator (which operates similarly to sharing Google Slides ) or opt to send your file as a presentation or PDF via email. There are also alternative methods, such as sending via social media.

Here's how to share a presentation.

Sharing a presentation on the PC version of PowerPoint should look similar on most computer types. The following steps and accompanying photos detail the process on a Samsung Chromebook.

1. Open the PowerPoint presentation you wish to share on your PC.

2. Click the "Share" symbol in the upper right hand corner of the screen. This should give you the option to share either the full document or just the current slide.

  • If you prefer to add a collaborator instead (similar to Google Slides functions), you will need to click the orange button to save a copy of the file to your OneDrive. 

3. Choose how you'd like to share the document or slide as an attachment. You can choose to send an email via Outlook or as a message via Zoom, for example.

Additionally, when you first launch the program, you can also find a "Share" tab on the left hand side. This will provide you with the same options for sharing a file.

How to share a PowerPoint Presentation on a Mac

1. Open the PowerPoint presentation on your Mac desktop or laptop.

2. Click the "File" tab in the top left corner. 

3. Select "Share" from the dropdown menu. This will grant you the option to either send or copy a link to share, send the file as a presentation or PDF, or manage access to a shared file. Select whichever option you'd like and follow the directions to add contact information.

  • If you wish to manage access and add collaborators, you will have to make sure the file has been uploaded to your OneDrive before proceeding. (If it hasn't, PowerPoint should prompt you to do so at this time.)

4. Sending the file as an email is the most common choice. Selecting this option will automatically open a new draft with the file attached. (Be sure to select "Send PDF" if you'd prefer it to send as a PDF file instead of as a presentation.) Add an address, subject, and body text before sending.

You can also share a presentation by clicking the "Share" button in the upper right hand corner. (This is similar to how it appears on a PC.)

This option is extremely helpful as it provides all of your possible options in a single pop-up. Enter a name or email address (along with an optional message) to send the document. 

You can change the permissions settings at the top before clicking "Send," "Copy Link," or "Mail" to share your work. Click "More Apps" to browse additional options, such as sending via social media or text message. Lastly, you can select "Send a Copy" to send as a traditional attachment.

How to share a PowerPoint presentation on a web browser

You can access PowerPoint online on either a Mac or PC, as long as you have your login information for Microsoft Office. Regardless of what browser you prefer to use, the steps to share a presentation are exactly the same.

1. Log in to your Microsoft Office account on your preferred web browser and open the presentation you wish to share.

2. Click the "Share" button in the upper right hand corner of the screen.

3. This will open a pop-up in the center of the page. Enter a name or email address (along with an optional message) to send the document. You can change the permissions settings at the top before sending the link by clicking the "Send" or "Copy Link" option. (Those who have followed these steps on a Mac will recognize that it looks similar.)

Additionally, when you open the main menu, you can click the "Share" tab on the left hand side. This will allow you to invite others to edit the presentation or embed the presentation for a blog or website. 

If you are looking to embed online, this will open a different pop-up that will generate a code for you. Select the dimensions desired and then paste the text as needed. Click the "Close" or "X" buttons to minimize the window.

Save your presentation file

As with any software program, it is a good idea to name and save your presentation immediately, and save your changes frequently while you work.

In PowerPoint, you can save your desktop presentation to your local drive (such as your laptop), a network location, a CD, a DVD, or a flash drive. You can also save it as a different file format.

On the File tab, select Save .

Do of the following:

To save to your local drive, such as your laptop, a flash drive, CD or DVD drive, select Computer .

To save to a SharePoint Library, select SharePoint .

Under Save As > Recent Folders , select Browse , pick a path and file folder, and then name the file.

Note:  To save files in PDF (.pdf) or XPS (.xps) file formats, see Save or convert to PDF or XPS .

On the File tab, select Save As .

Under Save As , do one of the following:

Save your presentation in an earlier version of PowerPoint

In newer versions, you can save files to an earlier version of PowerPoint by selecting the version from the Save as type list in the Save As box. For example, you can save your PowerPoint presentation in the newest PowerPoint Presentation format (.pptx), or as a PowerPoint 97-2003 Presentation (.ppt).

Newer versions use an XML-based .pptx file format introduced in the 2007 Office release. These files can be opened in PowerPoint 2010 and PowerPoint 2007 without special add-ins or loss of functionality. For more information, see Open XML Formats and file name extensions .

Microsoft 365 supports the ability to save a presentation file in the OpenDocument Presentation format (.odp).

When you use the Save As or Save a Copy command, the option to save in .odp format is listed at the end of the Save as type list of options.

Select Go to slide to see a grid view of all slides in the presentation. Select one to jump to it.

Change the Layout of your presentation and choose how your live camera feed appears in your presentation, like Standout or Cameo . It helps the audience read your non-verbal cues and keeps them engaged.

Use the Laser pointer , Pen , Highlighter , or Eraser to clearly reference items on your slides.

As an audience member, you’re able to personalize your experience without affecting anyone else. Try these options to find what works best for you:

Select Sync to Presenter, next to the navigation arrows

Note:  If presenters don't want people to be able to independently navigate through a PowerPoint file they are sharing, use the  Private view  toggle to turn it off.

Click any hyperlink on slides to get more context right away.

Interact with videos on slides to adjust the volume or jump to a timestamp and consume it at your own pace.

Use a screen reader to get full access to the slide content.

Select Translate slides

Switch to a high contrast view to make the slides easier to view if you have low vision. Select More options > View slides in high contrast .

Your viewing experience will be at a higher fidelity, letting you see crisp text and smooth animations. PowerPoint Live also requires significantly less network bandwidth than typical sharing, making it the best option when network connectivity is a problem.

Independent magnifying and panning

You can zoom in and pan on a presentation slide without affecting what others see. Use your mouse, trackpad, keyboard, touch, or the Magnify Slide option as applicable. 

To zoom in or out on a slide, do any one of the following: 

Hover over the slideshow and pinch or stretch on trackpad.

Pinch or use the stretch touch gesture (on a touch-enabled device).

Press the + or – keys.

Hover over slide, hold down Ctrl key and scroll with mouse wheel.

In the More Actions menu, click the + or – buttons.

To pan around your slide, do any one of the following:

Press the arrow keys.

Click and drag using a mouse.

Click and drag on a trackpad.

Use one finger to touch and drag (on touch-enabled device).

When done zooming and panning, press  Esc to reset your screen.   

Important: 

PowerPoint Live is not supported in Teams live events, CVI devices, and VTC devices.

If you're using Teams on the web, you’ll need Microsoft Edge 18 or later, or Google Chrome 65 or later, to see the presenter view.

Presenter view is hidden by default for small screen devices but can be turned on by selecting More options below the current slide and then Show presenter view (or by selecting the sharing window and then pressing Ctrl+Shift+x).

Meetings recordings won’t capture any videos, animations, or annotation marks in the PowerPoint Live session.

When you share from Teams, the PowerPoint Live section lists the most recent files you've opened or edited in your team SharePoint site or your OneDrive. If you select one of these files to present, all meeting participants will be able to view the slides during the meeting. Their access permissions to the file outside of the meeting won't change.

If you select Browse and choose to present a PowerPoint file that hasn't been uploaded to Teams before, it will get uploaded as part of the meeting. If you're presenting in a channel meeting, the file is uploaded to the Files tab in the channel, where all team members will have access to it. If you're presenting in a private meeting, the file is uploaded to your OneDrive, where only the meeting participants will be able to access it.
