Revising and Editing Your Essay

Step 1 Use spell check.

  • Always reread your sentence to make sure that the word processor is suggesting the right word. If you’ve misspelled a word that is similar to another word, then it’s possible that your spell check could suggest the wrong spelling, such as “then” instead of “than.”

Step 2 Proofread your essay.

  • Look for errors that your spell checker missed.
  • If you can, ask someone else to proofread your paper. They will usually spot errors that you overlooked.

Step 3 Revise your essay to improve the flow.

  • Combine choppy sentences.
  • Breakup long, convoluted sentences into shorter sentences.
  • Rewrite fragments and run-on sentences.

Step 4 Fix your formatting.

  • If you have cited sources, make sure that you include a reference page in the style chosen by your instructor.

The basic structure of an essay always consists of an introduction , a body , and a conclusion . But for many students, the most difficult part of structuring an essay is deciding how to organize information within the body.

There are two main things to keep in mind when working on your essay structure: making sure to include the right information in each part, and deciding how you’ll organize the information within the body.

The three parts that make up all essays are described in the table below.

You’ll also have to consider how to present information within the body. There are a few general principles that can guide you here.

The first is that your argument should move from the simplest claim to the most complex . The body of a good argumentative essay often begins with simple and widely accepted claims, and then moves towards more complex and contentious ones.

For example, you might begin by describing a generally accepted philosophical concept, and then apply it to a new topic. The grounding in the general concept will allow the reader to understand your unique application of it.

The second principle is that background information should appear towards the beginning of your essay . General background is presented in the introduction. If you have additional background to present, this information will usually come at the start of the body.

The third principle is that everything in your essay should be relevant to the thesis . Ask yourself whether each piece of information advances your argument or provides necessary background. And make sure that the text clearly expresses each piece of information’s relevance.

The sections below present several organizational templates for essays: the chronological approach, the compare-and-contrast approach, and the problems-methods-solutions approach.

The chronological approach (sometimes called the cause-and-effect approach) is probably the simplest way to structure an essay. It just means discussing events in the order in which they occurred, discussing how they are related (i.e. the cause and effect involved) as you go.

A chronological approach can be useful when your essay is about a series of events. Don’t rule out other approaches, though—even when the chronological approach is the obvious one, you might be able to bring out more with a different structure.

Essays with two or more main subjects are often structured around comparing and contrasting . For example, a literary analysis essay might compare two different texts, and an argumentative essay might compare the strengths of different arguments.

There are two main ways of structuring a compare-and-contrast essay: the alternating method, and the block method.

Alternating

In the alternating method, each paragraph compares your subjects in terms of a specific point of comparison. These points of comparison are therefore what defines each paragraph.

  • Distance learning may prove to be the future, but it still has a long way to go

In the block method, each subject is covered all in one go, potentially across multiple paragraphs. For example, you might write two paragraphs about your first subject and then two about your second subject, making comparisons back to the first.

  • Disadvantages: Students must live close enough to attend, commutes may vary, classrooms not always accessible for disabled students
  • Advantages: Ease of picking up on signs a student is struggling, more personal interaction among students
  • Disadvantages: May be harder for students to approach teacher privately in person to raise issues

An essay that concerns a specific problem (practical or theoretical) may be structured according to the problems-methods-solutions approach.

This is just what it sounds like: You define the problem, characterize a method or theory that may solve it, and finally analyze the problem, using this method or theory to arrive at a solution. If the problem is theoretical, the solution might be the analysis you present in the essay itself; otherwise, you might just present a proposed solution.

Signposting means guiding the reader through your essay with language that describes or hints at the structure of what follows.  It can help you clarify your structure for yourself as well as helping your reader follow your ideas.

The essay overview

In longer essays whose body is split into multiple named sections, the introduction often ends with an overview of the rest of the essay. This gives a brief description of the main idea or argument of each section.

The overview allows the reader to immediately understand what will be covered in the essay and in what order. Though it describes what  comes later in the text, it is generally written in the present tense . The following example is from a literary analysis essay on Mary Shelley’s Frankenstein .

Transitions

Transition words and phrases are used throughout all good essays to link together different ideas. They help guide the reader through your text, and an essay that uses them effectively will be much easier to follow.

Various different relationships can be expressed by transition words, as shown in this example.

Because Hitler failed to respond to the British ultimatum, France and the UK declared war on Germany. Although it was an outcome the Allies had hoped to avoid, they were prepared to back up their ultimatum in order to combat the existential threat posed by the Third Reich.

Transition sentences may be included to transition between different paragraphs or sections of an essay. A good transition sentence moves the reader on to the next topic while indicating how it relates to the previous one.

… Distance learning, then, seems to improve accessibility in some ways while representing a step backwards in others.

Of course, having little or no experience, you can still speed up the process of writing the paper. Here are some useful tips on how to write an excellent 5-page essay.

  • Don’t think that you can write it in an hour

Some websites promise to teach you to write an essay on five pages in an hour (or to write the essay for you). In theory, you really can type five pages in an hour; however, that will work only if your professor is not going to read even the beginning of your paper. Therefore, don’t put yourself in a tight time frame as even the experienced writer will not produce a high-quality essay in 1 hour only. Make sure you have at least a day for writing and research, and don’t hurry.

  • Do a preliminary research

Your thoughts won’t come out of anywhere, so the best way to find suitable arguments is to do research. It can take from several hours up to several days (depending on the depth of your research); however, the results are totally worth it. You will have a solid basis on which you will be able to produce a good 5-page research paper or essay.

  • Have a plan 

Create a 5-page essay outline to make sure that all your ideas are appropriately introduced and organized. Moreover, an outline will help you conveniently keep all the necessary information so that you won’t need to remember everything. In case you don’t have time to write an outline, write a short plan instead: don’t write full sentences, preferring bullet points, or keywords as an alternative. 

  • Review the issue from the different perspectives

Even if you are writing an argumentative paper, make sure to introduce several different points of view instead of sticking to only one. In such a way, you will show your expertise in the topic, being an open-minded author who is not influenced by a particular point of view. Being unprejudiced is essential for the academic writer and a researcher, so you will get more points from your professor by covering several contradicting aspects. 

  • Use at least several sources

As you need to review different articles, you shouldn’t stick to a specific source (unless your instructions require that). Even if you think that the source has all the necessary information, you should always double-check information elsewhere: it may be outdated, contradicting, or narrowed too much. There is no set number of sources to be used in the five-page essay, so try to use enough literature to cover all the necessary information in your paper.

Five Steps to Create a Perfect Five-Page Essay

As you already know the useful tips, it’s time to check the process of creating a powerful 5-page essay. You can subdivide some of the steps, but we don’t recommend omitting any of the stages, even if you find them too time-consuming or not that interesting.

Step 1: Write down the most essential parts of the paper

First of all, you need to draft a general idea of your paper. Therefore, you need to come up with the topic (which will be your title), thesis statement, and the main arguments. You can write as many as you have in your head, expanding or cutting down them after you review all the relevant literature. 

Step 2: Conduct research

Try to create a few keywords based on your topic and start looking for the relevant literature for your essay. Depending on the assignment, you can use any sources or limit yourself to peer-reviewed articles only. In any case, you can also review the links provided in each source to understand where the data comes from. Besides, try to rely on credible sources, even if there is no requirement to use academic articles only: instead of using the excerpts from the unknown blog, dig deeper and look for the materials in the credible online magazines at least. 

Step 3: Create an outline 

After you have gathered all the necessary facts, arguments, and ideas, start organizing them to make your essay strong and credible. Create a clear outline that will have all the necessary components of the essay: an introduction with the attention grabber and thesis statement, body sections with the topic sentences and arguments, and conclusion with the main results of your research. You can also include background information in your paper if your topic is complicated or not popular to the audience, and abstract if your instructor mentions that.

Step 4. Draft an essay

Having everything prepared, you can now start writing the paper. Consider the writing as a draft, capturing all the arguments with the proper polishing later. Don’t get stuck on one phrase or word — as you will waste your time by doing so — keep writing and return to the problematic fields later. Make sure you follow your outline while writing; however, it doesn’t mean that you should start strictly from the introduction, moving to the body and finishing with the conclusion. You can start with the body section first and build your essay around it — whatever you find convenient for you. 

Step 5. Polish your paper

After your draft is complete, read it once again (or several times, if you can) to improve the flow, work on the writing style, format everything correctly, and get rid of the grammatical errors. Double-check if your thesis statement corresponds with the information provided further (if not — change your thesis statement). Make sure that the introduction is linked logically with your body paragraphs, while the conclusion wraps everything and does not indicate any new piece of information. It is always a good idea to polish your paper the next day after you have written the draft; however, if you don’t have that much time, try to have a quick rest before starting revising.

Introduction

An essay’s introduction sets the tone for the rest of your essay. This is where you introduce the topic of your essay and its main points.

Essays usually have a one-paragraph introduction, but for your 5-page essay, you can write two to three opening paragraphs. If you’re unsure about the introduction length, a good rule of thumb is to keep it at 10% of your overall essay length. For example, if your essay is 1500 words long, your introduction needs 150 words.

Here are some other tips you can follow when writing your intro:

  • Open with an exciting fact or trivial question
  • Provide brief background information about the topic
  • Create a strong thesis statement and a one-sentence summary of your argument.

The longest part of an essay is its body. It will explore the entire essay idea in depth. You can structure your body in four paragraphs, discussing a separate point in each paragraph.

A paragraph should ideally be 100-200 words long with a maximum of 5 sentences. This allows the readers to grasp what each paragraph is about without going through too much information.

Start Writing

When you begin writing your essay, recall all the main parts you need to include. It needs to have an introduction, a body, and a conclusion. Format Your Essay

  • Picture the conclusion at the beginning

Remember we the main concerns we have to watch for are quality of the essay and the tight deadline.

1. Examine meaning and scope

The speed of writing your essay will depend on how complex or straightforward the essay topic feels.

Developing meaning refers to reading the research question carefully to understand it. The scope is having an idea of how deep you want to go.

A complex topic such as those of computer engineering and mathematical calculations for space rovers landing on Mars requires a lot more time to synthesize.

Once you have examined the paper and identified what the essay requires, make sure you list a couple of items you are going to cover.

Assuming you’re writing about “The effects of 3-D printing on Society,” you could identify some sub-sections such as the following:

  • What would be the impacts on the Medical world?
  • Is 3D printing a suitable solution for housing?
  • Can 3 –D printers solve the problem of climate change?
  • And finally, will 3-D printing ever become a reality?

These are just a few points you can decide to include in the 5-page essay.

2. Break the body into 4 (four) main points

A 5-page essay is a long paper and you cannot have only one or two discussion points.

Having too many points (more than 5 sub-sections) is also a bad strategy since it will leave you with too many points to include in the paper. That could lengthen the paper beyond 5 pages.

Breaking your essay into four main topics means that you will have one point per page for four pages.

The remaining one page will be split into two sections for introduction and conclusion.

This is how your 5-page essay will now look like:

  • ½ page  Introduction
  • 4 pages  Body
  • ½ page  Conclusion

The body of your essay will have four pages each page covering a single sub-topic. With this clear scope in mind, completing the paper will be faster and more direct.

Each of these topics will also ensure that you do not get overwhelmed by the thought of writing an entire block of content from the first to the last page.

3. Observe two (2) paragraphs per page

The recommended number of paragraphs for a single page is 3 paragraphs. However, if your focus is speed, three paragraphs per page would mean you spend more time organizing the third paragraph.

Instead, you could only focus on having two paragraphs per page to reduce the paragraph overload that comes with arranging each one.

Two paragraphs per page are allowed since the standard maximum length of a paragraph 150 words. If you can have your paragraphs at 140 words each, you will be able to fix exactly 10 paragraphs for the entire 5-page essay.

4. Perform literature search like a pro

There is a lot of information on books and deciding which journal article to use as your source could be difficult.

The faster you can decide which citation to make and which references to ignore, the more time you will save while completing the essay.

For example, let’s work with the question: What would be the impact of 3-D printing on the medical field?

How can we perform a search that would give the information we want? Here are a few tips.

  • Rather than finding books that dedicate only some chapters to the topic, find those that discuss 3-D printing in the medical field in the entire book. Check their titles for this relevance. But the entire healthcare applications could be also too broad. Narrow it down further to a small field such as cardiovascular medicine. Now your key phrase for search could be “3 – D printing in cardiovascular medicine.”
  • Use operators unique for the library database. For instance, some databases require quotation marks, asterisks, Boolean operators, negative signs, and so on. These will help you filter out irrelevant literature that would waste much of your time.
  • Don’t spend much time reading unreliable sources. They are distractive and could entice you with another article on an entirely different subject. Go strictly for scholarly search engines such as Google Scholar or major databases.

5. Proofread the paper AYG (as you go)

Finishing a 5-page essay in a couple of hours requires you to be as precise as possible. Watch out for the information you type.

After typing each paragraph, go back and proofread it immediately. Do not wait until you have written the entire paper.

6.   The secret in the conclusion

Imagine your lecturer has 250 students, each submitting their essays for grading. How much effort can he put into reading every single word before he gets exhausted? Probably 100 essays!

What if your essay is the 180th paper? The lecturer will most likely check your introduction and skim through your subheadings before focusing on your conclusion. That is what will get you the score.

This idea does not mean that you should ignore the body of the essay. Make it as interesting to read as possible.

Having the conclusion in mind is critical for a coherent essay because it acts as a guiding light for the writing process.

An example conclusion statement based on the essay topic mentioned earlier could be something like this:

That pesky 5 page essay or paper may be one of the most common assignments for students. Why? Because instructors like assigning them throughout a semester, rather than one lengthy and long paper at the end of the course. They want to know if students are mastering what they should be learning in smaller chunks. It is not unusual, then, that a student may get two-three of these assignments in many courses they take. 

So, what exactly is a five-page essay? It kind of runs between an essay which is usually shorter, and a paper, which is usually longer. Still, if it’s five pages, it’s likely that you will be doing a bit of research – you will have to back up the points you make with some facts, after all. So, you can easily call it a 5 page research paper.

If you are wondering how many words is a five page essay or paper, the amount will vary only a little, depending on the font you use. It will run between 1250 and 1375 words. This means that you will have to choose a topic that is not too complex, because of your word limit. And in most cases, that topic will have to be related to the most recent one or more units of study in your course. 

Suggestion: Once you have chosen your topic, run it by your instructor or the course TA. They will be able to confirm that the topic is okay in-depth for five pages.

In general, you’ll be using the same process for a five-page paper that you would use for longer papers. Yes, it can be tedious, and yes it doesn’t seem quite fair for such a short assignment. But if you skip steps, you’ll be sorry. Here are those steps:

Get a Topic that Works

It does really matter how many words is a five-page paper when you are choosing a topic. You might have some strong opinions about climate change, but you cannot possibly cover them all in such a short work. You will have to  narrow that topic  to one opinion about one type of climate change issue and just address that. Here’s the process for getting 5 page essay topics that work with the example of climate change.

General Topic Area: Climate Change

Effects of Climate Change: oceans, air, agriculture, animal life, weather, etc.

Causes of Climate Change: CO2 emissions, methane gas, land cover, deforestation, destruction of ecosystems, etc.

Topic for Paper: One of the effects or causes, and only one of them.

So, pick the cause or effect that you feel most passionate about. You will be far more motivated to complete the project.

Get Some Facts

Yes, your paper is short, but it can’t be full of your opinions and “rants.” You have to have some facts to back up your thesis. This calls for a bit of research.

Fortunately, because your topic is narrowed, your research will be narrower too – that’s a good thing.

Maybe you have decided to focus on the effect of climate change on the ocean temperatures. They are getting warmer, and that is affecting weather, sea life, and coastal flooding. So, get some scientific data on those three things, along with the analyses and opinions of recognized scientific experts, and you will be good to go.

Develop Your Thesis Statement

Once your research is complete, you will have an idea of the main point you want to get across. Ask yourself: “What do I want my reader to understand from reading my paper?” The answer will most likely get you to your thesis statement. 

Yes, You Do Need an Outline

Don’t skip this step just because your paper is short. Each of your major points needs to be addressed in a logical order. Putting together a 5 page essay outline will give you that order and will keep you on track while you write. Determining the order in which you cover your points is your option. Some start with the most compelling or important point and work down to the least. Others do just the opposite.

Rough Draft, Revision, and Final Draft

Sound familiar? It should. These are the next steps. Write your rough draft from your outline, walk away from it for a while, then come back to review it and revise.

Ready for the Introduction and Conclusion

Write your introduction last, after you have all of your thoughts down on paper. You want to begin with some startling fact, an anecdote, or a compelling quote to get your reader’s attention. Here’s one for ocean warming and rising: Scientists now say that Miami may be underwater before today’s children are senior citizens. That’s pretty startling and will get your reader’s attention right away.

About that Conclusion: You either want to summarize the points you made, give a call to action, or both. You can also restate your thesis in different words.

How Long Does it Take to Write a 5 Page Paper?

That depends. Sometimes, these are harder to write than a longer paper or a shorter, 5-paragraph essay. You have to be careful about the topic and about your words. You may need to re-write several times and take out unnecessary phrases to keep the length under control. If you include the research part of the five-page paper, you are looking at hours of time. 

Many students who have procrastinated try to figure out how to write a five page essay in one night. Is it possible to do it that fast? It might be, but those students will need to begin early in the evening and proceed throughout the night without any sleep. And they will be doing all of their research online, of course. And there will probably be little time for editing and revising that rough draft. The risk is that the final grade will not be anywhere near what it would have been had a student given it at least a few days.

How Many Paragraphs in a 5 Page Essay?

There is no correct answer to this question. The format really depends upon the number of points to be made and how complex they are. Obviously, the introduction and conclusion will each consume one paragraph. And each point may include more than one paragraph. 

The better question to ask is: “Can cover all of my points well within five pages?” if not, then the least important points may have to be removed. Do not think that you can simply change double-spacing to a single-spaced piece, just to get everything in. No instructor will allow that.

How do you structure a paragraph in an essay?

If you’re like the majority of my students, you might be getting your basic essay paragraph structure wrong and getting lower grades than you could!

In this article, I outline the 11 key steps to writing a perfect paragraph. But, this isn’t your normal ‘how to write an essay’ article. Rather, I’ll try to give you some insight into exactly what teachers look out for when they’re grading essays and figuring out what grade to give them.

1. Paragraphs must be at least four sentences long 2. But, at most seven sentences long 3. Your paragraph must be Left-Aligned 4. You need a topic sentence 5 . Next, you need an explanation sentence 6. You need to include an example 7. You need to include citations 8. All paragraphs need to be relevant to the marking criteria 9. Only include one key idea per paragraph 10. Keep sentences short 11. Keep quotes short

Paragraph structure is one of the most important elements of getting essay writing right .

As I cover in my Ultimate Guide to Writing an Essay Plan , paragraphs are the heart and soul of your essay.

However, I find most of my students have either:

  • forgotten how to write paragraphs properly,
  • gotten lazy, or
  • never learned it in the first place!

Paragraphs in essay writing are different from paragraphs in other written genres .

In fact, the paragraphs that you are reading now would not help your grades in an essay.

That’s because I’m writing in journalistic style, where paragraph conventions are vastly different.

For those of you coming from journalism or creative writing, you might find you need to re-learn paragraph writing if you want to write well-structured essay paragraphs to get top grades.

Below are eleven reasons your paragraphs are losing marks, and what to do about it!

11 tips for perfect paragraphs

Essay Paragraph Structure Rules

1. your paragraphs must be at least 4 sentences long.

In journalism and blog writing, a one-sentence paragraph is great. It’s short, to-the-point, and helps guide your reader. For essay paragraph structure, one-sentence paragraphs suck.

A one-sentence essay paragraph sends an instant signal to your teacher that you don’t have much to say on an issue.

A short paragraph signifies that you know something – but not much about it. A one-sentence paragraph lacks detail, depth and insight.

Many students come to me and ask, “what does ‘add depth’ mean?” It’s one of the most common pieces of feedback you’ll see written on the margins of your essay.

Personally, I think ‘add depth’ is bad feedback because it’s a short and vague comment. But, here’s what it means: You’ve not explained your point enough!

If you’re writing one-, two- or three-sentence essay paragraphs, you’re costing yourself marks.

Always aim for at least four sentences per paragraph in your essays.

This doesn’t mean that you should add ‘fluff’ or ‘padding’ sentences.

Make sure you don’t:

a) repeat what you said in different words, or b) write something just because you need another sentence in there.

But, you need to do some research and find something insightful to add to that two-sentence paragraph if you want to ace your essay.

2. Your Paragraphs must not be more than 7 Sentences Long

Okay, so I just told you to aim for at least four sentences per paragraph. So, what’s the longest your paragraph should be?

Seven sentences. That’s a maximum.

So, here’s the rule:

Between four and seven sentences is the sweet spot that you need to aim for in every single paragraph.

Here’s why your paragraphs shouldn’t be longer than seven sentences:

1. It shows you can organize your thoughts. You need to show your teacher that you’ve broken up your key ideas into manageable segments of text (see point 10)

2. It makes your work easier to read.   You need your writing to be easily readable to make it easy for your teacher to give you good grades. Make your essay easy to read and you’ll get higher marks every time.

One of the most important ways you can make your work easier to read is by writing paragraphs that are less than six sentences long.

3. It prevents teacher frustration. Teachers are just like you. When they see a big block of text their eyes glaze over. They get frustrated, lost, their mind wanders … and you lose marks.

To prevent teacher frustration, you need to ensure there’s plenty of white space in your essay. It’s about showing them that the piece is clearly structured into one key idea per ‘chunk’ of text.

Often, you might find that your writing contains tautologies and other turns of phrase that can be shortened for clarity.

3. Your Paragraph must be Left-Aligned

Turn off ‘Justified’ text and: Never. Turn. It. On. Again.

Justified text is where the words are stretched out to make the paragraph look like a square. It turns the writing into a block. Don’t do it. You will lose marks, I promise you! Win the psychological game with your teacher: left-align your text.

A good essay paragraph is never ‘justified’.

I’m going to repeat this, because it’s important: to prevent your essay from looking like a big block of muddy, hard-to-read text align your text to the left margin only.

You want white space on your page – and lots of it. White space helps your reader scan through your work. It also prevents it from looking like big blocks of text.

You want your reader reading vertically as much as possible: scanning, browsing, and quickly looking through for evidence you’ve engaged with the big ideas.

The justified text doesn’t help you do that. Justified text makes your writing look like a big, lumpy block of text that your reader doesn’t want to read.

What’s wrong with Center-Aligned Text?

While I’m at it, never, ever, center-align your text either. Center-aligned text is impossible to skim-read. Your teacher wants to be able to quickly scan down the left margin to get the headline information in your paragraph.

Not many people center-align text, but it’s worth repeating: never, ever center-align your essays.

Don’t annoy your reader. Left align your text.

4. Your paragraphs must have a Topic Sentence

The first sentence of an essay paragraph is called the topic sentence. This is one of the most important sentences in the correct essay paragraph structure style.

The topic sentence should convey exactly what key idea you’re going to cover in your paragraph.

Too often, students don’t let their reader know what the key idea of the paragraph is until several sentences in.

You must show what the paragraph is about in the first sentence.

You never, ever want to keep your reader in suspense. Essays are not like creative writing. Tell them straight away what the paragraph is about. In fact, if you can, do it in the first half of the first sentence .

I’ll remind you again: make it easy to grade your work. Your teacher is reading through your work trying to determine what grade to give you. They’re probably going to mark 20 assignments in one sitting. They have no interest in storytelling or creativity. They just want to know how much you know! State what the paragraph is about immediately and move on.

Ideal Essay Paragraph Structure Example: Writing a Topic Sentence If your paragraph is about how climate change is endangering polar bears, say it immediately : “Climate change is endangering polar bears.” should be your first sentence in your paragraph. Take a look at first sentence of each of the four paragraphs above this one. You can see from the first sentence of each paragraph that the paragraphs discuss:

When editing your work, read each paragraph and try to distil what the one key idea is in your paragraph. Ensure that this key idea is mentioned in the first sentence .

(Note: if there’s more than one key idea in the paragraph, you may have a problem. See Point 9 below .)

The topic sentence is the most important sentence for getting your essay paragraph structure right. So, get your topic sentences right and you’re on the right track to a good essay paragraph.

5. You need an Explanation Sentence

All topic sentences need a follow-up explanation. The very first point on this page was that too often students write paragraphs that are too short. To add what is called ‘depth’ to a paragraph, you can come up with two types of follow-up sentences: explanations and examples.

Let’s take explanation sentences first.

Explanation sentences give additional detail. They often provide one of the following services:

Let’s go back to our example of a paragraph on Climate change endangering polar bears. If your topic sentence is “Climate change is endangering polar bears.”, then your follow-up explanation sentence is likely to explain how, why, where, or when. You could say:

Ideal Essay Paragraph Structure Example: Writing Explanation Sentences 1. How: “The warming atmosphere is melting the polar ice caps.” 2. Why: “The polar bears’ habitats are shrinking every single year.” 3. Where: “This is happening in the Antarctic ice caps near Greenland.” 4. When: “Scientists first noticed the ice caps were shrinking in 1978.”

You don’t have to provide all four of these options each time.

But, if you’re struggling to think of what to add to your paragraph to add depth, consider one of these four options for a good quality explanation sentence.

6. Your need to Include an Example

Examples matter! They add detail. They also help to show that you genuinely understand the issue. They show that you don’t just understand a concept in the abstract; you also understand how things work in real life.

Example sentences have the added benefit of personalising an issue. For example, after saying “Polar bears’ habitats are shrinking”, you could note specific habitats, facts and figures, or even a specific story about a bear who was impacted.

Ideal Essay Paragraph Structure Example: Writing an ‘Example’ Sentence “For example, 770,000 square miles of Arctic Sea Ice has melted in the past four decades, leading Polar Bear populations to dwindle ( National Geographic, 2018 )

In fact, one of the most effective politicians of our times – Barrack Obama – was an expert at this technique. He would often provide examples of people who got sick because they didn’t have healthcare to sell Obamacare.

What effect did this have? It showed the real-world impact of his ideas. It humanised him, and got him elected president – twice!

Be like Obama. Provide examples. Often.

7. All Paragraphs need Citations

Provide a reference to an academic source in every single body paragraph in the essay. The only two paragraphs where you don’t need a reference is the introduction and conclusion .

Let me repeat: Paragraphs need at least one reference to a quality scholarly source .

Let me go even further:

Students who get the best marks provide two references to two different academic sources in every paragraph.

Two references in a paragraph show you’ve read widely, cross-checked your sources, and given the paragraph real thought.

Ideal Essay Paragraph Structure Example: In-Text Referencing in Paragraphs Usually, in-text referencing takes the format: (Author, YEAR), but check your school’s referencing formatting requirements carefully. The ‘Author’ section is the author’s last name only. Not their initials. Not their first name. Just their last name . My name is Chris Drew. First name Chris, last name Drew. If you were going to reference an academic article I wrote in 2019, you would reference it like this: (Drew, 2019).

Where do you place those two references?

Place the first reference at the end of the first half of the paragraph. Place the second reference at the end of the second half of the paragraph.

This spreads the references out and makes it look like all the points throughout the paragraph are backed up by your sources. The goal is to make it look like you’ve reference regularly when your teacher scans through your work.

Remember, teachers can look out for signposts that indicate you’ve followed academic conventions and mentioned the right key ideas.

Spreading your referencing through the paragraph helps to make it look like you’ve followed the academic convention of referencing sources regularly.

Here are some examples of how to reference twice in a paragraph:

  • If your paragraph was six sentences long, you would place your first reference at the end of the third sentence and your second reference at the end of the sixth sentence.
  • If your paragraph was five sentences long, I would recommend placing one at the end of the second sentence and one at the end of the fifth sentence.

8. Every Paragraph must be relevant to the Marking Criteria

Every paragraph must win you marks. When you’re editing your work, check through the piece to see if every paragraph is relevant to the marking criteria.

For the British: In the British university system (I’m including Australia and New Zealand here – I’ve taught at universities in all three countries), you’ll usually have a ‘marking criteria’. It’s usually a list of between two and six key learning outcomes your teacher needs to use to come up with your score. Sometimes it’s called a:

  • Marking criteria
  • Marking rubric
  • (Key) learning outcome
  • Indicative content

Check your assignment guidance to see if this is present. If so, use this list of learning outcomes to guide what you write. If your paragraphs are irrelevant to these key points, delete the paragraph .

Paragraphs that don’t link to the marking criteria are pointless. They won’t win you marks.

For the Americans: If you don’t have a marking criteria / rubric / outcomes list, you’ll need to stick closely to the essay question or topic. This goes out to those of you in the North American system. North America (including USA and Canada here) is often less structured and the professor might just give you a topic to base your essay on.

If all you’ve got is the essay question / topic, go through each paragraph and make sure each paragraph is relevant to the topic.

For example, if your essay question / topic is on “The Effects of Climate Change on Polar Bears”,

  • Don’t talk about anything that doesn’t have some connection to climate change and polar bears;
  • Don’t talk about the environmental impact of oil spills in the Gulf of Carpentaria;
  • Don’t talk about black bear habitats in British Columbia.
  • Do talk about the effects of climate change on polar bears (and relevant related topics) in every single paragraph .

You may think ‘stay relevant’ is obvious advice, but at least 20% of all essays I mark go off on tangents and waste words.

9. Only have one Key Idea per Paragraph

One key idea for each paragraph. One key idea for each paragraph. One key idea for each paragraph.

Don’t forget!

Too often, a student starts a paragraph talking about one thing and ends it talking about something totally different. Don’t be that student.

To ensure you’re focussing on one key idea in your paragraph, make sure you know what that key idea is. It should be mentioned in your topic sentence (see Point 3 ). Every other sentence in the paragraph adds depth to that one key idea.

If you’ve got sentences in your paragraph that are not relevant to the key idea in the paragraph, they don’t fit. They belong in another paragraph.

Go through all your paragraphs when editing your work and check to see if you’ve veered away from your paragraph’s key idea. If so, you might have two or even three key ideas in the one paragraph.

You’re going to have to get those additional key ideas, rip them out, and give them paragraphs of their own.

If you have more than one key idea in a paragraph you will lose marks. I promise you that.

The paragraphs will be too hard to read, your reader will get bogged down reading rather than scanning, and you’ll have lost grades.

10. Keep Sentences Short

If a sentence is too long it gets confusing. When the sentence is confusing, your reader will stop reading your work. They will stop reading the paragraph and move to the next one. They’ll have given up on your paragraph.

Short, snappy sentences are best.

Shorter sentences are easier to read and they make more sense. Too often, students think they have to use big, long, academic words to get the best marks. Wrong. Aim for clarity in every sentence in the paragraph. Your teacher will thank you for it.

The students who get the best marks write clear, short sentences.

When editing your draft, go through your essay and see if you can shorten your longest five sentences.

11. Keep Quotes Short

Eighty percent of university teachers hate quotes. That’s not an official figure. It’s my guestimate based on my many interactions in faculty lounges. Twenty percent don’t mind them, but chances are your teacher is one of the eight out of ten who hate quotes.

Teachers tend to be turned off by quotes because it makes it look like you don’t know how to say something on your own words.

Now that I’ve warned you, here’s how to use quotes properly:

Ideal Essay Paragraph Structure Example: How To Use Quotes in University-Level Essay Paragraphs 1. Your quote should be less than one sentence long. 2. Your quote should be less than one sentence long. 3. You should never start a sentence with a quote. 4. You should never end a paragraph with a quote. 5 . You should never use more than five quotes per essay. 6. Your quote should never be longer than one line in a paragraph.

The minute your teacher sees that your quote takes up a large chunk of your paragraph, you’ll have lost marks.

Your teacher will circle the quote, write a snarky comment in the margin, and not even bother to give you points for the key idea in the paragraph.

Avoid quotes, but if you really want to use them, follow those five rules above.

But, I also think students would appreciate hearing the truth.

Behind closed doors many / most university teachers are very open about the fact they ‘only have time to skim-read papers’. They regularly bring this up during heated faculty meetings about contract negotiations! I.e. in one university I worked at, we were allocated 45 minutes per 10,000 words – that’s just over 4 minutes per 1,000 word essay, and that’d include writing the feedback, too!

If students know the truth, they can better write their essays in a way that will get across the key points even from a ‘skim-read’.

I hope to write candidly on this website – i.e. some of this info will never be written on university blogs because universities want to hide these unfortunate truths from students.

Most of the steps and user interfaces are alike. I’ll also note additional features that are available under the business versions of Copilot and Microsoft 365.

Note: Microsoft 365 apps aren’t completely consistent on different platforms — for instance, a menu choice in Word for Windows might be named differently from the same option in the web version of Word. In these cases, I’ve tried to include both names. You may still find instances where a button or menu item doesn’t match, but it’s generally obvious what to do.

Copilot can help you compose text drafts in Word and Outlook. In Outlook, you use Copilot through a panel that appears over the main area of the app. In Word, you can use Copilot from a similar panel that overlays the document, or from a sidebar that opens along the right of the page.

Using the “Draft with Copilot” panel in Word and Outlook

Word: Start with a new, blank document or open an existing document that you’d like to add more writing to. (Set the cursor where you want the generated text to be inserted.) Click the Copilot icon that appears in the left margin.

In the desktop version of Word for Windows, there’s a Reference a file button at the bottom of the Draft with Copilot panel. Clicking this may let you select a document in your OneDrive or SharePoint for Copilot to base its generated text on, including content, writing style, and formatting. (Business users can select up to three files for Copilot to reference.) You can also type your prompt followed by a / (forward slash) and a document’s file name to trigger Copilot to reference it.

But know that this function may not work for you – it apparently depends on whether Copilot itself thinks you have documents that it can reference for you.

Outlook: With the cursor in the message body of a new email, click the Copilot button on the Home tab of the ribbon toolbar. On the drop-down menu that opens, click Draft with Copilot .

To get started with Copilot in Outlook, click the Copilot button in the ribbon toolbar.

On the “Draft with Copilot” panel that opens, type your prompt inside the text entry box. The panel is similar to what you see in Word, but with an additional option: a button with two sliders on it that may say Adjust or Generate options , depending on your version of Outlook. When you click it, a drop-down menu opens that lists options for tone of voice and word length for the generated email draft.

Crafting your prompts

Prompts are sentences that you enter to instruct Copilot (or other AI assistants) how to compose the text you want created. Your prompt should minimally include the subject and a few specifics about the writing you want it to generate.

To get started, describe the kind of text you want Copilot to generate and add a detail or two about it. These prompts can be simple or a little more complex. For example:

  • “Create a brief business pitch for a new vegan restaurant that will be located in downtown Atlanta, Georgia.”
  • “Write an opening paragraph describing my interest in a technical support job opening at Microsoft.”
  • “Write a few sentences that inquire if there are any job openings in technical support at Microsoft.”
  • “Compose a polite follow-up with the recipient about a video call we had last week.”

The more specifics you include in your prompt, the more likely you are to get good results. For instance, if you have notes that contain specific data points that you want to include in the generated text, copy and paste those notes into your prompt. If you have an outline for the topics you want to cover in the draft, paste that in as well.

But frankly, there are no hard rules about writing prompts — just use your imagination and see how Copilot responds. Expect that the AI may not generate results that you like (if it generates any at all). Keep experimenting with the descriptions in your prompts until you coax Copilot to produce a useful response.

Once you’ve entered your prompt (and optionally selected a tone and length in Outlook), click the Generate button or press Enter on your keyboard and wait for Copilot to work its AI magic.

The results are in – actions you can take

When Copilot has generated a draft, it appears in the document or email with a toolbar below it.

In Word, use the toolbar below the generated draft to keep, retry, discard, or refine the text.

You can use the toolbar to perform the following functions:

  • Click the Keep it button to keep the newly minted words in your document or email. You can then edit the generated text in the doc or email as you see fit.
  • Click the Regenerate button (two circular arrows) if you’re not satisfied with the result and want Copilot to generate a whole new one.
  • Click the Discard button (a trashcan) to discard the result.
  • Refine the result by typing more prompts in the text entry box (e.g., “add more details,” “make this sound more professional,” or “make it shorter”) and clicking the arrow. Copilot will generate an updated writing result using your additional commands and descriptions.
  • Optionally click the thumbs up or down icon in the upper-right corner of the toolbar to rate the quality of the result that Copilot generated. Presumably, this helps train the Copilot to produce better results in the future.

In Outlook, the buttons and text entry box are arranged differently in the toolbar, but they perform the same actions on an email draft that Copilot generates for you. You can also use the Adjust or Generate options button to change the tone or length.

Important: All AI-generated content can contain errors or outright fabrications, known as hallucinations. When you insert text that Copilot has generated into a document or email, be sure to fact-check it carefully.

AI-generated content also tends to be generic and a bit boring, so you’ll likely want to edit it to inject your own personality or writing style.

Using the Copilot sidebar in Word

On the Home tab in Word’s ribbon toolbar, click the Copilot button. This will open the Copilot sidebar to the right. At the bottom of the sidebar, type your prompt inside the text entry box and click the arrow button (or press Enter). Copilot will generate text and display it inside the sidebar.

Click the Copy button to copy the writing to your PC clipboard. You can then paste it into a document, note, email, or elsewhere.

Unlike the Draft with Copilot panel, the Copilot sidebar doesn’t include tools for refining text it generates from scratch. What’s more, Copilot’s behavior in the sidebar feels a little unreliable, producing inconsistent results. The sidebar seems better used for summarizing your document or asking the AI questions about it than for generating text.

Get coaching on an email draft in Outlook

If you’d rather compose emails yourself but would like some suggestions for improvement, there’s a nifty Copilot feature in Outlook called email coaching. After you’ve written your email draft, click the Copilot button on the Home tab in the ribbon toolbar. On the menu that appears, choose Coaching by Copilot .

Copilot will review your draft and offer specific suggestions for improving it in terms of tone, reader engagement, and clarity.

You can rewrite passages of text in a Word document or a OneNote page. This can be useful if you feel that your writing could use a little more detail, or if a paragraph sounds too wordy.

In Word, you can use either the Copilot panel or sidebar (as described earlier in this guide) to command Copilot to rewrite. In OneNote, you can use the sidebar or a right-click menu option.

Note: As of this writing, Copilot is available for OneNote only in the Windows desktop app.

Using the “Rewrite with Copilot” panel in Word

Highlight the passage of text that you want Copilot to rewrite. The Copilot button will appear in the margin to the left of the text that you highlighted. Click it, and on the menu that opens, select Auto rewrite or Rewrite with Copilot . Alternatively, you can right-click on your highlighted text, and on the menu that opens, select Copilot > Rewrite with Copilot .

In Word, select the text you want to rewrite, click the Copilot icon in the left margin, and select Auto rewrite .

Either way, the “Rewrite with Copilot” panel appears below your highlighted text. Copilot will generate and present up to three rewritten versions in the panel. Click the arrows at the top of the panel to cycle through the rewrites.

Below the rewritten text, you can click the following buttons:

  • Replace will replace the original text that you highlighted with the currently visible rewritten version.
  • Insert below will insert the rewritten version below the original text you highlighted (so that you can decide later if you want to keep it).
  • The Regenerate button (two circular arrows) will generate another result.
  • In the Word desktop app for Windows, there’s an Adjust tone button (an icon with two sliders); it opens a menu that lets you select another writing style. Copilot will then adjust its result with the style you select.
  • In the Word web app, there’s a text entry box where you can refine the result by typing more prompts.

Note: Users with Copilot and M365 business subscriptions can also have Copilot rewrite messages in Teams . This feature works similarly to the Rewrite with Copilot panel in Word.

Using the Copilot sidebar in Word or OneNote

On the Home tab in the ribbon toolbar, click the Copilot button to open the Copilot sidebar to the right. To have Copilot rewrite the whole document or note, type rewrite inside the sidebar’s text entry box. To have it rewrite a specific paragraph, supply the paragraph number. You can also describe how you want the text to be rewritten, such as rewrite first paragraph to be shorter or rewrite paragraph 3 to sound more professional .

Copilot’s rewritten text appears in the sidebar. Below this result you’ll see the Copy button to copy the rewritten text to your clipboard.

If you want to adjust Copilot’s rewriting result, you can click one of the suggested prompts that appear in the sidebar below the generated text and above the text entry box. To see different prompt suggestions, click the circular arrow icon.

Although the Copilot sidebar offers more options for refining its rewritten text than it does for text it generates from scratch, it’s still underpowered compared to the Rewrite with Copilot panel. The best way to rewrite text with Copilot in Word is to use the Rewrite with Copilot panel.

Using the right-click menu in OneNote

Alternatively, in OneNote, you can right-click the top bar of a text field on a page. On the menu that opens, select Copilot and on the next menu, Rewrite .

This action will trigger Copilot to rewrite everything inside this text field. The rewrite will then be set inside the top of the text field.

You can have Copilot generate a brief summary of a long document in Word or a page in OneNote. For this to work well, Microsoft says the document or page should contain at least 300 words but no more than 20,000.

In Outlook, Copilot can summarize a long email and, even more useful, the conversation within an entire email thread.

Using the Copilot sidebar in Word and OneNote

With the document opened in Word or page opened in OneNote, highlight the text that you want summarized. (If you want a summary of the entire document or page, skip this step.)

Click the Copilot button on the Home tab of the ribbon toolbar to open the Copilot sidebar. Inside the text entry box, type summarize and click the arrow button.

Below the summary, there’s the familiar Copy button to copy the summary to your PC clipboard.

Below that, you can click References to see a list of citations within the document that Copilot used to generate this summary. Clicking a snippet of the cited text will show in the main window of the app where in the document or page these words are. Clicking the down arrow to the right of a citation will show the passage that Copilot used as a citation.

Between the results field and the text entry box, you’ll see suggested prompts that you can click to revise the summary. Click the circular arrow icon to refresh these prompts with new suggestions.

Summarizing emails and threads in Outlook

Open the email or conversation that you want to summarize. Click Summarize or Summary by Copilot at the top of the email thread. Copilot will generate a summary of the email or thread.

Getting a summary when sharing a Word doc (business plans only)

If you have Copilot with a Microsoft 365 business plan, you can use Copilot to generate a summary of a Word document when you share it with your co-workers. This summary is inserted as a passage of text inside the message that your co-workers receive inviting them to collaborate on the document.

With the document open in Word, click the Share button toward the upper right. On the Share panel that opens, click the Copilot icon inside the lower right of the “Add a message” composition box. The AI will generate and insert the summary. You can edit the summary before you send out the invite.
