How to Present on Zoom: Google Slides and Powerpoint Presentation Guide & Tips

google slides presentation zoom

Presenting in front of your peers and superiors has to be one of the most daunting tasks ever. You’re never quite sure about the feedback you’d be getting, which only adds to the tension. However, in this pandemic season, the task of presenting has somehow gotten even more challenging. There are a lot of technical hurdles to overcome, which can seriously take the winds out of someone’s sail — especially if they are not very experienced on the matter.

Zoom, of course, has been the most popular video conferencing application over the last few months and offers a plethora of tools to put our minds at ease. Today, we’ll take you through all of them and even give you a couple of pointers to improve your presentation in Zoom.

What is Zoom Screen Share and why is it important?

Screen Share is one of the most used and most important features of Zoom. It allows you to demonstrate your thoughts, give your peers a glimpse of your ideas. You can either share an application window, your entire desktop, or even a whiteboard — the possibilities are limitless here.

You can also start a screen sharing session without jumping through hoops of creating a separate meeting. Simply click/tap on the ‘Share Screen’ button in the Zoom client — both PC and mobile — and you’re good to go.

Related: How to use Zoom Filters

Remember you’ll need a sharing key or meeting key for this to work. If you don’t have access to either, you must share your screen while you’re in a meeting.

To share your screen during a meeting, first, log in with the appropriate credentials and start a meeting. Then, hit the ‘Share Screen’ — ‘Share’ while on mobile — button right in the middle of the meeting options panel and what you want to share with the class.

We’ve covered the topic of screen sharing on Zoom quite extensively in a separate article. So, be sure to check that out .

How to present a Powerpoint PPT in Zoom?

Microsoft Office suite is, without a doubt, the most widely-used presentation applications on the planet. It’s been on our computers for ages and it’s likely to stay put for a considerable amount of time.

With that said, Zoom doesn’t straight up give you the option to load the Microsoft Office component in the application. Still, there’s a pretty straightforward method of presenting in front of the class.

Related: 50+ Best Zoom Games

You can achieve the desired results with the help of Zoom’s Screen Sharing feature — yes, the bit we covered in the previous section. It simply allows you to pick a window of your choice and share it with the class.

What’s even more awesome is that the participants could even pitch in and share their thoughts if they see fit. Alternatively, you can also share your entire desktop screen, which is the best way to get more screen real estate.

With the basics out of the way, let’s see how you can present a slide on Zoom.

1. Create a separate slideshow window

If you have a traditional single-screen setup, this is the only guide you need to concern yourself with. The methodology is split into two bits — one: PowerPoint and two: Zoom.

First, open up Microsoft PowerPoint and pick the slide you want to share. Now, click on the ‘Slide show’ tab and hit ‘Set Up Slide Show.’

google slides presentation zoom

Then, select ‘Browsed by an individual (window)’ under ‘Show type.’ Hit ‘Ok’ to confirm.

google slides presentation zoom

Finally, switch to slide show mode by clicking on the ‘Slide Show’ tab and selecting either ‘From Beginning’ or ‘From Next Slide.’

google slides presentation zoom

This would open a slide show window, separately. If you do not want to show the slideshow in a separate window, all you have to do is skip the previous step — ‘Browsed by an individual (window)’

2. Present PPT on Zoom

Now, go back to your Zoom meeting and click on the ‘Share Screen’ option.

google slides presentation zoom

Now that the PPT has been launched in a separate window, you can easily select that window on the next screen and commence the slideshow. Click on ‘Share’ to begin.

How to present using Google Slides on Zoom?

If Microsoft PowerPoint is a little too heavy for you, you could always opt for Google’s adequately powerful alternative called Slides. It allows you to create interesting yet simple presentations and share as you see fit. Of course, it also needs Zoom’s Screen Share feature to work as intended, which, at this point, should feel pretty natural to you.

1. Use Presenter View

Now, if you want a more immersive experience and also keep track of the notes you might have, we recommend using the ‘Presenter View.’ With the View enabled, Google Slides would create a separate window for all your notes, which only you’d be able to see. The main presentation window, on the other hand, would remain clutter-free and free from distractions.

To use the ‘Presenter View,’ first, you simply need to go to your presentation page, click on the little downward arrow right next to the ‘Present’ button at the top-right.

google slides presentation zoom

Now, hit ‘Presenter View.’

As soon as you click that button, you’ll get a separate space for all your notes, while another clean window would appear for slideshows.

2. Use Zoom to present

Now that the windows have been separated, you can easily use Zoom to present the slideshow window. While in a meeting, click on the ‘Share Screen’ button and select the browser window with Google Slides on top.

Finally, hit ‘Share’ to start the screen-sharing session.

Some tips for a successful presentation

As we’ve discussed, presenting is one of the most daunting tasks in the world for most, even virtually. The techy jargon often only adds to the tension, making many people dread the sessions, even when they are completely prepared. Below are some basic handy tips for your next presentation.

Related: How to annotate on Zoom

1. Master your craft

Knowing the material is always the best way to prepare for a hectic presentation. If you know what you’re presenting and have complete faith in the report, you’re ought to do exceptionally well. However, when it comes to Zoom presentations, knowing just the material isn’t enough. You also need to make sure all your components are in order and you’re presenting with confidence.

Try a couple of dry runs, see if your presentation is working just as it’s supposed to. Practice the pitch if you have to. Checking all of these boxes would improve your chances of success, remarkably.

2. Dress for the occasion

When you’re not forced to present in a swanky conference room, it’s not difficult to lose track of the dressing etiquette. However, you must remember the scale of your presentation and try your best to look the part. Wearing a perfectly ironed shirt and fitted trousers would not only impress your peers and superiors, but it’ll also instill a sense of confidence in you.

3. Create a quiet environment

Zoom is quite capable of filtering some noise out of video chats. However, it doesn’t have the quality to cancel out everything you throw at it. So, before you start a video conferencing session and go about your presentation, make sure you’re in a relatively quiet environment. There can be a bit of noise, here and there, but make sure your subtle points aren’t drowned by some rogue barks from the street below.

Step 1: Navigate to Your Slide

It’s that easy!

Utilizing the View Menu

Google Slides’ View Menu provides a variety of specific zooming options, offering more precision compared to the slider.

Step 1: Access the Menu

Google Slides zoom in - menu

Hover to the upper-left corner of your screen and locate the “View” tab. Clicking on this will drop down a menu filled with several viewing and editing options.

Step 2: Select Zoom

Google Slides zoom in - menu 2

Within this dropdown, you’ll find an option labeled ‘Zoom.’ Hovering over this reveals a submenu with predetermined zoom levels.

Step 3: Choose Your Magnification

This submenu allows you to quickly jump to specific zoom percentages. You can opt for zoom levels like 50%, 75%, 100% (the default view), 150%, or 200%.

For those aiming to get an undistracted, maximized view, there’s also a ‘Full-screen’ mode, immersing you entirely in your slide.

Best Practices for Zooming in Google Slides

Zooming isn’t just about getting closer or farther from your slide. It’s about optimizing your workflow, ensuring clarity, and maintaining presentation aesthetics.

1. Optimal Magnification

For precision tasks and detailed editing, a zoom level between 100% and 150% is typically ideal. This range offers clarity without inducing pixelation or distortion.

2. Retain a Broad Perspective

It’s easy to lose sight of the overall design when focused on details. Periodically zoom out to the default view or broader to evaluate the holistic balance and layout of your slide.

3. Use Keyboard Shortcuts Wisely

While shortcuts expedite tasks, over-relying on them can lead to excessive zooming. Familiarize yourself with the sensitivity of these shortcuts to avoid abrupt or unintended zoom levels.

4. Keep the Audience’s Perspective in Mind

Remember that during actual presentations, your audience will typically view slides at a 100% zoom level. Ensure all elements, from text to images, are legible and visually cohesive at this default level.

5. Full-Screen Preview

Switch to ‘Full-screen’ mode occasionally. This provides a simulated presentation view, helping gauge the visual impact and effectiveness of each slide.

6. Monitor System Performance

Working on graphics-intense slides can strain system resources. Continuously altering zoom levels can exacerbate this. Find a comfortable zoom setting for editing and stick to it when possible, adjusting only when necessary.

Mastering the art of zooming in Google Slides is about more than just a closer view. It’s a balance between detail and perspective, ensuring your final presentation is both compelling and coherent.

With the above insights, you’re set to navigate Google Slides with newfound precision and confidence. Dive into your next project, and remember: it’s all in the details.

An intriguing part of the zoom function in Google Slides is that it is tough to spot for first-time presenters; but once you understand how it works, zooming in and out on Google Slides becomes easy! Let’s explore 3 methods to understand how to zoom in on Google Slides, along with zooming out. Once you have grasped, you can zoom in to any element you want to focus on during your Google Slides presentation.

How to Zoom In/Out On Google Slides?

Zooming keeps your audience’s attention directed to specific images or data or graphics, helping them follow your narrative closely in any professional meeting. It also prevents them from getting overwhelmed by too much information at once.

As an alternative, you can also learn to change the size of the slides in Google Slides instead of zooming in and out in Google Slides. Nevertheless, you must know how to zoom in and out on Google Slides while presenting to have an impact.

There are 3 methods to zoom in and out in Google Slides:

  • The “View” option
  • Toolbar option
  • Shortcut keys

How to Zoom In and Zoom Out on Google Slides Using The “View” Option?

It is easy and quick to zoom in and out on Google Slides using the “View” option. Apply this step-by-step method in your Google Slides presentation.

To Zoom In and Zoom Out:

  • Open your Google Slides presentation and select “View” from the menu bar. It is the third option from the left and is located on the upper right of the screen.
  • When you select “View”, a menu will appear. Select “Zoom” from the drop-down menu.
  • Another drop-down option will appear in which “Zoom In” and “Zoom Out” are the final 2 choices on this menu. Select the best option for the slides you’re using.
  • Alternatively, you can also select the zoom in percentages as per your preference.

How to Zoom In and Zoom Out on Google Slides Using the Toolbar Option?

If you need to zoom in or out on Google Slides more than once, then you’ll need to repeat the steps below:

  • On the toolbar, look for the “Zoom” button. A magnifying glass with a “+” symbol is what the zoom button resembles.
  • There is a tiny arrow next to the “Zoom” button. A drop-down menu appears when you click on this tiny arrow.
  • Scroll down to the menu’s bottom. “Zoom In” and “Zoom Out” are the final 2 choices. Select the best choice as per your need.

There are two ways to zoom out on Google Slides:

  • Tap the “Delete” or “Esc” key on your keyboard to disable the zoom feature.
  • Clicking the “Select” button next to the “Zoom” button in the toolbar will also turn off this feature.

Note: If you regularly use Zoom in and out of Google Slides, you might explore other methods that could provide an even more tailored solution for your needs.

Zooming in on Google Slides is not just a fancy feature; it serves a crucial purpose in enhancing the quality and impact of your presentations. Here’s why zooming in is important:

1. Improved Readability: When presenting information, it’s essential to ensure that your content is easily readable for your audience. By zooming in on specific parts of your slide, you can magnify text and images, making them more legible and visually appealing. This can be particularly helpful when projecting slides onto a larger screen or presenting to a larger audience.

2. Emphasis on Key Points: Zooming in allows you to draw attention to important details, such as statistics, charts, or quotes, which may otherwise go unnoticed. By highlighting specific elements, you can effectively emphasize key points and ensure that your audience grasps the most critical information in your presentation.

3. Increased Engagement: Visual engagement plays a significant role in delivering an impactful presentation. By zooming in strategically, you can create a more immersive experience for your audience. This technique enables you to guide your viewers’ attention to specific parts of your slide, maintaining their focus and interest throughout the presentation.

4. Visual Aids: Zooming in on images or diagrams within your Google Slides can transform them into powerful visual aids. By enlarging visuals, you can provide a more detailed and comprehensive understanding of the subject matter. This is particularly helpful when showcasing intricate diagrams, maps, or illustrations, ensuring that your audience fully comprehends the details you’re presenting.

5. Accessibility: Zooming in accessibility is another important aspect to consider. Not all members of your audience may have perfect eyesight, and zooming in can accommodate those who may struggle to read smaller text or discern finer details. By ensuring that your content is easily viewable, you ensure inclusivity and accessibility for a diverse audience.

By utilizing the zooming feature in Google Slides, you can elevate the overall quality and impact of your presentations. With improved readability, emphasis on key points, increased engagement, enhanced visual aids, and accessibility, zooming in allows you to captivate your audience and deliver a more compelling and memorable presentation.

By enabling speaker view in Google Slides and sharing your screen in Zoom, you can confidently present using your prepared notes without the audience seeing behind the scenes. Zoom is a very effective tool for video conferencing, as well as giving presentations to a large number of people, or taking a class. Since the pandemic, it has become quite relevant to us. Although many of us are accustomed to giving presentations, we seldom use Zoom.

If you’re here then chances are you’re struggling with using the speaker’s notes while giving a presentation through zoom.

In this article, you’ll learn how to use Google Slides Speaker Notes on Zoom. We’ll answer everything you need to know about speaker notes and how to use them on your Zoom account easily.

A Quick Note Before We Begin – if you want to make jaw-dropping presentations, I would recommend using one of these Presentation Designs . The best part is – it is only $16.5 a month, but you get to download and use as many presentation designs as you like! I personally use it from time-to-time, and it makes my task of making beautiful presentations really quick and easy!

How to Use Google Slides Speaker Notes on Zoom?

To use Google Slides on your Zoom account, you need a have your presentation created in Google Slides.

A good part about Zoom is that it lets you select what you want to share on your screen. You can either share your entire screen, or just one window.

There are a couple of different methods that you can use to see the speaker notes from Google Slides while giving the presentation via Zoom.

If you have only one screen, go with the single screen setup described below. However, if you have a spare screen handy, or if you need more than one screen, go for the dual-screen setup.

Method 1 – Single Screen Setup

Most of us have only 1 screen accessible and attached to our computer. Thus, this method is perhaps going to be applicable to most of you.

To set up your Google Slides presentation with Speaker Notes in a single screen, the steps are given below –

Step 1 – Prepare Your Google Slides for Presentation

The first steps is to make sure that your presentation is complete and ready to be shared with your audience.

Also make sure that you have your notes present in the notes section. Otherwise, even you will not be able to see the notes despite following the remaining of the steps mentioned below –

Step 2 – Enable the Presenter View

google slides presentation zoom

Go to the first slide of your presentation, and at the top right corner of your screen, try and locate “Present”.

You’ll see a downward facing arrow right next to “Present” . Click on it. A dropdown will appear. Choose “Presenter View” from the dropdown .

Step 2 – Adjust the Presentation to See the Notes

google slides presentation zoom

As soon as you click on the “Presenter View” option, you will notice that a new window pop-ups. Furthermore, the browser containing your Google Slides will now be visible in full-screen mode.

Adjust both the window in such a manner that you are able to see both the presentation as well as the notes section.

Step 3 – Share your Screen on Zoom

google slides presentation zoom

Once you’ve setup your browser window and setup the screen, it is now time to share your screen.

To do that, go to the Zoom application, and click on “Share Screen” option in the bottom panel of the window (as indicated in the image above).

Zoom will then prompt you with several options to choose in order to share your screen.

google slides presentation zoom

In the next step, you want to make sure that you don’t choose to share your Desktop. Instead, locate the Browser Window containing your full screen presentation view (as indicated by the image above).

If your presentation has audio or video with sound, make sure you check the “ Share Computer Sound ” option.

Finally click “ Share “.

Lastly, just double-check that you have the correct window selected for your Zoom call. An easy way to do that is to see if there is a green border around the window with your presentation.

If there is a green border, this indicates that the specific window is being shared with other participants of the Zoom call.

You can now deliver your presentation without any hesitation!

Method 2 – Dual Screen Setup

It is highly unlikely that you have two screens for the same computer. Nevertheless, if you do have more than one screen, then this method is for you.

It is easier to deliver a Google Slides presentations with notes on a Zoom call when you have more than one screen. You can simply display the notes on another screen and use Zoom to display just the presentation.

Here are the detailed steps involved. For the sake of brevity, I’ll not be sharing any screenshots, but the steps are simple and straightforward so that you can follow along –

  • On your computer, first enable the dual-screen settings.
  • Open your Google Slides Presentation.
  • Click on the Speaker Notes button. When the Speaker Notes appear, put them on your secondary screen and enable full screen for your slides.
  • Open your Zoom account.
  • Enable screen share, and select your primary screen with the slides. In this way, you can view your slides in full screen, and your audience won’t be able to see the Speaker Notes.
  • Lastly, deliver your presentation with confidence!

What Are Speaker Notes in Google Slides?

If you want any extra notes to attach to the presentation slides that only you can see, to help yourself to remember important key points during a presentation, there’s an option called Speaker Notes. It’s available on both Microsoft PowerPoint and Google Slides.

Speaker notes are very helpful. They help you –

  • Remember the important key points during a presentation.

The Presenter View in Google Slides allows you to showcase just the presentation to your audience while giving you the flexibility to view the notes as well as the current, previous and upcoming slides so that you can plan the choice of words appropriately for your presentation.
