I own a garment accessories business (Business type) and already have several shops throughout the city. Your shop on (Address and area name) came into my notice a few days ago and renting it sounded a profitable affair for my business as it will help me in an expansion.

Once you approve our rental proposal, I am planning to buy the furniture according to space itself. However, I guarantee no damage or harm to your property during this installation.

As I am quite aware of the market trend nowadays, I would like to offer a rental lease of (Amount of money) per annum. The complete proposal is herewith enclosed with the letter.

If the proposal suits you, kindly call me at (Contact info) so that we can set up a meeting and discuss things further.

To whom it may concern.

I am writing to you to get your permission to rent out one corner of your car park in your mall, this is because your mall creates bigger opportunity for more customers for my car washing business. RequestLetters

Sample Letter to Request Rental Space

In this article, I’ll share a step-by-step guide on how to write a compelling rental request letter, complete with a template to get you started.

Key Takeaways

  • Start with a Strong Introduction : Clearly introduce yourself and state the purpose of your letter right at the beginning.
  • Specify the Space and Terms : Detail the space you are interested in and any specific terms (like lease duration and price range) that are important to you.
  • Highlight Your Reliability : Include references or past rental experiences to boost your credibility.
  • Be Persuasive but Polite : Maintain a professional tone while persuasively presenting your case.
  • Include Necessary Attachments : Always attach any required documents or additional information that could support your application.
  • End with a Call to Action : Politely urge the recipient to take your request into consideration and suggest a meeting or follow-up call.

Step-by-Step Guide to Writing Your Letter

1. gather information.

Before you start writing, gather all necessary information about the rental property. Know the specifics like the exact location, size, and any amenities included. Also, understand the terms of the lease you’re looking for, including duration and budget.

2. Start with a Professional Salutation

Always address the letter to a specific person if possible. If you can’t find a name, “Dear [Property Manager/Owner’s Title]” works as a respectful alternative.

3. Introduce Yourself and State Your Purpose

Begin by introducing yourself. Mention your background briefly—especially aspects relevant to your rental request. For example:

“As an established graphic designer with a steadily growing client base, I am seeking a larger and more centrally located studio space.”

Trending Now: Find Out Why!

State clearly why you are writing:

“I am writing to express my interest in leasing the commercial space located at [Address], as advertised.”

4. Specify Your Interest and Terms

Detail the space and the terms you are interested in. This makes your intentions clear and helps the property manager assess your request quickly:

“I am particularly interested in a multi-year lease for the 500-square-foot space on the second floor, ideally within a price range of $X to $Y.”

5. Highlight Your Reliability and Qualifications

This is where you reassure the landlord of your reliability. Mention any relevant professional achievements, financial stability, or previous positive leasing experiences:

“In my previous rental at [Location], I consistently met all lease obligations, including timely payments and property upkeep, for over three years.”

6. Be Persuasive but Polite

Express why this specific space suits your needs and how you plan to use it responsibly:

“The layout and location of [Address] are perfect for hosting client meetings and creative workshops, which are integral to my business. I am committed to maintaining the property in top condition as it serves not only as my workspace but also as a reflection of my professional brand.”

7. Attach Necessary Documents

Mention and attach any necessary supporting documents. This could be your business plan, reference letters, or financial statements:

“Attached, you will find my business plan, along with letters of reference from previous landlords and a financial statement to confirm my business’s stability.”

8. Conclude with a Call to Action

End your letter by thanking the recipient for considering your request and suggest the next steps:

“Thank you for considering my application. I am eager to discuss this exciting opportunity further and am available for a meeting at your earliest convenience. Please feel free to contact me directly at [Your Contact Information].”

9. Sign Off Professionally

Close with a professional sign-off such as “Sincerely” or “Best Regards,” followed by your name and contact information.

10. Proofread Your Letter

Before sending, thoroughly proofread your letter to correct any spelling or grammatical errors. A well-written, error-free letter makes a professional impression.

Real-Life Example

In one memorable instance, I applied for a space that had many interested parties. By specifically addressing how the space’s layout would benefit my workflow and attaching a detailed business plan, I was able to secure the lease despite the competition.

Frequently Asked Questions (FAQs)

Q: how do i determine the appropriate length for a rental request letter.

Answer : In my experience, keeping a rental request letter to one page is ideal. It’s long enough to include all necessary details but concise enough to respect the reader’s time.

Q: What should I include in my rental request letter to make it stand out?

Answer : From what I’ve learned, personalizing the letter by specifically addressing how the rental space suits your unique needs and including a brief outline of your stability and reliability as a tenant can make your letter more compelling.

Q: Is it necessary to include financial information in a rental request letter?

Answer : Yes, including financial information, such as proof of income or a business financial statement, has always helped me establish credibility and assure the landlord of my capacity to meet lease obligations.

Q: How can I effectively follow up on my rental request letter?

Answer : I’ve found that a polite follow-up call or email about a week after sending the letter strikes a balance between showing my keen interest and giving the landlord or manager enough time to consider my proposal.

Q: What tone should I use when writing a letter to request rental space?

Answer : Based on my experience, maintaining a professional and courteous tone throughout the letter is crucial. It reflects well on your business and establishes a positive tone for future interactions.

How To Write A Business Letter Of Intent To Rent Or Lease A Space

  • General Information

Updated: May 20, 2020

If you’re interested in putting up a business inside a mall, the first thing that the mall administration will ask from you is to submit a business Letter of Intent (LOI) .

A Letter of Intent is not a document we often see. That’s why most entrepreneurs don’t know what to write inside it.

Some might also ask, how should it be written? Or, is there a correct template or layout for making a Business Letter of Intent?

What is a Letter of Intent?

Before I give you the answer to these questions, let me first share with you what a Letter of Intent is according to Wikipedia. They have the simplest definition that I found online.

“A Letter of Intent or LOI is a document outlining an agreement between two or more parties before the agreement is finalized.

The concept is similar to the so-called heads of agreement. Such agreements may be Asset Purchase Agreements, Share Purchase Agreements, Joint-Venture Agreements, and overall all Agreements which aim at closing a financially large deal.”

That really sounds so formal, don’t you think? However, there’s really no reason for you to be afraid of getting your LOI wrong.

Although it does usually resemble a contract, it is most of the time, non-binding . This letter is often just issued to initiate a formal business transaction.

application letter for space rental

What’s inside a Letter of Intent?

For renting or leasing a space inside a mall or other commercial space, a Letter of Intent would contain the following information:

  • A statement saying your intent to lease a space inside the mall.
  • A description of your business including it’s basic concept, the business model it follows and a brief background and history.
  • A list of your products and services which should include pricing , merchandise packaging design and a description of your target market.
  • Your space, utilities and manpower requirements including the types of equipment you’ll be using and the number of employees you’ll have.
  • If there’s any, it would also be good to show pictures of your other branches or stores.
  • Your contact details and the best schedule for you to have a meeting

Before writing your Letter of Intent, it might help if you can ask the administration if they have an LOI template that you can just follow.

They could also provide samples that was submitted to them by past lessees. If not, do ask them what specific details they need stated in your LOI.

Sample Letter of Intent Template

To help you with writing your Letter of Intent, here’s a very simple LOI template which you can use if you’re planning to rent or lease a space in a mall for your business.

Ms. Maria dela Cruz Zone Administrator ABC Mall

Dear Ms. dela Cruz,

XYZ Foods would like to present this Letter of Intent to signify our interest in leasing a commercial space inside ABC Mall.

We are the business behind the food cart, W Burgers, which has been selling gourmet hamburgers since 2004. Our products include a variety of hamburger sandwiches and burger rice meals. We also sell ice cold beverages.

Currently, our burger sandwiches and rice meals sell for P80 each. Our clients are usually young professionals who order our food as packed meals for lunch or dinner.

The W Burger food cart that we plan to put up would require at least 6 square meters and a power outlet for a cash register, a small freezer, a rice cooker, a soda vendo machine and a gas operated frying griddle.

The food cart would be manned by two employees.

We already have 5 branches located in various commercial areas in the city but this is our first venture in putting up a branch inside a mall. Attached are the photos of our existing branches.

We believe that our food cart complements the business concept of ABC Mall because we cater to the same target market.

Thus, we would appreciate it if you could contact us at 555-0921 during office hours from Mondays to Thursdays, so we can set up a meeting to discuss this further and possibly come up with a formal business agreement.

Thank you very much.

Respectfully, Mr. Pedro Reyes Sole Proprietor XYZ Foods – W Burgers

A letter of intent is as essential tools for investing. It’s a great way to break the ice on a negotiation. It’s always surprising how few people use them! I know if a potential client is talking about it, it’s probably a safe bet that this is not their first time around the block :)

Noteworthy though…a letter of intent can be much longer than this also, and I highly encourage anyone using one to still have it drafted by your attorney. ESPECIALLY the simple stuff…that’s where it’s easy to screw things up!

Hi Christian, thanks for sharing your thoughts regarding Letter of Intents. I agree, it can be much longer than this and an attorney’s input can be invaluable.

Although I did final drafts of letter of intent at Department of Public Works and Highways, in aid to contractors, I still need templates for confidence and format plus other factors. Today, i do for ricemiller NFA santiago city, isabela, city of Amy Navarro.

Hi Fitz! Thanks a lot for this very useful template. Saved me a lot of time and searches on the internet.

I’m planning to start a foodcart business (yehey!). Most of the templates I see on the internet are more legal in tone and are geared for purchasing. Not only is your template specific for leasing space, but yours is more conversational, practical, and easy to customize.

I will check your site and see what I can learn.

Thanks again!

Please help me write a business proposal for rent space in an upmarket mall for a boutique. The boutique will focus on dresses /clothes,accessories and shoes. The management of the mall have requested that a prepare a concept proposal and business plan. I am a new starter in this business. Please advise and hoping for your reply. Thank you so much.

Thanks for this sample. It is very helpful for non-lawyers like me. I just would like to point out a very minor error though. In the last paragraph, the correct word to use would be “complement,” not “compliment”:

“We believe that our food cart compliments the business concept of ABC Mall because we cater to the same target market.”

Compliment with “i” is when you praise or say nice things about someone or something. Ex. “Your mother is a nice lady” is a compliment. Or “Your performance was awesome” is a compliment.

Complement, on the other hand, means to enhance something or go well with something else, which is the intent in the case of your sentence. Ex. “The cashew nuts were an excellent complement for the soup.”

In other words, the cashew nuts go well with the soup, or in your example, your food cart goes well with the business concept of ABC Mall because you both cater to the same target market. Thus the need to use “complement” with “e”.

Just trying to help out…

Hi Isabel, you’re right – thanks for pointing that out. The error has been corrected. :D

Tenant Rental Application Letters: How to Excel in a Competitive Rental Market

application letter for space rental

Securing your ideal apartment or house can be challenging in today's fiercely competitive Canadian rental market, particularly in hotspots like Toronto, Vancouver, and Montreal. A well-crafted tenant rental application letter to the landlord can be your secret advantage. This guide offers advice for potential tenants on constructing a persuasive rental application letter.

The Importance of a Rental Application Letter

A rental application letter sometimes called a cover letter for renting, serves as your written introduction to the landlord or property manager. Although the typical rental application form captures vital details such as your contact info, employment record, and rental references, the application letter establishes a personal connection, underlining why you're the perfect tenant.

Tips for Creating a Standout Rental Application Letter

  • Address the letter properly. Whenever feasible, use the landlord or property manager's name. A generic greeting like "Dear Landlord" is only appropriate if you're unsure of their name.
  • Introduce yourself . Begin with a short introduction that lists your name, profession, and a brief background description. This introduction paves the way for a personal rapport.
  • Express enthusiasm . Highlight your sincere interest in the rental space. Discuss your attraction to the location, its features, or the local community. An enthusiastic introduction can grab the landlord's attention.
  • Highlight Your qualifications . Talk about your credentials as a tenant. Point out a consistent income, permanent employment, and positive rental references. If you have a favorable credit score, mention it, as landlords often check credit history.
  • Elaborate on your rental history . Detail your past rental experiences, the duration of previous leases, your tenure as a tenant, and any favorable references. This underlines your dependability.
  • Discuss your maintenance habits . Reassure the landlord of your commitment to the property's upkeep. Mention regular cleaning, timely repair requests, and your respect for the place.
  • Address concerns ahead oftime . In Canada, it's illegal for landlords to discriminate based on factors like family status. However, if you anticipate other concerns like having a pet, be upfront and explain how you manage potential issues. Honesty fosters trust.
  • Share your intentions for the poperty . Clarify how you'll use the property and your lease duration expectations. Landlords often favor tenants who view the property as a long-term home.
  • Wrap up professionally . Conclude by expressing gratitude for your consideration and eagerness to discuss this further. Offer your contact details.

FAQs About Rental Applications

Q1: Is a rental application letter mandatory in Canada, or can I lean on the usual application form?

A rental application letter isn't always obligatory, but it can enhance your application. It allows you to present yourself, build a personal bond, and emphasize your qualifications.

Q2: What if my rental history or references aren't strong?

Focus on accentuating other strong points, like steady employment and a commendable credit score. In Canada, a good credit report is highly valued. If your rental history isn't robust, be transparent and underscore your commitment to being an accountable tenant.

Q3: Should I include additional documents, like a credit report, with my rental application letter?

While not mandatory, attaching a brief credit report or a summary of your credentials can give landlords a clearer image of your background. Ensure this information is consistent with your letter's content.

Q4: Is electronic submission of my rental application letter acceptable, or should it be a physical copy?

Many landlords welcome electronic submissions. Always adhere to their preferred communication mode. If applying online, attach your rental application letter in the specified format.

  • Providing a record of your decision.
  • Helping renters feel welcome.
  • Creating an excellent first impression.
  • Verifying the lease terms.
  • Outlining any next steps the tenant needs to take.
  • Ensuring all parties are on the same page.

When accepting a prospective tenant, it is crucial to determine if they meet specific criteria to guarantee a reliable and positive rental experience.

Following reference checks, credit checks , criminal records , and employment verification , look for indicators of financial responsibility, such as on-time bill payments reflected in a good credit score and stable employment history. Once you’re confident in their qualifications, here’s how to move forward with acceptance:

  • Send Written Confirmation: Provide a written approval letter to set the stage for a positive landlord-tenant relationship.
  • Be Friendly and Professional: Use a welcoming tone and express excitement about having them as a tenant, but avoid typos or informal language.
  • Include Key Information: Clearly state deadlines and any actions required from the tenant.
  • Avoid Unnecessary Details: Focus on essential information related to the approval and lease, excluding excessive details like late fees or security deposit policies.

You should also send rejection letters to non-selected applicants and disclose if the rejection is based on a consumer report, as required by the Fair Credit Reporting Act .

Under the Fair Housing Act , you cannot base your decision on the applicant’s race, skin color, religion, national origin, sex (including gender identity and sexual orientation), familial status, or disability. Additionally, the U.S. Department of Housing and Urban Development has issued guidance indicating landlords cannot deny an applicant based solely on a criminal record.

What is an offer letter for leasing?

In leasing, an offer letter can refer to a few different documents. It could be a lease offer letter or an employment offer letter the applicant’s new employer provides to verify income.

A lease offer letter from a landlord to a prospective tenant, sometimes called an apartment rental offer letter if the property is an apartment, is distinct from a lease agreement and an application approval letter. It serves as a preliminary document indicating interest and outlining basic terms such as rent, security deposit, and lease term.

Prospective tenants may write offer letters as a starting point for negotiations, whereas landlords issue application approval letters to confirm acceptance of a tenant’s application.

How do I authorize a tenant?

Authorizing a tenant involves allowing them to undertake certain actions that may not be explicitly covered in the lease agreement. For example, if a tenant wishes to make permanent changes to the property or sublet a room, these requests are subject to the landlord’s discretion.

To authorize such actions, you should document your approval in writing through a lease amendment or supplement form to the lease agreement. Be as specific as possible to prevent misunderstandings and protect yourself in the event of a disagreement.

What is the difference between an offer to lease and a lease?

An offer to lease is a preliminary, non-binding document that outlines the basic terms and conditions under which a tenant might be interested in leasing a property. It serves as a starting point for negotiations. In contrast, a lease is a legally binding contract that details the finalized terms and conditions agreed upon by both the landlord and the tenant, making the arrangement official.

While lease offers are more common in commercial real estate, they can also be used in residential settings as an initial proposal before formalizing the arrangement with a lease agreement.

Rental Application Denial Letter: How to Politely Reject a Tenant

Reading Time: 5 minutes

Although the ultimate goal of any landlord is to put a renter into a property, there are some times when it’s just not the right fit. Not every applicant who wants to live in your rental is going to work – whether it’s because you have too many applicants or a renter has a less-than-stellar record. When this happens, you’ll find yourself having to prepare a rental application denial letter.

It may feel daunting to have to write this type of letter, but it doesn’t have to be. In this Redfin article, we’ll guide you through the process. Whether you’re a landlord renting a home in Miami or a property manager renting apartments in Los Angeles , find out how to write a rental application denial letter that conveys the right message.

How to write a polite rental application denial letter

Writing a denial letter can feel stressful, because you’re having to let someone down. Your letter should have a professional and informative tone, covering exactly why you’re denying their rental application. Include as many specifics as possible, such as:

  • Application date
  • Property address
  • Reason(s) for rejection
  • Supporting documents (if necessary; i.e., a copy of their credit report)
  • Your contact information (for additional questions)
  • Suggestions for alternate options (optional)

Don’t forget to thank them for applying and let them know you feel bad about having to say “no.” You can include phrases like, “We regret to inform you,” to help soften the rejection.

Deciding between renting or buying your next home?

Some rental application denial letters will feel like you’re filling out a form. They’ll list all the possible, legal, reasons to deny a renter, and let you check the boxes. This does save time, but it’s often impersonal and can turn prospective renters away from re-applying in the future.

If you can, take the time to make it a little more personal, and a little less formulaic. Try out this template instead.

RE: Rental application review

Dear (Applicant’s name),

Thank you so much for submitting your rental application for (Property Address.) I’ve had time to review it and sincerely regret to inform you that it was not accepted at this time.

The decision was made based on (fill in as many specifics regarding the reason why you denied the application such as low credit score, income concerns, the property is no longer available, issues with rental history, etc.)

I understand this is not the news you were hoping to hear. Should you have any questions regarding your rental application status, please don’t hesitate to reach out to me directly at (your phone or email.)

You may also want to consider (insert any advice, if applicable to help them out the next time such as offering up a co-signer, seeking rentals more in their price range, etc.)

Legal reasons you can’t reject a rental application

As a landlord, you most likely want to rent to a tenant who will respect your property and take good care of it. However, you can’t reject a potential tenant based on their personality alone. The Fair Housing Act restricts the reasons landlords can reject someone’s rental application . You must adhere to these regulations to prevent any legal recourse.

Under the Fair Housing Act , a rental application denial letter can’t be served on the basis of race, color, national origin, religion, sex, familial status, or disability. This prevents housing discrimination and reverses housing segregation.

You’re also not allowed to deny a renter’s application based on their criminal record, unless there are dangerous criminal convictions that could put people, and your property, at risk. In other words, a DUI is not grounds to deny a potential renter, but getting convicted of arson most likely is. If you’re unsure about what is considered a “dangerous criminal conviction,” you can always speak to a lawyer.

6 legal reasons you can reject an application

In addition to a dangerous criminal conviction, there are several other legal reasons why you can reject a potential tenant’s application.

1. When their credit score isn’t high enough

It’s common practice for a landlord to run a credit check on every applicant. If the potential tenant’s score is too low, then you can reject their application. Since a credit score is often indicative of an applicant’s financial history, a low number could mean they don’t pay their bills, including rent. It’s up to you whether you allow them to bring in a guarantor or co-signer to help get their rental application approved. You may also consider asking for a credit reference , which may give you additional information about the applicant’s creditworthiness.

2. When their finances don’t cover expenses

A prospective tenant’s finances are also a major concern for landlords. Not only does an applicant need to have enough funds to cover all the upfront costs – first and last month’s rent, security deposit, etc. – but they need enough income to pay the rent each month along with their other bills. Many landlords ask that their renters make a specific amount annually. The standard ask is three times as much income as rent costs to ensure rent is paid. In some areas, the ask may be even higher.

3. When their rental record is less than stellar

Looking at a potential tenant’s rental history report may also raise some red flags that could lead to a rental application denial letter. Situations like prior evictions , records of unpaid rent or fees, bad feedback from previous landlords, and proof of previous property damage can be reasons to reject a rental application. You need to protect your property, so it’s best to be hesitant when issues like these arise.

4. Inadequate references

When reaching out to references such as former landlords, employers, or others, you may receive a wide variety of responses. If the applicant’s references provide negative feedback, this can be a reason to reject their application.

5. When there’s an issue with their application

If a potential tenant lies on their application or omits information, you also have grounds to deny them tenancy. Either they’ve falsified the information you need to approve their application, or they simply didn’t give you enough. As a result, those are two major reasons to write a rental application denial letter.

6. When the property is no longer available

When demand is high for a specific property, you may get more rental applications than you actually need. Evaluating them on a first-come, first-served basis, you may fill the vacancy quickly. It’s polite to send a letter out to the other applicants letting them know the property is no longer available. It’s another example of when it’s legal to tell an applicant “no” in regards to renting your property.
