How to Use SmartArt PowerPoint Graphics

The first type of PPT graphic that we'll cover in our guide is  SmartArt.  This feature is built into Microsoft PowerPoint and helps you create graphics for presentations with fewer clicks. You don't have to open a separate graphic design app.

To start working with SmartArt, click  Insert  on the ribbon. Then, click on the  SmartArt  menu option. The new window gives you many options to begin building SmartArt graphics for PowerPoint.

As you'll see in this window, SmartArt starters are divided into multiple categories. The goal here is to choose a preset that's as close as possible to what you need. For our quick example, let's work with a  cycle chart.  Specifically, I'm going to edit the SmartArt graphic for PowerPoint called  segmented cycle.

After you choose a preset and click  OK,  you'll see the graphic added to your slide. Also, you'll see an accompanying text box to the side that's got bullet points. These correspond to the text on the slide.

Think of this menu as the way to edit SmartArt graphics in PowerPoint. Type in the text box. The chart will update with your details. 

Press return to add a new bullet point. The chart will update automatically.

Here's why I love SmartArt graphics for PowerPoint: they're flexible . When you want to update a PPT graphic with a new bullet point or detail, you won't have to jump back to a design app like Illustrator or Photoshop. 

Instead, type inside the edit window. Your PowerPoint SmartArt will update automatically.

How to Edit PowerPoint Infographics

The best way to work with PowerPoint infographics is to use ones that are already built. That's why we recommend templates as the proper starting point for PowerPoint infographics.

Take  slide 21  in The X Note .  This beautiful, arctic scene is just the tip of the iceberg for what you can do with better PowerPoint graphics. It looks great from the outset. But with a few tweaks you can make it all your own.

Right-click the graphic and choose  Group > Ungroup.  Now, the individual shapes are easy to select and edit.

The best graphics for PowerPoint presentations help you explain your ideas more easily. After you ungroup the components, you can create business graphics for PowerPoint that explain a case study or concept.

From this point forward, editing this slide is easy. You've got all the controls you usually would to reposition, resize, and update the components of the chart. Some example tweaks I made in the finished product below include:

• Clicking on the water  area  of the chart and using the fill color to change the water to blue.
• Clicking and dragging the arrows  to change the annotation on crucial items.
• Updating the text boxes  with helpful text that serves the purpose I've got in mind for the slide.
• Removing one unused  iceberg part by clicking on it and tapping "delete" on my keyboard.

How to Use Shapes as Illustrative PowerPoint Graphics

To add a shape, jump to the  Insert  tab on the ribbon. Then, click on the  Shapes  dropdown. You'll see an incredible variety of shapes that are easy to add to your slide. 

Just choose your shape, then click and drag to draw it on your slide. These vector graphic shapes are scalable. So, you never have to worry about the shape's quality becoming pixelated or distorted.

One of my favorite PowerPoint shape examples is a simple arrow. It's the perfect way to point to a specific slide fact.

After you add a shape, style it with the  Drawing Tools > Format  menu. Click on a shape, then check out options like  Shape Fill,  for example. Select a new color to transform the shape on your slide.

That's it! The only thing left to do is to try out many PowerPoint graphics with a deep set of shape options.

11 Dos and Don'ts of Using Images in Presentations

From pixelated visuals to copyright images with watermarks clearly visible on them to many other disasters, presenters are coming up with unique ways to kill all the fun. Are you guilty of poor selection of visuals? Are your experiments at creating visual slides turning into disasters?

You won’t believe how a little care while handling images can make your presentation a visual success. Ready for some introspection? Visuals in Presentations: Best and Worst Practices

Sin 1: Using pixelated or blurry images

It’s not that presenters do not see that the image in their slide is of poor quality but that is the last desperate move they make when they can’t find any better visual in its place. Sorry folks, you have to search harder for that high quality image. If you have to shell out a few dollars, then do. But a blurry image casts a very poor impression.

Sin 2: Tiny Images

Don’t use tiny images that require audience to carry binoculars. A high quality image lets you play up that visual on your slide, so go for it. For instance, in the Don’t slide below, the presenter has killed the action picture of football by using it up in such small space.

WHAT TO DO: If you have lots of text to incorporate, allocate half the slide to text and half to the image as you can see in the Do slide below:

Sin 3: Overuse of visuals

These presenters are the ones who have taken the use-image-advice a bit too seriously. They collect as many images as can be fit into a slide and squeeze their content into the space left. Why do they do this? They find several relevant visuals for a single slide. For instance, in the Don’t slide below, the presenter has a slide on business goals and objectives of a start-up. All visuals used in the slide are pretty relevant and the slide would have been great if the presenter went with a single, big image.

WHAT TO DO: Choose one high quality image that sums up the main theme of the slide. Choose any visual that represents Goals and Objectives; it’s not necessary to pick an image for each of those goals. If you want to show each goal visually, dedicate a complete slide to each. Sin 4: Multiple pictures arranged poorly

Yes, there are times when the slide warrants multiple pictures. A campus view, various benefits of a product, trip collage, etc. require you to arrange multiple visuals aesthetically. This, however, requires basic design knowledge such as giving frames or borders to each image. The Don’t slide below is a bad way to arrange your images.

WHAT TO DO: Place your image along grids using the Gridlines feature ( View tab) in PowerPoint. Or give them a frame using the default frames in PowerPoint ( Format tab). The Do slide below is a good way to arranged multiple pictures in a single slide.

Sin 5: Cliparts that add no value, except shock value

If you haven’t heard so many presentation experts screaming their heads off calling clipart crappy and tacky, hear us now. These cartoonish characters add absolutely no value to your slide and make you look a tacky presenter too. An exception is always there, say designing a cartoonish slide is your purpose, but they don’t stand a chance in a corporate presentation. In the Don’t slide below, the clipart of suited professionals can still be forgiven but why not show your awesomeness like the Do slide shows.

WHAT TO DO: Nothing, just forget about clipart. Any visual would look better than it.

Sin 6: Watermark Images

This is the worst sin of all. Even if you make the image small enough to hide the watermark, many in the audience would be quick to spot it and trust us, it’s the worst thing that can mar the reputation of a presenter.

WHAT TO DO: Need we say anything here? Please buy the image; don’t attempt to blur or remove the watermark even if you know how to do it.

Sin 7: Pictures with headache-inducing backgrounds

Unless your objective is to perform a hypnosis session or cause excruciating pain to audience’s eyes, never choose a visual that has swirls, rainbows and other distracting elements in the background. Moreover, the content fails to stand apart from the background making it very difficult (practically impossible) for the audience to read the content. The Don’t slide below is a perfect example of what not to do.

WHAT TO DO: Choose an impressive visual that covers the whole slide. If you want to show growth, there are hundred options you can choose from- towering building, bar diagram, growth of a plant from sapling to tree, ladder steps, etc. If you have lots of text to accommodate within the slide, add a transparent layer over the complete image and then place your content. As you can see in the Do slide below, the image and content complement each other to create a professional, sophisticated presentation slide.

Sin 8: Amputating people while cropping images

Don’t be merciless while cropping images. Place yourself in the shoes of the person you are cropping. Would you like to see your photo with one arm missing? Obviously not. But yes, cropping an image to make it fit within the slide and to accommodate text at the same time is indeed tricky. As a presenter, you have to cut off portion of an image without making it look awkward. How do you that?  

One tip that all professional photographers give, while composing an image or cropping it post production, is to “never crop at joints”. Don’t cut off the person’s feet, fingers, and at the points dissecting any body part. See the Don’t slide below; the image composition doesn’t give due respect to the CEO.

WHAT TO DO: If the image itself is poorly composed, you need to take it again or choose a different picture. In the Do slide below, a different image has been taken and it’s taking up the same area without any need for cropping.

But what do you if you have a large-sized image that covers the complete slide space? Chop off all body parts left and right so that you can show the faces? Let’s take another example. Check out the Don’t slide below which has been brutally cropped to fit the content. Even the head and the crucial handshake signifying partnership has been hacked for convenience.

Now, check the Do slide- you only need to minimise the photo, crop the unnecessary portions (not the limbs, please), give it a nice frame (Go to the Format tab and check out the default Picture Styles) and tilt the photo to make it stand out and relevant to the slide. Not bad, uh?

Sin 9- Badly stretched photos

This sin is unforgivable and makes your slide an eyesore of the worst kind. Even if the stretched photo is of a high quality! What was the presenter thinking? We know. The presenter has a picture of a certain dimension, say in a portrait style, but wants to display it in the landscape format. So he stretches it to accomplish his mission knowing the damage he is doing to the image and the complete slide.

The Don’t slide below is an adaptation of a similar slide I came across on a presentation sharing platform. This also happens when a presenter chooses a shape and uses the Picture fill option in PowerPoint to fill the area with an image. If the image has a different aspect ratio than the area of the shape, PowerPoint will stretch the photo to fill the area, distorting the image in this process.

WHAT TO DO: If you use the Picture Fill option in PowerPoint and the image gets stretched, follow these simple steps:

• Click the stretched photo
• Go to the Format tab on PowerPoint ribbon
• Under the Crop dropdown menu, choose the Fill option (see the screenshot below)

PowerPoint will resize the image while maintaining the original aspect ratio of the image:

You can now drag the photo to adjust the required portion within the area. This might not work in your favor because you can’t have the teacher, student as well as the book within the small rectangular shape.

Check out what we did in the Do slide again. We cropped the photo and removed the white space in the image, chose a white background so that the image gels in smoothly, drew a circular outline around the image and placed our content alongside the image. You can try this or some other design trick, but stretching won’t do. Even a slight stretching distorts the image and is easily noticeable casting a bad impression on the presenter.

Sin 10: Using irrelevant silhouettes or other images

Silhouettes aren’t all that bad. They can be used if you want a visual element in your presentation but don’t want the audience to be distracted by the details. But adding silhouette just for the sake of it distracts the audience even more.

In the Don’t slide, the silhouette of a businesswoman doesn’t say anything. In a slide already having one visual element- a line chart- adding the silhouette is unnecessary and makes it difficult for the audience to read the chart values.

WHAT TO DO: Choose an image that adds value to your content. If it doesn’t, simply scrap it. The Do slide looks much better and cleaner with simply the graph:

Sin 11: Image with a thick outline

Creativity sometimes misfires and gives an unpleasant look and feel to your slide. One such creative effort is giving very thick border line to an image. The frame becomes as heavy as the image itself making one wonder what is more important- the image or the frame. Even if you picked the same from PowerPoint’s default Picture Styles, it doesn’t mean it is suitable for your presentation. In the Don’t slide below, the frame seems to be jumping from the slide and is too harsh on the eyes.

WHAT TO DO: If you wish to give it an outline, don’t keep the width of the line more than 1 point. Pick a light color for the outline if the background is dark. In the Do slide below, we encapsulated the image within a circle so that it doesn’t look jutting out of the slide. The outline was also chosen white and the width was kept at 1 point. The color of the text was picked as white to have a soothing contrast and not as jarring as black and red.

BONUS TIP 1: Characters in the image should look within the slide

Now this is a small error that dilutes the impact of a slide. It’s a basic human behavior to look where others are looking. This knowledge of eye movement should guide you while choosing images for your PowerPoint presentation too.

If you have an image looking out of the slide, the audience tends to look there too and returns to the slide to read the content. For a brief second or so, you disconnect with the audience. If the image, instead, looks into the slide towards the content, the audience first looks at the image and then reads the content, their attention focused within the slide. This is exactly what you want. The Don’t slide below is an example how you should not be placing your image.

WHAT TO DO: You can move the image to the other side of the slide like we did in the Do slide below. Else, you can flip the image within PowerPoint using the Rotate feature. Select the image, go to the Format tab, locate the Rotate dropdown menu and click Flip Horizontal . That solves the problem too!

BONUS TIP 2: Maintain consistency of images throughout the presentation

You should not be using a clipart on one slide, an image on another and an illustration in a different slide. Avoid too much variation as it breaks the smooth flow of a presentation. It makes you look like an amateur presenter.

There can be countless other ways to screw your slides. To save your skin, show your presentation to your family member or close friend before putting it online or broadcasting it before an audience. How to Design a PowerPoint: A Visual Guide to Making Slides with Impact

A quick Google Images search for “worst PowerPoint slides” proves two very clear realities: 1) anybody can create a PowerPoint; and 2) many don’t know how to do them well.

That’s understandable, though. Unless you’ve recently taken courses or training in design, data visualization, and public speaking, you likely haven’t had any more education on how to create an effective slide deck than a ten-year-old.

And you’re not alone.

Bad PowerPoints are everywhere: professor lectures, science conferences, human resources trainings, team meetings, sales review gatherings, thesis and dissertation defenses, product pitches, job interviews, you name it. Some of the brightest people in the world have created some of the most awful PowerPoints. For most, it’s just not a natural skill.

That’s unfortunate, too, because a well-designed slide deck can make a tremendous difference in the reception of the message you’re trying to convey.

The question is, does designing a nice PowerPoint actually matter?

Well, if you’ve made it this far, you already know my opinion. But the short answer is, YES! Effective slide decks can make a HUGE difference in the outcome of your presentation. Why? Because slides—which should be used to supplement and enhance your well-prepared script (not be the presentation, as we often see in slides that are nothing more than bulleted lists)—significantly improve engagement during the presentation and recall after the presentation.

Basically, if you want people to both pay attention AND remember what you said, good slides can make all the difference. Plus, research has shown that people trust information more when it’s well-designed. In sum, good slides will cause your audience to:

• Pay attention more and stay more engaged;
• Remember the key messages from your presentation better;
• Trust you and your information more; and
• Believe you are super smart and awesome. (I mean, you already are, but good slides will seal the deal.)

Bad slides, on the other hand, are not only distracting, but they can actually damage a person’s ability to understand and follow your message.

At best, poorly designed slides will make you look less professional. At worst, they’ll encourage people to not listen to anything you have to say. Bad slides (which are caused by a whole range of things, including being too text-heavy, too busy, too inconsistent, or too color crazy, etc. [see my article on 40 Ways to Screw Up a PowerPoint Slide ]), overwhelmingly distract from your presentation.

If a slide has too much text, people try to read it and listen to you at the same time—which damages their ability to do either well. If your slides are too busy, your audience won’t be able to understand the information quick enough. If it’s ugly, well…people just tune out and ignore (and judge you, to boot).

Okay, so enough of the why . Let’s get to making better slides!

The 9 Steps to Designing a Better PowerPoint Slide

Step 1: empathize with your audience.

The term “empathy” in this context comes from a relatively new theory called “design thinking,” in which you can apply the mindset of a designer to a variety of contexts. So, whether you’re creating a toothbrush, a video game, an automobile, or…a PowerPoint, you need to be thinking a like a designer—which starts with empathy.

Empathizing with an audience is like applying the Golden Rule: present unto them as you would like to be presented to. Of course, the content of presentation itself comes first and foremost, but the design of your slides should support and enhance your content, so you’ll be thinking of your script and your slides at the same time. To begin, it’s best to start with a few concrete questions about your audience:

• Why are they there? Are they at your presentation because they want to be, or because they have to be? Is your presentation the only one of the day, or is it one of many (like at a conference)? Are they expecting to learn, be entertained, be inspired, be trained? In essence, you want to know their state of mind before coming so you can plan to accommodate that as best you can.
• Why would they care? Dig deep here. Does your audience actually care about the topic as much as you do? And…if you don’t care, why don’t you? If the topic isn’t meaningful and you can’t make it feel that way, then why even present? But…if they do care, know why they do. What will they hope for and expect out of it? What can you do to meet and exceed their expectations?
• What do they need to know? And what DON’T they? How much about your subject do they already know? Are they novices, experts, or a blend of both? Does it make more sense to break your topic into separate presentations on separate days, rather than giving it all at once? Is it focused and narrow enough to make an impact? Can you leave anything that is irrelevant out?
• What will keep them engaged? Consider your content and your big takeaways. Consider the personalities and knowledge base of the audience? What can you do to keep them engaged? Now…remember that “engaged” doesn’t mean “entertained” (though it can). If you’re a scientist presenting on bacterial infections in the liver, entertainment is obviously not appropriate. But…if you don’t engage them, they may not appreciate your research, no matter how valuable it is. What will they want to see, hear, and know and how can you display that to them in a way that will keep them interested?

Once you have clear idea about your audience’s needs and desires, you can begin to develop slides (along with the content of your script) that will give them exactly what they’re looking for rather than wasting their time (and yours).

Step 2: Define the Story

Think of your presentation as a story and you, the presenter, as an author in real time. As you deliver a presentation, you are creating the tone, setting, and plot for what happens. Your execution of the presentation will, if done right, create a climax/conflict and an important resolution. Consider how your slide development functions like the five components of a story, then write down how you plan to control (define) that story:

• The Setting. You create a mood and presence by the way you enter the room, interact with the audience, and display your title. While you may not have full control over who comes and what the room looks like, you do have relative control over the tone and ambiance and how they will react to your message. Consider the title of your presentation. Does it capture your message while also creating a buzz about your topic? Can you add a photo on the title slide that will intrigue your audience? What colors will you use? How do you plan to interact with the slides and how will you keep the audience involved?
• The Characters. You may not know all the people in the room, but you should know as much about them as possible (start with Step 1). Still, you have a way to shape their interest and engagement in this topic. Characters in this story are stakeholders. Your ultimate goal for giving should be one of three things: help them think about something in a new, meaningful way; learn something valuable they didn’t know before; and/or act as a result of what they learned. If you can’t get them to one of those three points, you’ve never really developed the characters.
• The Plot . A plot in storytelling is a series of events that build towards a conclusion. A plot needs to have direction, with clear and meaningful series of events. As you develop your script, you should be thinking about your rhetorical progression of ideas—your building towards a final outcome or conclusion. The development of slides can help you with this and they can help your audience stay on track. The key is, you need to make sure your audience is following the plot. If the plot starts to feel loose, disconnected, fragmented, or…all over the place, you’ll lose them faster than a 0-star rated movie.
• The Conflict. There must be some reason why everyone is there to see you presentation. It’s possible they don’t fully understand it themselves, but you, as the presenter, must make their purpose evidently clear. You must make them care. The more and more you pull them into your subject matter, the more you have effectively built a climax, which is the key to any successful story.
• The Resolution . The resolution is the takeaway—it’s what resolves the conflict. If you’ve built a strong climax, you now need to make sure your audience leaves with something valuable. If they leave thinking in a new, meaningful way; if they have learned something valuable that they can apply today; or if they are ready and knowledgeable about how to act, then the resolution is there and you, the author, have done your job.

Step 3: Brand Your Message

Jeff Bezos is famous for having said, “Brand is what others say about you when you’re not in the room.” You might think similarly about your presentation. How will your audience feel about your presentation afterwards, when you’re not around?

That can be an intimidating question to ask. And, it may seem a little odd to think about your message as a “brand.” But…applying brand theory to messaging makes a lot of sense. You want people to get on board with what you have to say. To do that, you have to establish what they value, what motivates them, and what you’ll have to do meet or exceed their expectations.

Brand experts use a lot of terms to describe and define brands. Let’s address a few, and apply them to slide design:

• Differentiation. How yours is different from the rest. What can you do to make your message stand out from a world of clutter and information? What makes yours unique? Is it your approach, the stories you tell, your language, your humor, your ideas, something else?
• Authenticity . How much you genuinely care. Audiences can tell if you’re passionate or not. They know if you care about both your topic and them learning it. If you fake it, the message gets diluted. Use your slides to help showcase how much you care.
• History . What people already know about you, your topic, or your experience. Do you need to establish credibility, or do you already have it? Do you have experience you can lean into? Does your audience already like/agree with this topic? Is it totally new and unfamiliar to them? How can you bring the history of your topic and yourself into the presentation? Will you audience need a primer on the history or does it matter?
• Simplicity. Making the most important things stick. Good brands almost always have simple logos, simple taglines, and simple brand positioning statements. Many also focus on limited products—they focus on what they do well. Your message can work the same way. Can you simplify your entire message into 2 – 5 key points? Can you reduce the amount of information that has to be taken in all at once? Can you help organize and chunk information to be clearer and simpler to follow? People generally have a hard time remembering complex information all at once—determine what the real purpose of your presentation is and what your audience can reasonably get out of it, then simplify to make sure that happens.
• Visual Identity . Your message, like a brand, can be enhanced if people resonate with the overall look and feel. Just like with buying a brand of shoes, people will be drawn to the design of your information. If it looks static, cliche, poorly design, or just plain ugly, you’ve created an undesirable visual identity and people will have a harder time buying into it. But if you can take your message and harmonize with strong design and imagery, people will be more likely to be attracted by, latch onto, and “buy in” to what you have to say. What should your visual identity look like, considering your topic?

Step 4: Select Your Fonts

The choice of your font may seem a small thing, but it can make the difference between a sleek, professional presentation and one that is static, boring, or, worse, painfully obnoxious.

If you’re not a professional designer, being font savvy may not come natural. Fortunately, there just a few rules you can follow to help you make your choices:

• Avoid the Defaults . In PowerPoint (as in MS Word), the default font is Calibri. Before 2010, the default was Times New Roman. Other programs use Arial or Myriad Pro as the default. What’s wrong with defaults? The fonts themselves are actually fine fonts—that’s why Microsoft went with them. BUT…because they’re the defaults, they are so widely used that they’ve become dull. If you just leave the defaults, your audience will subconsciously feel that you didn’t design your PowerPoint (because you probably didn’t). Just changing the font can bolster your PowerPoint’s professionalism quickly.
• Stick to Simple, Modern Fonts. Okay, so you don’t want to use the defaults, but what DO you use? Something simple. Don’t go crazy. Find something that is similar to the default, with just a little variation. Find something that is super easy to read and looks clean, simple, and sleek. Nothing distracting. Remember: you want people to focus on your story and message, not the lettering. Look at the graphic above for a list of some good, simple, modern fonts. Avoid, at all costs, the notoriously ugly or cliched fonts: Comic Sans; Chiller; Papyrus; Algerian; Curlz MT; and so forth.
• Make Sure Your Fonts Are on the Computer(s) You’re Presenting On. Remember: fonts are installed on individual computers, not attached to a program. A misunderstanding that many people have is that a font comes with PowerPoint (or any other program you’re working on). That’s NOT accurate. Fonts are installed on your computer. So…if you use a cool font that was on your desktop PC, but you are presenting your slides on a MacBook laptop, you’ll want to check that both computers have the font you’re using. Some fonts are pretty standard and you’ll find them on pretty much all computers: Palatino Linotype, Century Gothic, Segoe UI, Garamond. Others, however, are proprietary and may not be on other computers: Acumin Pro, Raleway, Helvetica. If you know you’ll be presenting on multiple different computers, find a standard font. One I’ve always liked to use is Century Gothic.
• Consider Using Two Fonts . The “two-font rule” suggests that designs will be more attractive if they use two fonts—one for headings and titles, the other for body text. You can get away with just one font if you make your headings stand out in some way—by size, weight, or color—but it’s often a nice aesthetic to use two. Just be sure that the two fonts are obviously different from each other (don’t use both Arial AND Century Gothic—they’re too similar, which will look like an accident) and that they harmonize well together. It’s often good to use a serif font (the type with little “feet” like in Palatino Linotype) paired with a sans serif font (the kind without “feet,” like Century Gothic).

Step 5: Narrow Your Colors

A hallmark of any good design is a simple, consistent color scheme. Keep your slide designs to fewer than four colors. Often, it’s good to use black, white, gray, and then one or two accent colors. Years ago, when I was new to design, I had someone tell me that a brochure I created looked like a clown exploded on the page. You DON’T want your slides to look like a clown exploded! To avoid that, find your color scheme in advance and stick to it.

Color can be tricky. If you work for a company that already has a pre-established style guide and color scheme, definitely use it! Not only is that important for your company’s brand, it makes your life a whole lot easier. If you do have to choose colors yourself, though, consider going to this website first: color.adobe.com . You can type things into the “explore” bar and you’ll be led to color schemes that look nice.

What you want to look for are colors that are a bit muted and won’t overwhelm the eyes of your viewers. Remember that you want to keep a high contrast so it doesn’t strain your audience members’ eyes. So…stick to black or really dark gray for text. Keep a white or very light background. Use the accent color for headings or important pieces of content. And…just make sure the colors match your topic or industry.

Step 6: Divide into Sections

Good presentations are well organized. Your slides should visually reflect your organization by using different slide “types” for different parts of your presentation or content.

All presentations should have at least three slide types: a title slide, a body slide, and a closing slide. Most presentations will have a fourth: a section slide. Section slides are used to transition your presentation from one major topic to the next. Many presentations can also benefit from callout slides, which are used to designate unique types of content that show up periodically—like for direct quotes or polling questions to audience members.

If you’ve ever taken a college course on public speaking, you probably remember your professor telling you to use “signposts.” A signpost is a metaphor for visual or oral cues that let your reader know where they’re at in the journey. Signposts keep your audience oriented. Sectioning your slides provides a visual signifier to your audience that you are shifting gears—plus, it just makes your slides feel cohesive, professional, and organized.

Take the time to design your slide types first. Then, fill in the content from your presentation script.

A quick note about body slides, though. These are going to be the most frequently used slides, the ones that you put the majority of your content on. Note that body slides don’t all have to look identical. They need to be consistent in design—repeating the same fonts, colors, photography style, highlights, etc.—but the layouts can change. Providing some visual variation is good for your audience.

Step 7: Visualize Every Slide

One of the biggest errors inexperienced presenters make is believing that audience members need to be able to read a lot of text to understand the message.

The reality is, when you put a lot of text on the screen—even if it’s in a bulleted list—you end up creating more difficulty for your audience. They’ll try to read while also trying to listen to you, creating a conflict of noise that will eventually cause them to only catch about half of what you wanted them to. Plus, a lot of text is boring and not efficient for the human brain.

Research has actually shown (and there is significant evidence to prove this) that making information visual is good for humans for four reasons: engagement, cognition, trust, and recall.

• Visual information is more engaging . Most all people will tell you that they are “visual learners.” The reality is that pretty much all humans are. We pay attention to visual information because our brains are designed to process visual information faster. When you provide visuals—photographs, charts, diagrams, icons, etc.—people will pay far more attention than if you just have text. In fact, if you just have text on a screen, people will likely zone out.
• Visual information is easier to understand. If designed well and related to the topic, people will understand visual information faster than they will from reading. Even as you read this article (assuming you’re still here!), the information that is really going to help you are the visual examples and explanations I’ve added for each section. That’s the stuff where you’ll say, “aha! now I know what Curtis is telling me to do.” All this text—it’s just ancillary stuff to provide more detail. But the photos/graphics are what you’ll really learn from.
• Visualized information builds trust. For better or for worse, humans are wired to trust information more when it has been visualized, especially when it looks professional. If you take a table of data and turn it into a data visualization that is professionally design, people will tend to trust it more. Something about taking the time to visualize information makes people assume you know what you’re talking about. Now, that said, you have to make sure your data visualizations are accurate. The real pitfall here is that people will tend to trust it more, even if it’s misleading. If they discover any flaws, your entire argument (and credibility) will go out the window.
• Visual information is easier to remember . Research studies have shown that visual information will be retained more than six times better if visuals are attached to it. If you actually want people to remember your presentation you must do two things: tell stories and use pictures. If you simply regurgitate information and make it very text-heavy, your audience will forget almost everything you said within three days. If you add pictures, though, they’ll have mental images to trigger memory, helping them retain your message much longer.

Find ways to visualize every chance you can, making sure that your visuals emphasize, clarify, or enhance the content you are talking about. Look at the examples above. Find ways to reduce text and enlarge graphics; turn bullets into images or icons; and use simple, easy to understand graphics that draw attention to the most important point.

Step 8: Play with Photos and Layouts

This is the one that takes the most practice, but it can be the most fun and rewarding. Recognize that your body slides can take multiple forms and that there are endless ways to organize, crop, and adjust visualizations, photos, headings, and designs. As long as you keep your color scheme, fonts, and highlighting techniques consistent, the slides will still feel uniform and professional, while giving variety to your slides.

Some things to think about as you play with the design of your slides:

• CONTRAST: Make sure you use high contrast in colors, especially for areas where you have text (black text on white backgrounds almost always work best). In addition, make sure that things that are different actually look significantly different. If two fonts are different sizes, make them obviously different sizes. If you’re using two colors, make them completely different colors. When two things look similar, there isn’t much contrast, which looks accidental and/or visually dull.
• REPETITION: Repetition is all about consistency in design. Repeat design elements throughout: fonts, colors, highlights, logos, shapes, styles, etc. Repeat the same visual feel for photos. Use the same types of icons and graphics. The more unified the design, the strong the appeal and the more professional you look.
• ALIGNMENT: Make sure everything on your slide is aligned with something else. Nothing should be “floating,” or placed arbitrarily. Align photos to titles, words to other words, rules/lines to other elements. Keep it all tightly aligned and crisp.
• PROXIMITY: Put things that are related close together and things that aren’t apart from each other. The brain will automatically assume that, if two things are next to each other (like a photo and a caption) that they are connected. Avoid confusing your audience by separating things that are different and connecting things that go together.
• Move Photos to the Bleeds . The term “bleed” is a graphic design principle that describes moving photos to the edge of page (where the ink “bleeds” off) in order to reduce visual noise. An old design principles developed by Josef Albers, 1+1=3, suggests that when you insert two objects, you automatically create a third—the space between. When you insert a photo, you end up creating a margin of white space around the edges. If that white space isn’t necessary, just make the image larger and push clear to the edge of the screen. This will remove the margin and the noise. Plus, it just makes slides look simpler and more professional and it really draws the eyes to the photo.

Step 9: Orient Your Audience

In addition to creating section slides (see Step 6 above), you can help your audience—and yourself—stay organized by giving visual cues and textual information in footers, slide counts, and headers or sidebars.

These orienting features of a slide deck can be especially valuable if you’re giving a long presentation, workshop, or training.

Start by creating a footer. These aren’t required and you don’t need them on every slide, but in most costs, presentations will benefit from some information in the footer. Some of the most common things to include in a footer:

• Company logo
• Company name
• Name of presenter
• Name of event or conference
• Title of presentation
• Copyright information

Beyond the footer, you can also include a slide count (in example above, look at the bottom right of the slide). While some argue that this can be distracting, most would say that a slide count will help audience members know how much more to expect, putting their “I’m being held hostage by this presenter!” fears away.

If your presentation is particularly long (like, say, 45 minutes or more) or you’re giving a workshop, you can really help your audience by giving them a sort of contents or guide, so that they know where they’re at in relation to everything else. You might, for example, create a small sidebar on the left that includes the section they’re in with the subsection. Or, as in the example at the top (see top left of example), you might just include which section you’re on and a summary title of that section.

There is no one or perfect way to orient your audience members. Just make sure it’s on the forefront of your mind as you work to build empathy into your slide design. The presentation is for them, after all, not you. Give them as much as you can to help them appreciate the message you’re delivering.

In order to deeply understand this presentation design software, you need to recognize its main components. Now it's time to learn about the PowerPoint basics!

A quick note before going any further: when opening PowerPoint, some of the commands in the ribbons will look grayish and won't be highlighted when you hover the mouse over them.

This happens since some commands need to be selected in order to function. For example, if you want to change the color of a text, you first need to select it.

That being said, let's start with this Guide for PowerPoint beginners:

PowerPoint Main Window

The first aspect to learn is PowerPoint Main Window. To facilitate the explanation, we've organized its main elements with numbers from 1 to 10:

Based on that, the main components of PowerPoint window are the following:

1. Quick Access Toolbar: allows you to customize commands to have them at hand. You only have to select it and go to "More commands."

2. Title Bar: shows you the name of your file and other "Suggested options" like Slide Master View . These options will vary depending on the use you give to the commands.

3. File Tab: you will see the Home Menu (PowerPoint backstage) by selecting it. There, you can create a new presentation, save it, print it, export it, and many other options.

4. The Ribbon: it's where PowerPoint tabs and tools are. These tools can also be called "commands" or “features.”

5. More Button or Down Arrow: these arrows allow you to view more tools or layout options in PowerPoint.

6. Slides Pane: shows your slides in thumbnail size. By right-clicking, you can access additional options for customizing each slide. Perfect for PowerPoint beginners!

7. Slide: PowerPoint's blank canvas and the frame to be seen when presenting the file.

8. Placeholders: they are dotted boxes that will store your content.

9. Status Bar: allows you to view the slide number, grammatical errors, speaker notes, and the comments on your file.

10. Zoom: allows you to enlarge or minimize your PowerPoint workspace. The range goes from 10 to 400%.

PowerPoint Tabs

The PowerPoint tabs are the control desk of your presentation . Since PowerPoint's features are too many, they're organized in tabs.

You can come and go between tabs as you need. Once you click on a tab, it will open its ribbon, and there, you'll be able to see all the tools related to that particular category.

This PowerPoint tutorial for beginners will give you an overview of all PowerPoint tabs . Pay attention to the following list:

• Transitions Tab
• Animations Tab
• Slide Show Tab
• Recording Tab

1. Home Tab

The Home tab is the most common tab of PowerPoint. This is the tab you'll probably use the most if you're designing a presentation deck from scratch.

It allows you to add new slides and change the text characteristics : font, size, boldness, underlining, alignment, etc. If you've ever used Microsoft Word, these features will be familiar to you.

Also, you will find commands to edit the characteristics of the geometric shapes you insert. This includes: fill color, line color, sharpe effects, among others.

2. Insert Tab

The Insert tab is exactly what its name says it is. In this ribbon, you'll find all the options concerning adding a new element to your PowerPoint presentation .

You can insert a picture, some geometric shapes, icons, WordArt graphics, among others. We can tell you that this tab is really helpful for PowerPoint beginners!

For example, if you have a lot of data in PowerPoint , you could add a chart or diagram to show your information in a more visual way. Also, you can embed videos or music into PowerPoint really easily.

• PowerPoint tip for beginners: To be able to write text on your slides, you need a text box. So, if you're designing your presentation from scratch, remember to go first to the Insert tab and add a text box to start writing.

3. Design Tab

If you are one of those people who enjoy choosing the design of a PowerPoint presentation, this tab will be your favorite.

The Design tab offers a wide range of premade designs , allowing you to get more polished slides. Even better, if you explore its ribbon, you can adjust the color palette and change the overall style of your PowerPoint deck.

The PowerPoint interface, as this basic PowerPoint Tutorial, is really intuitive. We believe that you won't have any problem with this tab!

4. Transitions Tab

Using transitions in PowerPoint is a dynamic way to move from one slide to the next during a presentation. This feature is PowerPoint's stamp, so don ' t miss it!

Some PowerPoint transitions are really classic, like wiping the old slide to present the new one. Others are somewhat over the top, like the “Vortex” or the “Airplane” effect.

5. Animations Tab

In case you want to add special effects for certain elements in your slides , the Animations tab in PowerPoint will interest you.

6. Slide Show Tab

As its name says, the Slide Show tab is about presenting your slides . We really like that it gives you several options to show up your presentation!

Considering that you're a PowerPoint beginner, you're not likely to use the Slide Show tab very much.

7. Review Tab

The Review tab is not often used by PowerPoint beginners either.

However, if your job is related to writing or if you work at an international company, this tool can be extremely useful!

With this tab, you can check the slide's spelling, translate the text in real-time, and add comments to your slides . This last function can be helpful to give feedback to a colleague.

8. View Tab

This View tab allows you to change the view of your PowerPoint slides and make handouts from them, among other things.

As you can see, the majority of its commands are really specific. So you won't have any issues while designing, test and see!

9. Recording Tab

In the last versions of this design presentation software, PowerPoint added the Recording tab. As its name says, it allows you to record all your presentation slides .

This ribbon has advanced commands, so the most common action for a PowerPoint beginner is to take a screenshot or record the screen sequentially .

10. Help Tab

Finally, there is the Help tab. If you have any problem or question concerning how to use PowerPoint, you may go here to look for a solution.

In the latest versions, Windows has added a “Show Training” option. You can click this command to practice the PowerPoint basics since it will download training templates.

This first PowerPoint feature is simple but effective!

Let's see how to use it:

• First, choose an image you want to cut and insert it into your workspace.
• Once inserted, select it with the mouse.

• Check the list of PowerPoint shapes (Insert tab > Shapes).
• Choose two or three figures you want to merge (they can be the same figure).
• Select the figures you are going to merge (see the image).
• Once selected, go to the "Shape Format" tab.
• Press the "Merge Shapes" option and the type of merge you want (test and choose!).

• A new figure will appear, and you must fill it with the image from the first step.
• Stay on the Shape Format tab and go to "Shape Fill" (button in the middle of the ribbon).
• Select "Picture Fill" and browse for your image.
• Select the image to fill your new figure, and that's it!

• PowerPoint tip for beginners: When your merged figure is ready, paste the image to the background of your slide to achieve a better result. This way, you can use your image as a canvas and see if both elements fit well.

PowerPoint Feature #3: Insert Icons

This PowerPoint feature is quite easy to follow for PowerPoint beginners!

Just follow these steps:

• Go to the Insert tab.
• Select the "Icons" option.
• A Microsoft 365 library will open, where you can search for the required icon.
• Now, you must insert it into your presentation and adapt it to your design.

• Select "Remove Background" (first option on the left).
• You can keep and remove parts of the image with the first two tools of the ribbon (see image).
• Keep in mind that all the sections highlighted in purple will be deleted.

• We recommend zooming in to keep or remove parts of the image with more detail.
• Once you're done, press the "Keep Changes" button.
• Finally, adapt the new image to your PowerPoint presentation.

• PowerPoint tip for beginners: Choose a high-contrast photo or image for best results. In other words, the outline of the person or object you want to cut out must have clear edges and cannot blend with the image's background color.

PowerPoint Feature #6: Add Speaker Notes

• Select the slide that needs some notes.

When giving presentations, either on a video conference call or in person, your slides, videos and graphics (or lack of them) can be an important element in helping you tell your story or express your idea. This is the first of a series of blog posts that will give you tips and tricks on how to perfect your visual presentations.

Your job as a presenter is to build your idea -- step-by-step -- in the minds of your audience members. One tool to do that is presentation graphics, such as slides and videos.

Why graphics for your presentation?

A common mistake is using slides or videos as a crutch, even if they don’t actually add anything to your presentation. Not all presentations need graphics. Lots of presentations work wonderfully with just one person standing on a stage telling a story, as demonstrated by many TED Talks.

You should only use slides if they serve a purpose: conveying scientific information, art, and things that are hard to explain without pictures. Once you have decided on using slides, you will have a number of decisions to make. We’ll help you with the basics of making a presentation that is, above all, clear and easy to understand. The most important thing to remember here is: less is more.

Less is so much more

You want to aim for the fewest number of slides, the fewest number of photos, the fewest words per slide, the least cluttered slides and the most white space on your slides. This is the most violated slide rule, but it is the secret to success. Take a look at these examples.

As you can see in the above example, you don’t need fancy backgrounds or extra words to convey a simple concept. If you take “Everything you need to know about Turtles”, and delete “everything you need to know about” leaving just “turtles”, the slide has become much easier for your audience to read, and tells the story with economy.

The above example demonstrates that a single image that fills the entire screen is far more powerful than a slide cluttered with images. A slide with too many images may be detrimental to your presentation. The audience will spend more mental energy trying to sort through the clutter than listening to your presentation. If you need multiple images, then put each one on its own slide. Make each image high-resolution and have it fill the entire screen. If the photos are not the same dimensions as the screen, put them on a black background. Don’t use other colors, especially white.

Your slides will be much more effective if you use the fewest words, characters, and pictures needed to tell your story. Long paragraphs make the audience strain to read them, which means they are not paying attention to you. Your audience may even get stressed if you move on to your next slide before they’ve finished reading your paragraph. The best way to make sure the attention stays on you is to limit word count to no more than 10 words per slide. As presentation expert Nancy Duarte says “any slide with more than 10 words is a document.” If you really do need a longer explanation of something, handouts or follow-up emails are the way to go.

Following a “less is more” approach is one of the simplest things you can do to improve your presentation visuals and the impact of your presentation overall. Make sure your visuals add to your presentation rather than distract from it and get your message across.

How to Use Graphics in Your Presentation

Here are five easy rules for when and how to put graphics in your presentations..

Most business presentations are about as interesting as watching paint dry in slo-mo, so the last thing you want is to make your presentation MORE boring by misusing your graphics.

Here are some simple rules based on a conversation with psychologist Stephen M. Kosslyn, author of the book Clear and to the Point .

Note: I've included some very rough examples to give you an idea of what I'm talking about. Needless to say, your own slides will be somewhat more polished.

1. Use a graphic when illustrating relative amounts.

Graphics are particularly good at communicating that one thing is larger than another. If you attempt to express this with words and numbers, you're forcing your audience to do mental mathematics. Why not make it easy for them?

2. Use graphics to simplify rather than more complex.

If your data contains multiple elements (like sales over time), a graph is the best way to communicate. However, don't crowd the slide with data lest it become a puzzle-solving exercise. Keep it simple.

3. Break complicated concepts into multiple graphics.

It's very difficult for an audience to absorb a complicated graphic. Rather than present it as a massive wall of visual data, break the graphic into chunks and show how each chunk relates to the previous chunk.

You: "Here is our basic organizational structure." (Click)

You: "We are now going to focus on the R&D group."

4. Don't use corny clip art.

Actually, Kosslyn didn't say anything about this, but it needs to be said: enough with the happy workers who look like they've stepped out of a soap opera!

AI Presentation Assistant

Prezi has an AI assistant that automatically generates presentations for users.

3 Google Slides

Google Slides is the presentation software available via your Google account. Just like you can create documents and spreadsheets with Google Docs and Sheets, you can create presentations with Google Slides.

The setup is very similar to PowerPoint and is free to use for anyone with a google account. There is a business version called G Suite, which includes the same things with more storage and management capabilities.

Google Slides is free to use for anyone with a Google account. All features are available to everyone.

Compared to other examples of presentation software, Google Slides is very easy to use. The controls are very similar to Google Docs and Sheets.

There is a general collection of templates, but there are not very many. Presentations can also be started from scratch.

The graphic assets are average and simple. The shapes are classic and generic. Photographs can be uploaded from your desktop, your Google Drive, a URL or searched online.

Videos can uploaded with a YouTube link or from Google Drive. GIFs can be added just like images.

Audio and Embed Third-Party Content

Anything from your Google Drive can be added in. Also there are some available “add-ons” that can be integrated for icons, stock photography and audio.

Google Slides is a cloud-based program.

Google Slides can be used fully on any device with their respective apps for Android and iPhone. Presentations can be edited and viewed on all devices.

Keynote is the native Apple presentation software — one of the original PowerPoint Alternatives. Anyone with an Apple ID can use the Keynote editor. It is the most similar to PowerPoint and also Google Slides.

Keynote is free for downloading and also accessing via the cloud with an apple ID.

If you know how to use PowerPoint or Google Slides, Keynote is a breeze. This feature makes it stand out as one of the best tools for presentation.

Keynote is good for businesses, educators and anyone who needs a practical presentation software.

The templates are limited but come in standard or wide sizes. Templates can also be found outside of Keynote and uploaded into the program.

There are plenty of classic symbols and icons available which are also customizable in terms of color and gradient. Images can only be added from your computer.

Videos are not embeddable in Keynote slides but that is sorted with a plug-in like LiveSlides. GIFs can be added as .gif images.

You can upload existing audio files in Keynote to play on specific slides. There's also an option to record your own voiceover to create a narrated presentation.

Slides and objects can be animated in a number of ways, including path creation, scaling, bounce or jiggle effects, and more.

Keynote is available on both desktop and cloud.

You can create keynote presentations on any apple device and PC.

Keynote presentations can be downloaded as .pdf or as .pptx to view offline.

Keynote presentations can be collaborated on via a link or email with permission settings set to “can make changes”.

5 Microsoft PowerPoint

This list wouldn't have been complete without the most popular presentation software in the world. Even though there are tons of more advanced presentation tools out there now, PowerPoint is still a favorite of many because of its familiarity, ease of use and availability.

The desktop-based PowerPoint program is part of Microsoft 365, which has different plans for businesses that start from $6/month and go up to $22/month. You can also buy an unbundled digital PowerPoint account for $159.99

PowerPoint Online is free on any device, including mobile.

Most, if not every, computer user knows how to work a PowerPoint. The traditional sidebar interface is easy to use simply because it's familiar. But for people who are using PowerPoint for the first time, there might be a slight learning curve.

Businesses, individuals, students, teachers and anyone who uses a Windows PC or device. PowerPoint is also a good fit for people who want to create simple, conventional presentations, and aren't looking for fancy new features or capabilities.

There are dozens of themes that come built-in with PowerPoint, and there are all customizable so you can play around with the styles.

You can browse stock images, icons, stickers and more by searching for relevant keywords in PowerPoint's graphic library.

Videos and GIFs can be uploaded from your computer. You can also embed videos from YouTube and other online sources. However, this feature is only available to Windows users.

You can upload audio files from your computer. You can also record audio directly inside PowerPoint and edit the settings for playback.

You can embed files created in other Microsoft Office applications, such as charts created in Excel, or any other programs that support Object Linking and Embedding (OLE.)

There are tons of animation and transition options available in PowerPoint, which can actually get confusing at times. However, if you know your way around these options, it gets easier to create a professional-looking slideshow.

There are both desktop and cloud versions of PowerPoint available.

You can download the PowerPoint mobile apps on both Android and iOS devices.

It's possible to share your presentation with specific people.

Brand kits are not available, but you can save custom themes.

Presentations cannot be shared to social media.

You can download your PowerPoint presentations in various formats, including PPTX and PDF. This makes it easy to access them on any device offline.

You can mark your presentations as read-only to prevent users from editing the file.

This feature is not available in PowerPoint.

Ludus is one of the best-looking presentation tools available online. The main attractions with Ludus are the clean black screen to edit on and the number of integrations that give importing capabilities for all sorts of content. From photography to .svg to code builds.

Ludus starts at $14.99/month for teams of 1-15 people. Teams that need more licenses are encouraged to contact for more pricing information. Ludus does offer a 30-day free trial.

Ludus is quite easy to use and includes lots of keyboard shortcuts. It is easy to learn how to use and pretty straightforward. It seems to be easier for designers than for non-designers to use.

This presentation software is geared more towards designers or business owners who have some design knowledge to totally be able to use the broad capabilities.

There are no templates to choose from. You have to start from scratch or use smart blocks that you can create to use over and over easily. Smart blocks are kept in their own library.

Ludus has minimal in-house graphic assets like simple shapes, but the integrations are epic. You can import .svg icons and edit them inside Ludus quite easily. Photos can also be imported via Unsplash, Instagram, Facebook or uploaded.

Videos and GIFs are easily imported via the integrations like YouTube, Vimeo, Giphy and more.

Audio can be embedded as an audio file from SoundCloud, Dropbox and other integrations.

You can pretty much embed anything into Ludus. The integrations are impressive and there are also iframe and HTML options.

Internal elements can’t be animated but there are so many integrations that animations can be done in different ways.

Ludus is a cloud-based app. No need to download anything.

Presentations can only be edited on computers. Finished presentations can be viewed on all handheld devices that have access to the internet via a URL link.

Collaborations are possible with the team plans. This includes live collaboration, workspaces and more.

With collaborations, smart blocks and the Brandfetch integration, a brand kit can be organized quite easily. But it’s not an internal feature.

Finished presentations can be easily shared to social media straight from Ludus.

Ludus presentations can be downloaded as .pdf or .html to be viewed offline.

Slides is the only presentation software that promotes itself as being “pixel perfect” as the editor includes a built-in grid to help with composition. Slides has a lower cost at the highest price tag which is good for smaller businesses.

Slides is very easy to use, the editing board is minimal but all tools are at easy reach. No need to get confused with Slides. There are no templates so presentations are built from scratch.

Small business owners or startups. Individuals that know what they want and don’t need templates to help them along. Also for developers because it has HTML and CSS building capabilities.

Slides has a very limited template library with just a handful of different options to choose from.

The available shapes and icons are common and minimal. Photos have to be uploaded or imported from a URL.

The free plan has limited capabilities but it's enough to see how Slidebean works. To export your presentation, you'll need to upgrade.

If you choose to get their help on your presentation design, it starts at $29 per slide or $1,999 for the full project.

Slidebean is quite easy to use. You can choose between templates or start from scratch. Adding content is simple and to the point from a popup.

Editing can be done in outline or design mode. The editing is limited to how the content blocks are set up, but there are lots of choices. There's no free size changing or moving around.

Startups, small businesses and entrepreneurs.

There are plenty of template options. They are organized in sections and niche. The template collection has presentations by known brands like Snapchat and Buzzfeed.

There are plenty of icons and images to choose from. However, there are no shapes, but icons can be used as shapes.

GIFs can be added via the Giphy integration in a content block. Video can be added in the paid plans.

There are no audio capabilities.

The code snippet content block has lots of options so a lot of different kinds of third-party content can be added in.

Content blocks and their elements can be animated with a couple features.

Slidebean is an online program on the cloud.

It can be used to edit or view on any device.

9 Zoho Show

Zoho Show is a presentation software that mimics Microsoft PowerPoint in the way it is set up, with a menu up top for all the actions. However, Zoho's version is much nicer and polished.

Zoho is a complete CRM for businesses and the company offers different types of apps for teams and office use — Zoho Show is only one of their programs.

Zoho show is completely free and without ads.

Zoho Show is pretty easy to use. The content blocks can be chosen as themes but they can also be moved around freely and resized. The presentation can be viewed in three ways, with a handy grid view to see all slides next to each other.

Businesses, entrepreneurs, educators and students. Anyone who needs to make a presentation.

There aren’t exactly templates, but there are themes. These do not come with images or lorem ipsum but are more like visual canvases that can be customized in terms of color, layout and more.

The shapes are pretty good, there are quite a bit to choose from. An added bonus is the possibility to draw shapes or scribble anything yourself with the trackpad.

Videos can be added via the YouTube integration and GIFs can be added as an image.

Audio can be added via Soundcloud with an embed code.

There are a number of sites that are supported via Embed codes but not that many. Zoho Show says that you can ask your needs to be added in the permitted list.

All elements and transitions can be animated.

Zoho Show is a cloud bases program and can be broadcast from anywhere and on any device. The live broadcast includes a chat window and the audience can download the presentation if they want to.

You can only create presentations on a computer.

Teams can easily use Zoho Show, even in the free version.

Custom branding is only available in the highest paid plan.

Sharing to social media is not possible unless downloaded as a PDF file and then uploaded to something like SlideShare.

Presentations can be downloaded as .pptx or .pdf files for offline viewing.

Yes, this is possible on all plans.

Analytics are possible on the paid plans.

10 Beautiful.ai

Beautiful.ai is a presentation software that helps you create great-looking slides with the help of Artificial Intelligence. This means that your presentation will look professional every single time, regardless of who designs it.

Beautiful.ai currently offers a Pro plan at $12/month and a Team plan at $40/month, both billed annually. They offer a 14-day free trial to test out their tool.

This is probably the best thing about Beautiful.ai — it's incredibly simple to use. All you need to do is add smart slides, plug in your content, and choose from different preset layouts.

Of course, that also means that you have limited customization options. But if you're looking for a simple solution and you don't trust your design skills, this may be a good option for you.

Beautiful.ai is a great tool for absolute beginners and non-designers who are looking for a no-nonsense presentation software.

For example, startups and entrepreneurs can use this software to create a nice-looking pitch deck or proposal quickly without any design help.

There are a handful of slide themes available, but they're mostly basic in terms of design. You can play around with the layouts inside each theme to put together a unique presentation.

The graphic assets library comes with a bunch of free stock photos and icons to choose from, but the options are pretty limited.

Videos and GIFs can be uploaded from your computer. You can also import videos from YouTube and Vimeo to embed in your slides.

It's not possible to embed third-party content into Beautiful.ai presentations. However, you can add interactive links to your slides.

Each slide comes with a preset animation style that you're unable to customize. However, you can change the speed, timing and triggers for the animations.

Genially is easy to use if you are accustomed to programs with lots of choices. There is a lot that can be done with the features in Genially.

Any change can be applied to all slides with a single click of the button in the menu. When editing, there is a "design view" and a "layers view."

Professionals and educators of any field who can benefit from interactive presentations.

There are plenty of template options. Some are free and some are only available via the premium plans. Presentation templates are also available as "video presentations."

The graphic assets in Genially are quite varied; there is plenty to choose from. Images can be uploaded or found on the Pixabay integration.

Videos can be added via a YouTube link and GIFs can be imported with the Giphy integration.

Audio can be uploaded from your computer, added via SoundCloud and a couple of other integrations, or recorded directly in Genially.

Third-party content can be added to your presentations with Genially integrations. For example, you can add an interactive map via Google Maps.

All elements can be animated, as can the transitions between slides. Animation effects are quite extensive. There is a similar tab called “interactivity,” which are pop-ups and hyperlinks supplied with lots of button choices.

Genially is a cloud-based presentation program.

This program is only available to edit on computers but can be viewed on any device.

It seems that a professional plan allows 5 team members, but the pricing plan shows that all plans have collaborative capabilities. Collaborators can be added in the dashboard where  all creations are stored.

Brand kits are available in the premium plans. It is an internal feature with easy access.

Finished presentations can be shared to social media.

Finished presentations can be downloaded as a set of .jpg images, as a .pdf or as an .html5 file which will keep all animations.

Premium plans have these features.

This is not available in Genially.
