But what if you feel sick prior to the presentation? If, by chance, your throat is sore minutes before setting foot on the stage, try this: when introducing yourself, mention that you are feeling a bit under the weather. This resonates with the audience to pay more attention to your efforts. In case you don’t feel comfortable about that, ask the organizers for a cup of tea, as it will settle your throat and relax your nerves.

Believe it or not, people still feel challenged by technology these days. Maybe that’s the reason why presentation giants like Tony Robbins opt not to use PowerPoint presentations . The reality is that there are plenty of elements involved in a presentation that can go wrong from the tech side:

  • A PDF not opening
  • Saving your presentation in a too-recent PowerPoint version
  • A computer not booting up

There is always a crew member available to help presenters switch between slides or configure the presentation for streaming. Presentations, while valuable for conveying information and ideas, can be daunting for many individuals. Here are some common difficulties people encounter when giving presentations:

Public Speaking Anxiety

Glossophobia, the fear of public speaking, affects a significant portion of the population. This anxiety can lead to nervousness, trembling, and forgetfulness during a presentation.

In this section, we gathered some tips on how to improve presentation skills that can certainly make an impact if applied to your presentation skills. We believe these skills can be cultivated to transform into habits for your work routine.

Tip #1: Build a narrative

One memorable way to guarantee presentation success is by writing a story of all the points you desire to cover. This statement is based on the logic behind storytelling and its power to connect with people .

Don’t waste time memorizing slides or reading your presentation to the audience. It feels unnatural, and any question that diverts from the topic in discussion certainly puts you in jeopardy or, worse, exposes you as a fraud in the eyes of the audience. And before you ask, it is really evident when a presenter has a memorized speech. 

Build and rehearse the presentation as if telling a story to a group of interested people. Lower the language barrier by avoiding complex terms that maybe even you aren’t fully aware of their meaning. Consider the ramifications of that story, what it could lead to, and which are the opportunities to explore. Then, visualize yourself giving the presentation in a natural way.

Applying this technique makes the presentation feel like second nature to you. It broadens the spectrum in which you can show expertise over a topic or even build the basis for new interesting points of view about the project.

Tip #2: Don’t talk for more than 3 minutes per slide

It is a common practice of presenters to bombard the audience with facts and information whilst retaining the same slide on the screen. Why can this happen? It could be because the presenter condensed the talk into very few slides and preferred to talk. The reality is that your spectators won’t retain the information you are giving unless you give visual cues to help that process. 

Opt to prepare more slides and pace your speech to match the topics shown on each slide. Don’t spend more than 3 minutes per slide unless you have to introduce a complex piece of data. Use visual cues to direct the spectators about what you talk about, and summarize the principal concepts discussed at the end of each section.

Tip #3: Practice meditation daily

Anxiety is the number one enemy of professional presenters. It slowly builds without you being aware of your doubts and can hinder your performance in multiple ways: making you feel paralyzed, fidgeting, making you forget language skills or concepts, affecting your health, etc.

Meditation is an ancient practice taken from Buddhist teachings that train your mind to be here in the present. We often see the concepts of meditation and mindfulness as synonyms, whereas you should be aware that meditation is a practice that sets the blocks to reach a state of mindfulness. For presenters, being in the here and now is essential to retain focus, but meditation techniques also teach us to control our breathing and be in touch with our body signals when stress builds up. 

The customary practice of meditation has an impact on imagination and creativity but also helps to build patience – a skill much needed for connecting with your audience in instructional presentations.

Having the proper set of presentation skills can be quite subjective. It goes beyond presentation tips and deepens into how flexible we can be in our ability to communicate ideas.

Different presentations and different audiences shape the outcome of our efforts. Therefore, having a basic understanding of how to connect, raise awareness, and empathize with people can be key ingredients for your career as a presenter. A word of advice: success doesn’t happen overnight. It takes dedication and patience to build communication skills . Don’t condition your work to believe you will be ready “someday”; it’s best to practice and experience failure as part of the learning process.

When we talk with our L&D colleagues from around the globe, we often hear that presentation skills training is one of the top opportunities they’re looking to provide their learners. And this holds true whether their learners are individual contributors, people managers, or senior leaders. This is not surprising.

Effective communications skills are a powerful career activator, and most of us are called upon to communicate in some type of formal presentation mode at some point along the way.

For instance, you might be asked to brief management on market research results, walk your team through a new process, lay out the new budget, or explain a new product to a client or prospect. Or you may want to build support for a new idea, bring a new employee into the fold, or even just present your achievements to your manager during your performance review.

And now, with so many employees working from home or in hybrid mode, and business travel in decline, there’s a growing need to find new ways to make effective presentations when the audience may be fully virtual or a combination of in person and remote attendees.

Whether you’re making a standup presentation to a large live audience, or a sit-down one-on-one, whether you’re delivering your presentation face to face or virtually, solid presentation skills matter.

Even the most seasoned and accomplished presenters may need to fine-tune or update their skills. Expectations have changed over the last decade or so. Yesterday’s PowerPoint which primarily relied on bulleted points, broken up by the occasional clip-art image, won’t cut it with today’s audience.

The digital revolution has revolutionized the way people want to receive information. People expect presentations that are more visually interesting. They expect to see data, metrics that support assertions. And now, with so many previously in-person meetings occurring virtually, there’s an entirely new level of technical preparedness required.

The leadership development tools and the individual learning opportunities you’re providing should include presentation skills training that covers both the evergreen fundamentals and the up-to-date capabilities that can make or break a presentation.

So, just what should be included in solid presentation skills training? Here’s what I think.

The fundamentals will always apply When it comes to making a powerful and effective presentation, the fundamentals will always apply. You need to understand your objective. Is it strictly to convey information, so that your audience’s knowledge is increased? Is it to persuade your audience to take some action? Is it to convince people to support your idea? Once you understand what your objective is, you need to define your central message. There may be a lot of things you want to share with your audience during your presentation, but find – and stick with – the core, the most important point you want them to walk away with. And make sure that your message is clear and compelling.

You also need to tailor your presentation to your audience. Who are they and what might they be expecting? Say you’re giving a product pitch to a client. A technical team may be interested in a lot of nitty-gritty product detail. The business side will no doubt be more interested in what returns they can expect on their investment.

Another consideration is the setting: is this a formal presentation to a large audience with questions reserved for the end, or a presentation in a smaller setting where there’s the possibility for conversation throughout? Is your presentation virtual or in-person? To be delivered individually or as a group? What time of the day will you be speaking? Will there be others speaking before you and might that impact how your message will be received?

Once these fundamentals are established, you’re in building mode. What are the specific points you want to share that will help you best meet your objective and get across your core message? Now figure out how to convey those points in the clearest, most straightforward, and succinct way. This doesn’t mean that your presentation has to be a series of clipped bullet points. No one wants to sit through a presentation in which the presenter reads through what’s on the slide. You can get your points across using stories, fact, diagrams, videos, props, and other types of media.

Visual design matters While you don’t want to clutter up your presentation with too many visual elements that don’t serve your objective and can be distracting, using a variety of visual formats to convey your core message will make your presentation more memorable than slides filled with text. A couple of tips: avoid images that are cliched and overdone. Be careful not to mix up too many different types of images. If you’re using photos, stick with photos. If you’re using drawn images, keep the style consistent. When data are presented, stay consistent with colors and fonts from one type of chart to the next. Keep things clear and simple, using data to support key points without overwhelming your audience with too much information. And don’t assume that your audience is composed of statisticians (unless, of course, it is).

When presenting qualitative data, brief videos provide a way to engage your audience and create emotional connection and impact. Word clouds are another way to get qualitative data across.

Practice makes perfect You’ve pulled together a perfect presentation. But it likely won’t be perfect unless it’s well delivered. So don’t forget to practice your presentation ahead of time. Pro tip: record yourself as you practice out loud. This will force you to think through what you’re going to say for each element of your presentation. And watching your recording will help you identify your mistakes—such as fidgeting, using too many fillers (such as “umm,” or “like”), or speaking too fast.

A key element of your preparation should involve anticipating any technical difficulties. If you’ve embedded videos, make sure they work. If you’re presenting virtually, make sure that the lighting is good, and that your speaker and camera are working. Whether presenting in person or virtually, get there early enough to work out any technical glitches before your presentation is scheduled to begin. Few things are a bigger audience turn-off than sitting there watching the presenter struggle with the delivery mechanisms!

Finally, be kind to yourself. Despite thorough preparation and practice, sometimes, things go wrong, and you need to recover in the moment, adapt, and carry on. It’s unlikely that you’ll have caused any lasting damage and the important thing is to learn from your experience, so your next presentation is stronger.

A strong presentation is so much more than information pasted onto a series of slides with fancy backgrounds. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others. Here are some unique elements that make a presentation stand out.

  • Fonts: Sans Serif fonts such as Helvetica or Arial are preferred for their clean lines, which make them easy to digest at various sizes and distances. Limit the number of font styles to two: one for headings and another for body text, to avoid visual confusion or distractions.
  • Colors: Colors can evoke emotions and highlight critical points, but their overuse can lead to a cluttered and confusing presentation. A limited palette of two to three main colors, complemented by a simple background, can help you draw attention to key elements without overwhelming the audience.
  • Pictures: Pictures can communicate complex ideas quickly and memorably but choosing the right images is key. Images or pictures should be big (perhaps 20-25% of the page), bold, and have a clear purpose that complements the slide’s text.
  • Layout: Don’t overcrowd your slides with too much information. When in doubt, adhere to the principle of simplicity, and aim for a clean and uncluttered layout with plenty of white space around text and images. Think phrases and bullets, not sentences.

As an intern or early career professional, chances are that you’ll be tasked with making or giving a presentation in the near future. Whether you’re pitching an idea, reporting market research, or sharing something else, a great presentation can give you a competitive advantage, and be a powerful tool when aiming to persuade, educate, or inspire others.

Before we list our top effective presentation tips, let’s explore the most common presentation mistakes. If you’ve made one or more mistakes in this list, you’re not alone. Most people have made at least one mistake. However, what’s important is to be aware of these errors and try avoiding them next time.

#1 A poor start

One of the most common mistakes people make is undermining the importance of the first few minutes or seconds of their presentation. 

Let’s say you’ve practiced your key talking points meticulously and gone over your slides a million times, but when you’re in the spotlight and need to say your first line, do you know exactly what to say to wow the audience? 

The start of your presentation is crucial. Not only because how you start sets the tone for the rest of your presentation, but also because people generally require around 8 seconds to decide whether they find the subject interesting enough to keep listening. #2 Lack of preparation

Yes, even though it’s clear that you should prepare before giving a presentation, it’s still a common mistake amongst presenters. Preparing content and talking points is an obvious start, but there are other steps that you might be overlooking.

Before you even join a meeting or walk into a room where you’re going to present, consider the technical requirements and get familiar with the equipment. If you’re presenting online, make sure to test-run your presentation and the visual aids you’re going to use. The last thing you want is a broken video link, poor audio, or a weak connection when you’re presenting. 

Also, consider the questions your audience might want to ask you about the topic. Think about how you’d answer those questions, or do even further research to really impress the audience with your answers.

It’s great to feel passionate about your topic. However, you’ll have to consider your audience’s level of interest and knowledge. #1 Tell a story

Stories connect, inspire, and empower people. Telling a story can entice action, help understand an idea, and make people feel connected to the storyteller. A study by organizational psychologist Peg Neuhauser found that a well-told story is easier to remember than facts, which makes it a highly effective learning technique. 

With that in mind, telling a story when you’re presenting can engage your audience and make it a more memorable experience. You can either share a personal story or a historical event, just make sure to have a clear connection between the story and the topic you’re presenting.

#2 Work on your body language

Body language can make a huge difference in how your presentation is perceived. It’s one of the presentation tips you definitely shouldn’t overlook. 

Body language says a lot about a person’s confidence level, emotions, state of mind, and even credibility. For the audience, it’s a way to understand what the person is saying and how interested they are in the topic. 

Therefore, work on your body language to better convey the message you’re trying to communicate. Practice in front of a mirror before your presentation and be conscious of your hand gestures and facial expressions. 

#3 Understand your audience

Before crafting your presentation, you must know who you’re speaking to. Understanding the interests, demographics, professional background, and other valuable information of your audience is crucial in making your speech successful.

If you’re speaking at an event, contact the organizers to get more information about other speakers and the audience. If you’re presenting at work, you may already know your audience fairly well. Use this information to your advantage and create content you know they’ll resonate with.

#4 Use high-quality visuals

What’s one of the most effective presentation techniques? Use of visuals. They play a crucial role in your presentation. However, only high-quality visuals will make a good impression and effectively communicate your message. Use high-quality visuals like images, videos, graphs, maps, and others to really land your point.

You can make your presentation more engaging for everyone by including interactive content like graphs and charts. With interactive data visualizations, you’ll make the data discovery process more engaging and exciting for your audience. 

Your audience will be able to hover over data points and click on certain icons or datasets to discover information on their own. Interactive visualizations will make the presentation more memorable and impressive.

#7 Stay consistent with fonts and color styles

You want your presentation to look visually appealing and highlight essential information. To make that happen, stay consistent with font styles and color schemes throughout your presentation. 

Use one or two fonts max to make the text easy to read and understand. Also, use a carefully selected color scheme that’s not too distracting. #8 Structure your presentation properly

Before creating your presentation, think about its structure. What’s the main idea you want to convey? Use that as your starting point, and only include information that adds value to the narrative. 

Plan out the first topics carefully to properly introduce your argument. Add the essential information in the middle part of your presentation. Lastly, close your presentation with a summary of the main points and leave your audience with an afterthought. Also, plan when you’re taking questions and for how long.

#9 Practice your public speaking skills

Public speaking may not be your forte, but you can get better with practice. Don’t decline a great opportunity to share your ideas with a larger audience just because you feel nervous speaking in front of a group of people.

#10 Show your slides next to you on-screen

Try breathing exercises or a five-minute guided meditation before presenting. The trick is to remove all distractions and focus on the present moment so you’re not overthinking right before starting your presentation. Add movement to your slides with transitions and animations. You’ll make your presentation more visually appealing and engaging. However, be careful not to overwhelm your audience with your choice of transitions and animations.

The bad news, though, is that just like any other soft skill, in order to get good at delivering presentations, you’ll have to practice a lot.

To help get you started, below, we’re going to cover 12 of our best tips on how to improve your presentation skills, starting with:

#1. Prepare your presentation in advance

Impromptu presentations don’t happen that often in real life. Most times, you’ll have enough time to prepare for your presentation. 

Needless to say, you should use that time to your advantage. Don’t just make mental notes of what you’ll say during your presentation and call it a day, but actually plan it out from start to finish. 

When preparing your presentation in advance, make sure to consider the following points:

  • What type of presentation are you making?
  • What is your speech delivery method?
  • How are you going to grab the audience’s attention from the get-go?
  • What are the main points you need to cover?
  • What is the best way to make the conclusion memorable?
  • How much time do you have at your disposal?
  • What visual aids and multimedia can you use?
  • What does the audience expect to see/hear?

#2. Practice as much as possible

Just like with any other soft skill, the best way to hone your presentation skills is to practice as much as possible.

Some ways you can practice your presentation skills are:

  • In front of a mirror or in front of your friends and family.
  • Watch TED talks to get inspired and learn what good presentation skills look like.
  • Read books on communication, presentation, and public speaking.

Now, when it comes to how much you should exercise, that can differ from one person to the next.

We say - find a golden mean that works best for you. If you’re not big on exercising, you can always start small with something casual like biking to work or playing a sport once or twice a week.

By arriving early for your presentation, you can deal with any possible setbacks (e.g. mic not working, USB failure, wardrobe malfunction, etc).

Obviously, a casual presentation in front of coworkers won’t require much emotional preparation. But if you have to, say, pitch a marketing idea to your clients or address a room full of strangers, getting to exchange some words with them before the presentation could break the ice and make it easier to engage with them later on.

You should always keep your audience in mind when making (and delivering) a presentation. 

At the end of the day, if your message is not tailored to its audience, chances are, it’s going to fall flat.

If your audience is a group of 50-somethings, high-level executives, chances are they won’t get your Rick and Morty references or appreciate any attempts to keep the presentation light, casual, and humorous. 

Instead, stick to talking about facts and figures without any joking around, use straightforward language, and avoid over-the-top body language while delivering the presentation. 

If on the other hand, you’re delivering a presentation to your class of 20-somethings, then you’re a lot more likely to make an impact if you joke around, make references, and make the presentation more casual.

In short, if you want your presentation to carry as much impact as possible, make sure to think about who you’re presenting to. 

#6. Use Relaxation Techniques

Even the most seasoned public speakers experience some level of anxiety before giving a presentation.

To make sure nerves and anxiety don’t throw you off your A-game, you can take advantage of relaxation techniques. 

One of the simplest (and most effective) ways to relax before a presentation is to breathe.  

When we say breathing, though, we don’t mean the automatic in-and-out we do to stay alive. We mean taking deep, relaxing breaths from your stomach while being mindful of what you’re doing. 

Here’s how breathing mindfully before your presentation can help you give a better presentation: 

  • Calms your nerves
  • Reduces stress 
  • Helps with anxiety 

To practice mindful breathing, focus on breathing from your stomach and push your stomach out each time you inhale. When you’re inhaling and exhaling, count to at least three for each breath. 

Keep doing this and you’ll soon start feeling more relaxed. 

#7. Acknowledge That You’re Nervous

People appreciate honesty. 

If you go on stage feeling extremely nervous, use this neat little trick:

Instead of trying to play it cool, simply acknowledge that you’re feeling nervous by straight-up saying it.

Chances are, a very large chunk of your audience feels exactly the same way about public speaking, and you’ll build up some rapport just like that!

This same exact tip even applies to job interviews. You can simply tell the recruiters that you’re feeling nervous and need a minute - that’s totally acceptable!

Unless you’re applying for a job in sales, the job interviewer is not going to be evaluating you on how good you are at passing interviews.

#8. Tell stories

Storytelling is a powerful presentation tool. According to the Guardian, 63% of presentation attendees remember stories , while only 5% remember statistics.

That’s because a good story can take the audience on a journey, intrigue them, inspire them, and motivate them. In turn, they’re much more likely to remember your presentation.

There are several ways you can go about incorporating stories into your presentation. 

One is to tie your own stories, along with what you experienced, learned, or observed, to make your argument more impactful and relatable. Alternatively, you can also create a story for the sake of the presentation that can be just as impactful in driving your point across. 

Keep in mind, though, that not every presentation requires storytelling. If your presentation is packed with data and stats showing how you managed to improve profits by 20% in the last quarter, for example, then you don’t really need to include a story in there to make it impactful. 

#9. Be humorous

This one’s quite self-explanatory; as much as you can, be humorous during your presentation. It helps ease tension, get the attention of everyone in the room, and connect with them more effectively. 

Now, some people are born with humor. If you’re one of them, cracking a joke here and there should come very naturally to you. 

Otherwise, you can practice your presentation in front of your friends and family and prepare your jokes in advance. If your mock audience laughs at your jokes, chances are, so will your real audience!

#10. Use visual aids and media

Using visuals and other media forms (e.g. music, videos, infographics, etc.), can make your presentation significantly more engaging, memorable, and striking. 

Say, for example, that your presentation consists entirely of numbers and data. You can use data visualization (e.g. charts, graphs, and maps), to make the data stick with your audience better. 

Or, if you’re a lecturer at a university, you’ll want to use as many pictures, videos, and even music to help your students remember the information you’re transmitting.

To give a truly memorable presentation, engage your audience as much as possible. 

Instead of speaking to your audience, try to speak with your audience.

What we mean by this is that you should be very proactive in getting your audience involved in your presentation. Ask questions, get them to share stories, and so on. 

Some examples of how you can effectively engage an audience are: 

  • Asking a random audience member to share their experience on a topic.
  • Doing a count of hands (e.g. “Has anyone done X? Can I see a count of hands?” or “Which one of you guys likes Y? Raise your hands.” )
  • Do an on-the-spot poll (e.g. “How many of you guys do X?” or “how many of you guys think Y?” )
  • Making time for a Q&A at the end of your presentation. 

6 Ways to Improve Your Presentation Skills

Just like any other skill, presentation skills can be learned and improved. So, if you’re looking to improve your presentation skills, follow the tips below: 

  • Take every public speaking opportunity you get. The best way to learn presentation skills is by doing it. So, take every opportunity you get. E.g. volunteer to present a project, say a toast at your friend's wedding, etc.
  • Check these TED talks. Is there anything TED talks haven’t covered? Check out these talks that can teach you how to give awesome presentations: “ Giving Presentations Worth Listening To ”, “ the secret structure of great talks ,” and “ the science of stage fright (and how to overcome it) ”. 
  • Take public speaking classes. Udemy, Coursera, and LinkedIn all have great public speaking courses. Or, even better, take a class at your local college. This way, you’ll get a lot more practice than by taking an online class. 
  • Attend other presentations. This one’s pretty self-explanatory. The more presentations you attend, the more you can learn from others’ successes or failures. 
  • Grow your confidence. Speak in front of friends and family, film yourself, and accept constructive criticism. Soon enough, you’ll be confident enough to give excellent presentations!

#1. List Your Presentation Skills Under Your Soft Skills 

The first and most obvious place to list your presentation skills is under your skills section . 

This part is pretty straightforward. Your skills section should be divided into “soft skills” and “hard skills” and look something like this:

Simply add “Presentation Skills” under the “Soft Skills” section, and you’re good to go.

#2. Mention Your Presentation Skills in Your Resume Summary 

If presentation skills are super important for the role you’re applying for, you can also include them in your resume summary :

In a nutshell, the resume summary is a short paragraph on top of your resume that typically mentions: 

  • Your title and years of experience 
  • Your most noteworthy achievements
  • Your top skills and qualifications

Done right, this section should highlight all your strong points right from the get-go and get the hiring manager to go through the rest of your resume in more detail. 

Here’s an example of a resume summary that effectively mentions the candidate’s presentation skills: 

  • Sales professional with 7 years of experience in sales presentations and lead generation. Excellent public speaking skills. Track record of converting prospects into loyal customers.

#3. Prove Presentation Skills Through Your Work Experience 

Lastly (and most importantly), you should use your work experience section to prove that you’ve got the presentation skills you mentioned in your skills section.

Here’s exactly how you can do that: 

  • Keep your work experience section relevant. List recent and relevant positions. Omit outdated and irrelevant ones. For example, if you’re applying for a customer service position, you can mention the time you worked, say, as a receptionist. Your teen job mowing lawns, on the other hand? Not as important. 
  • Focus on achievements instead of responsibilities. Instead of telling the hiring manager what they already know (your responsibilities), focus on showing them how you made an impact with your achievements. A way to do that is to write down a couple of achievements for every presentation skill that you include under your soft skills. 
  • Make your achievements quantifiable . Adding numbers to your achievements makes them significantly more impressive. “Delivered a presentation that closed a 6-figure client” is a lot more powerful than “Delivered client presentations,” right?
  • Use action verbs and power words. Presentation skills are also about how you present yourself in your resume. Avoid dry and unimaginative language and go for these action verbs and power words instead.

Questions can be a major source of anxiety for many presenters.

In our presentation skills courses we are often asked to help people to answer questions more professionally.

It’s a much bigger issue than many people think.

When we probe a little deeper to understand the issue, our delegates often ask 3 questions:

         1. ‘How do I respond confidently to a question I simply don’t know the answer to?’

         2. ‘What if I don’t understand the question?

         3. ‘How do I deal with hostile questions?’

Our first task is to re-frame the way we think about being asked questions. For many people that presents a significant challenge.

It is often perceived as the moment of truth

We’ve spent hours crafting our presentation to ensure its content rich and helpful. We know our content well and have practiced exhaustively.

We’ve left nothing to chance; so what’s the problem?

It’s as simple as it is frightening. We convince ourselves that our entire reputation depends on how we answer questions.

Unfortunately, there can be a touch of truth behind that limiting belief. That’s why it’s the cause of so much anxiety amongst presenters. 

There’s plenty you can do to answer those challenging questions with confidence and credibility. Before we explore them, try to avoid this mistake.

Don’t answer a question saying:

“That is a really good question and I am glad you asked it.”

Quite often, it’s not a good question? If it’s not a good question the response sounds glib. If it is a good question, does that mean the others aren’t?

How you would feel if you asked the next question and the presenter didn’t acknowledge it as a ‘really good question’.

Just answer the question.

The scary six

Our job as presenters extends beyond crafting a content rich, compelling, presentation. We also have to deliver  it in a way that is congruent with our message. We have to anticipate difficult questions too.

Surround yourself with a small group of people you trust and respect. Share your presentation with them giving each person a specific role. 

Devil’s advocate 

Ask them to be contentious, oppose your view and challenge the strength of your presentation.

 Their role is to criticise you and to create an atmosphere of hostility and distrust.

The energy thief

 Get them to look for a negative aspect of everything you say.

The know all 

Encourage them to actively demonstrate that they know more than you on the topic.

Let them tell you in the most respectful way that they don’t agree with you.

The wanderer  

They demonstrate that they haven’t listened to a word you said.

It’s not an excercise for the faint hearted because it takes courage.

It is, however an investment worth making.

Once the scary six have taken you and your presentation apart, take another look at your presentation.

As painful and as strange as it may sound, remember it’s not real and it won’t happen. You, however, will be prepared for anything.

What exactly should you do with those awkward questions?

Killer question 1  – You don’t know the answer

The old saying ‘honesty is the best policy’, has stood the test of time because it’s true. The moment you try to bluff your way through a question you don’t know the answer to, you lose your credibility.

Try this instead.

Step into the question. In other words, take a step forward towards your audience. If you are seated then lean forward into the table or desk.

Have you noticed how common it is for people to be on the ‘back foot’ when they don’t know the answer to a question?

Your challenge is to be on the front foot and to step into or lean into the question.

Acknowledge the person who asked the question with eye contact. After that, bring the rest of the room into your response with eye contact too.  Once you’ve  moved forward and made eye contact, confidently say, ‘I don’t know, but I’ll find out and let you know’.

You have a few choices at this point. You can:

Ask the audience

“I don’t know the answer to that but I wonder whether anyone else in the audience does.”

“Can anyone help answer that question?”

Share a thought

You may not have the answer but you may have a view. Share a thought or perspective on the question if you have one. 

‘I don’t know, but I’ll find out and let you know. In the meantime I have a thought on the issue. Please keep in mind that it’s not the answer to your question as I’ve already stated I don’t know the answer but here is a thought…

What’s your view on that?’

Ask for a moment

If you need a little time to think about the question, ask for it.

‘I need a few moments to think about that.’

This also take a little courage but remember, you don’t need to rush in to giving an answer.

Give yourself a little time to think. Your audience will respect you for it.

Postpone the answer

It may well be that you know the answer but under pressure the answer has slipped your mind. This is another opportunity to be honest.

‘ Given the importance of the question, I’d like to give you the most complete answer I can. I will need to get back to you in…’

Killer question 2 – You don’t understand the question

I’ve long held the view that most people don’t really listen. I believe that many do something else – they wait to speak.

“Most people don’t listen with the intent to understand; they listen with the intent to reply.” Stephen R. Covey

That is often the reason why we don’t understand the question. The solution is relatively simple; we need to really listen. That means:

– Listen – to the entire question

– Breathe – don’t leap straight into a response

– Check – ‘Let me just check that I understand you correctly, you are asking me if…’

‘To make sure that I’ve understood you correctly are you asking…’

If you still don’t understand the question, don’t panic.  Take a deep breath and ask them to clarify what they mean. Explain politely that you are still not clear you understand the question.

Killer question 3 – It’s a hostile question

Most audiences are on your side. They are friendly, open and are keen to learn from you. That said, every now and then you may get what we call hostile questions.

They feel hostile because of the emotional charge. The questioner may wave their pen at you challenging or criticizing your perspective.

If this happens, your  job is to remain calm. Depersonalize the attack and avoid being over defensive; easier said than done I know.

Your first priority is to diffuse the emotional charge and to take care of the rest of the audience whilst respecting the questioner.

Treat them the same as any other member of the audience.  Answer their question as honestly and as professionally as you can.

Avoid matching your tone of voice to theirs. Stay calm, professional and polite. Remember that your audience will align with whoever is more courteous and respectful.

Very occasionaly it appears as though the questioner is looking for more of an argument rather than an answer. This is rare but if it happens, you owe it to the rest of your audience to close it down.

You do have some options:

– You can acknowledge their concern and suggest that the two of you meet separately after the presentation to discuss the matter in greater detail.

– If the questioner persists you can calmly assert:

‘I’m afraid I need to move on now.’

It’s possible that you may need to repeat this two or three times.

– A  simple but powerful technique you can use to respectfully regain control of your presentation is to:

That means listening very closely and carefully to the perspective of the questioner.

You have listened closely enough to find something you can sincerely agree with. That does not mean you agree with a point they make even if you don’t. It means you listen intently for something that does make sense to you that you can agree with. When there is such a high emotional charge in a question it’s often fueled by passion and a need to be heard.

The questioner isn’t a bad person. They are simply someone who feels very strongly about what you are saying and may not share your perspective. Once you have listened closely enough to find something you can genuinely agree with, no matter how small, there is only one thing left to do.

You acknowledge that you agree with that element of their argument. Tell them that you understand their perspective or that the specific point they just made makes sense to you. Then you pause and you stay silent.

It’s more than a pause of course, as you are signalling to the questioner that you have nothing else to say on the matter.

You don’t say a word and watch what happens next.

Try to understand the motivation behind the question and tone. Share what you are picking up from them: “It sounds like your main concern is with the process. Is that correct?” This will encourage them to focus on the point they are trying to make. It will  also give you a little  time to consider a response.

One of the many key distinctions between a Mindful Presenter and a mediocre presenter is the ability to handle challenging questions professionally and effectively.

That distinction is achieved through the conscious focus and effort to:

– See questions as an opportunity to learn and engage, rather than be judged

– Listen very carefully to the question

– Lose the ‘headstuff’; in other words not making it all about you

– Pause and breathe

– Repeat the question if necessary and appropriate

– Understand the motivation behind the question

– Respect the questioner and the audience

– Anticipate difficult questions whilst crafting the presentation

– Stay calm, focused and on message

– Close the questions down politely and move on

We’ve all heard it, it may have been at a conference with thousands of attendees or in a small office meeting, a TED talk we watched online, a recent seminar... It could even have been during the inflight safety announcements before take off. It’s that one presentation that we forgot was even a presentation. It was funny and engaging, we couldn’t wait to hear what they would say next and it left us wondering - How can I speak like that?

Presentations and public speaking bring out a wide range of emotions. The more extroverted of us may feel a small flutter of nerves in their chest and then push it down through raw determination. Whereas others amongst us instantly feel our palms becoming sweaty and fear rising in our throats. Whichever camp we fall in, we’re all looking for ways to improve our communication skills. We’re looking to overcome concerns of being judged by a wide audience. 

If you've ever asked yourself how can you improve presentation skills, read our 21 presentation tips - these can be used by a wide audience, ranging from professionals to students. 

1. Make a good first impression

This is always the first question asked so there are endless sources of information on what to wear for a presentation and what it usually comes down to is to wear something that’s clean and feels comfortable. What’s talked about less is how you actually look. From the moment you appear as the presenter, whether that be standing to take your position at the front of the room, walking onto the stage or entering the virtual presentation, your audience is making all kinds of judgments before you’ve had a chance to say a word. This can sound intimidating but it’s actually a good thing! The energy you convey through your posture and your confident body language, will be registered by your audience even before your hair and wardrobe. 

2. Play with intonation and melody

How we speak is often not as important as how we sound when we say it. You want what you say to pull your audience in. Why is it that one person giving a presentation can sound like fingernails scraping down a blackboard, while another is completely engaging? Quite simply, one is making you work very hard as a listener, whereas the other is doing all the work for you. Much of this work is made up in how you sound, your intonation, emphasis and melody.

3. Don't forget to pause

Pausing is an important and versatile tool. It allows breaks between tones and topics, it allows time for what you’ve said to resonate with the audience or leave or make an impact before your next words. Use pauses as ‘mini beats’ to divide up your thoughts, maintain control and interest. 

4. Know what you want to say

To avoid waffling and going off topic, clearly define the objective of your presentation before you even start thinking about the content. Think about what effect you want to have on your audience. Do you want them to come away feeling inspired? Delighted? Motivated? Do you want them to buy your product, vote for you or change their life in some way? Every slide and spoken point should clearly refer back to the objective.

5. Have structure

Beginning, middle and end. It’s a simple framework that can help you feel less nervous. the introduction should be about 10-15% of your speaking time, the body around 75%, and the conclusion only 10%. Once you have your structure, focus on the three key points that you really want to deliver to your audience and keep these in mind when you’re presenting.  People usually have a much longer list that this, but if you can keep it to three there’s more chance of you really making sure these messages get across and delivering an engaging presentation.

6. Deliver your points

This idea of delivery features a lot in our books and in our Effective Communication course and presentation skills training , and it is so important. When we speak, if we look around the room rather than at the audience or listener, then the message is: ‘I’m not that bothered about you’. If we direct our energy, our voices and eye contact to the listener then the message is: ‘I care about you and I want to make sure you hear me and receive these ideas’.

So how do you ‘deliver’? It’s really simple. You look with intention at your audience or an individual at the final word or two of each major thought, unit, or sentence. It’s very different from looking up in the middle of a sentence (the message of which is ‘I’m checking that you are still listening’) – so please avoid doing that if you can. Instead, if you connect with your audience on those final words of a thought or sentence, the message is clear: ‘I value what I am saying, I value you. And I want you to know about it.’ Now we’re cooking with gas!

Effectively delivering is when your intention, voice and eye contacts combine to literally place your ideas in the hands of your listeners. 

7. Practice does make perfect

This seems obvious, but it is often overlooked; there is nothing like practice to get you ready for a big presentation. If you're preparing for an in-person presentation, practice out loud, in front of a mirror or with a colleague.  If you’re preparing for an online presentation - even better - actually set up a Zoom meeting and record yourself presenting. And then be brave enough to watch yourself back - you will be amazed by what you notice. Mark your notes with key words and ideas that you want to really deliver. If you want to give a persuasive presentation, make sure you're using the right words - 'instantly', 'free', 'quick win', 'you' are all simple but effective examples of this.

8. Transform nervous energy into enthusiasm

Some of history’s greatest speakers were terrified of public speaking, including Abraham Lincoln and Mahatma Gandhi. So if you're wondering how to be confident in public speaking you’re in good company. Fortunately, when you think of old Abe or Gandhi, you likely think of their passion and not their nerves. This is because their need to speak was greater than their public speaking anxiety. To channel their skills in public speaking and confidence, look at your prepared remarks and ask yourself: 

What are my goals for the audience?

What am I giving them?

Will they be moved?

Will this make them feel relief or pain?

9. Make eye contact, especially online

We know how important eye contact is, all on their own our eyes can communicate with others. And this is no different in a presentation. Imagine someone looking up in the middle of their text, and then looking down at the end of their sentence to grab the next sentence. This communicates entirely the wrong statement - that the speaker is checking to see if people are still listening.  

You might think that you can’t make eye contact when you’re presenting online, but this is when it is even more important. When you are presenting to  people online, make sure you look at your camera - because that’s the way they’re going to feel your eyes on them. It’s that simple!

10. Curate your square

When you’re online your background really matters. This small square, or rather rectangle, is all you have to showcase yourself and make yourself memorable, so give them something recognisable and take some time to curate your background. Add a plant or flowers, books or pictures - but make sure you have something that relates to you and gives the impression you want. We are all about authentic communication so we don’t recommend using a fake or computerised background - you don’t want people to think you’ve got something to hide.

11. Be early

The attitude you start the presentation with will have a direct impact on how your audience engages. Imagine you arrived late and rushed, your clothes dishevelled, hurriedly preparing your notes or any props. Now imagine you’ve arrived in plenty of time to recover from your commute, your clothes and presentation notes are neat and orderly - you’ve even had a chance to check your Zoom link and how to share your screen. Chances are, your audience is more likely to feel that you are warm, honest and open, in the second scenario. 

12. Introduce yourself

Sure the Chair or previous speaker introduced you, but think of it like an ice breaker. Whenever you meet someone, you usually exchange names. Now while it would be appropriate to exchange names with everyone there to hear your presentation, you can make it easier for your audience by personally introducing yourself, followed by your presentation subject.

13. Connect with the audience

You may think you are the focus of your presentation. You will be the one speaking after all. But we don’t speak for ourselves, we already know what we think. We speak for other people. Which means your audience is the focus of your presentation. Use this as the foundation by which you can build a connection with your audience. The best way to tune into this head space is to tune in to the uniqueness and complexity of your audience. Don’t worry if it’s made up by a diverse array of people, there will still be unifying factors that have brought this audience together. Aim to connect with that factor.

If you’ve been reading our blogs and watching our videos for a while, you probably already know about ACE - Authenticity + Connection = Engagement. But what does that actually mean and how do you use it in a presentation? The idea is simple, really. If you, as the speaker, are authentic and you feel a connection with you listener, then as a result, you get engagement. And if the audience or listener is engaged, then that’s good communication right there. You’re giving a rousing presentation. 

15. Take deep breaths

The way we breathe has changed, and not for the better. We take in air by filling our lungs to around 80% capacity and then we slowly release that air. This serves an important role in how we communicate as we speak on the exhale. But with the challenges of modern life, we’ve begun taking in shallow breaths and exhale more rapidly. Not only has this impacted our pitch and tone, it also affects our nervous system, leading to a perpetual fight or flight chemical cocktail in our bloodstream. Not ideal for presentation speaking or calming the nerves you’ll be feeling beforehand. This is why it’s so important to take time to breathe correctly. A good rule of thumb is to remember the four fours - breath in for four seconds, hold for four seconds, exhale for four seconds, hold for four seconds, repeat as needed.

Genuine smiles are good for making instant positive impressions. We like genuine smiles and we feel drawn to them and the information conveyed when we see it. You may worry that smiling during your presentation will undermine your authority, but think again of that amazing presentation we talked about at the beginning? Was it their authority that made you listen? Or was it how engaged you were with what they said?  Plus don't forget smiling is good for you .

17. Ask questions

If possible. Not only does asking questions give you a chance to breathe and collect your thoughts but provides the added benefit of the opportunity to listen and engage with your audience. An important metric to gauge their interest and participation. Questions are also powerful rapport builders because questions mark the beginning of a connection. 

18. Add colour to your voice

Before humans developed complex languages, we communicated by sounds and the tones of our voice did most of the work. This hasn’t changed for our subconsciousness. Our voice can actually be a smoking gun, giving away to exactly how we feel to our listeners. The great news is, with practice we can manipulate the tones of our voice. Just as a smile can be heard in someone's voice, so can other emotions. Imagine what you want your audience to feel when you say a certain sentence and then practice that sentence while feeling that emotion.  

19. Drink water

A bit like asking questions in that it gives you the opportunity to collect your thoughts, fill space (don’t over use it) but with the added bonus of hydration. 

20. Don’t forget to add some spice!

In order to connect with people, we need to show them a bit of ourselves, to make things personal and ideally infuse our storyline with a palpable sense of emotion and humanity.  So think about how you can incorporate real stories and anecdotes into your presentation.  It will make you much more memorable and help build engagement with your audience. 

21. Be authentic

Authenticity is the foundation of good public speaking skills. You can’t be a successful public speaker without it. Chances are, if you think back on all the amazing presentations you’ve seen, authenticity was what made it stick. 16 Ways to Dramatically Improve Your Presentation Skills From 16 Powerful TED Talks

You may not be delivering a TED Talk , but still. You want to captivate your audience. You need to captivate your audience. (Here's looking at you, Colonel Jessup .)

But you're worried that you don't have the skills.

That's okay. There are a number of ways to instantly improve your speaking skills . It's all about preparation and practice --and using some of the following tips.

And as a bonus, each tip is accompanied by an awesome TED Talk, so not only do you get to use some awesome speakers as role models, you can broaden your knowledge while you're at it:

1. Harness the power of genuine emotion.

Now let's look at unusual ways to instantly improve your presentations. Many speakers tell self-deprecating stories, but simply admitting a mistake is a waste if you only use it to highlight how far you've come. Instead, tell a story and let your emotions show. If you were sad, say so. If you cried, say so. If you felt remorse, let it show.

When you share genuine feelings, you create an immediate and lasting connection with the audience. Emotion trumps speaking skills every time.

2. Always have a secondary goal.

Say you're speaking to a civic group on behalf of a charity and you realize your presentation is falling flat. In response, people usually either try too hard or basically give up. If your primary goal is to land a contract and you can tell you won't succeed, shift to planting the seeds for another attempt down the road.

If you see you won't get what you really want, ask what can you accomplish? Then, when the room doesn't go your way, you can stay positive, focused, and on top of your speaking game.

3. Always give the audience something to take home.

Always provide something specific the audience can do almost immediately. No matter how inspiring your message, every audience appreciates learning a tangible way they can actually apply what they've learned to their own lives.

Inspiration is great, but application is everything: Never be afraid to say, "Tonight, think of an employee who is really struggling... and then tomorrow, do (this) and (this) to try to rescue them."

4. Don't wait to answer questions.

If a question pops up in the middle of your presentation, that's awesome: Someone is listening! So seize the opportunity. If you would have addressed the point in a later slide, skip ahead. (If you've practiced skipping around, it won't throw you.)

The best presentations feel like conversations, even if one-sided...so never ignore the opportunity to foster that sense of interaction. Never do anything to disengage your audience.

5. Fuel up wisely.

Let's start with some preparation tips. Dopamine and epinephrine help regulate mental alertness. Both come from tyrosine, an amino acid found in proteins. So make sure to include protein in the meal you eat before you need to be at your best.

And don't wait until the last minute. When you're really nervous, the last thing you may want to do is eat.

6. Burn off some cortisol.

Cortisol is secreted by your adrenal glands when you're anxious or stressed. High levels of cortisol limit your creativity and your ability to process complex information; when you're buzzed on cortisol, it's almost impossible to read and react to the room.

The easiest way to burn off cortisol is to exercise. Work out before you leave for work, take a walk at lunch, or hit the gym before a speaking engagement. (If you've ever felt more grounded after slogging through a solid workout, you now know why.)

7. Develop two contingency plans.

If you're like me, "what if?" is your biggest source of anxiety: What if your PowerPoint presentation fails, someone constantly interrupts, or your opening falls flat? Pick two of your biggest fears and create contingency plans. What will you do if the projector fails? What will you do if the meeting runs long and you only have a few minutes to speak?

The effort won't be wasted, because the more you think through different scenarios, the better you can think on your feet if something truly unexpected occurs.

8. Create a pre-presentation ritual.

Superstitions are an attempt to "control" something we're afraid of. (Lucky socks don't make an athlete perform better.) Instead of creating a superstition, create a routine that helps center you emotionally. Walk the room ahead of time to check sight lines. Check microphone levels. Run through your presentation at the site to ensure it's ready to go.

Pick things to do that are actually beneficial and do them every time. You'll find comfort in the familiar--and confidence, too.

9. Find something the audience doesn't know.

I've never heard someone say, "I was at this presentation the other day, and the guy's Gantt chart was amazing!" I have heard someone say, "Did you know when you blush the lining of your stomach also turns red?"

Find a surprising fact or an unusual analogy that relates to your topic. Audiences love to cock their heads and think, "Really? Wow...."

10. Always benefit; never sell.

Most business people assume they should capitalize on a speaking engagement to promote a product or service, win new clients, and build a wider network. Don't. Thinking in terms of sales only adds additional pressure to what is already a stressful situation. Put all your focus on ensuring the audience will benefit from what you say; never try to accomplish more than one thing.

When you help people make their professional or personal lives better, you've done all the selling you'll need to do.

11. Never make excuses.

Due to insecurity, many speakers open with an excuse: "I didn't get much time to prepare..." or "I'm not very good at this...." Excuses won't make your audience cut you any slack, but they will make people think, "Then why are you wasting my time?"

Do what you need to do to ensure you don't need to make excuses.

12. Keep your slides simple...

Here's a simple rule of thumb: Make your font size double the average age of your audience. Roughly speaking, that means your fonts will be between 60 and 80 points. If you need to fit more words on a slide, that means you haven't tightened your message.

13. ...And never read your slides.

Your audience should be able to almost instantly scan your slides--if they have to actually read, you might lose them. And you'll definitely lose them if you read to them. Your slides should accentuate your points; they should never be the point.

14. Focus on earning the audience's attention.

Now let's look at a few things to immediately start doing. Instead of playing the "turn off your mobile devices" game, because no one will (and you just look stodgy), focus on earning their complete attention. Make your presentation so interesting, so entertaining, and so inspiring that people can't help but pay attention.

It's not the audience's job to listen; it's your job to make them want to listen.

15. Use the power of repetition.

Your audience probably hears about half of what you say...and then they filter that through their own perspectives. So create a structure that allows you to repeat and reinforce key points. First explain a point, then give examples of how that point can be applied, and at the end provide audience action steps they can take based on that point.

Since no one can remember everything you say, what you repeat has a much greater chance of being remembered--and being acted upon. So repeat away!

16. But don't ever run long.

If you have 30 minutes, take 25. If you have an hour, take 50. Always respect your audience's time and end early. As a bonus, that forces you to hone your presentation--and to prepare to shift gears if your presentation takes an unexpected turn.

Finish early and ask if anyone has questions. Or invite them to see you after the presentation.

But never run long...because all the good will you built up could be lost.

Like the prior tip, pausing more often allows your main points to be emphasized and gives time for information to sink in. You need to let key points breathe a little before rushing into the next section.

Use your phone’s voice recorder. Assess and critique yourself. Consider:

  • Are your pauses too short or too long?
  • Are you speaking slowly enough? Too slow?
  • When you’re nervous, does your voice get high like the mice in Cinderella?

25. Choose Three Focal Points in the Room

If you stare at the same spot (or even creepier, the same person) the entire time, your presentation will be ineffective (and awkward.) People will be distracted by you, wondering what you’re staring at.

Try this: pick three points in the room (typically: left, center, right). Take time to direct your delivery toward each physical focal point in the room. Also, focus on the center when making your primary points.

26. Vary Your Sentence Length

This makes you sound more interesting, and it’s easier for your audience to follow. Think short and punchy. Or go long and complex for dramatic effect.

27. Modulate!

Don’t speak in monotone for your whole presentation. Be conscious of raising and lowering your voice tone. Otherwise, people will tune you out, and you’ll come across like the teacher in Charlie Brown.

28. Practice in Front of a Mirror

Add audio or music to your presentation to inject interest or highlight an important point, but it’s something to take extra care with. Take a mental step back when you hear a question.

  • What’s really being asked?
  • What’s behind the query?
  • Is there a hidden agenda?

Don’t be tempted to think of the answer as soon as you hear the start of the question. Instead be an active listener. You may need to clarify the question before answering. If you are not certain what you are being asked, you may answer the question you want, rather than the question they asked. And as you listen, you will learn something . Most questioners are looking for something specific.

How to clarify the question you are asked If you are not 100% sure what you are being asked, then use one of these question clarification techniques. 1. Repeat the question back and rephrase – then check that’s what they want to hear 2. Ask a question 3. Ask them to repeat the question. 4. Apologies, and say you did not understand, could they please repeat.

Answer Questions Confidently Tip #2. Have the mind-set of a teacher

A question is not an exam test . If you are asked a question, its because someone wants to know something. Your job is to help them understand. Whatever is on their mind, how can you help them?

So, put yourself in the role of a teacher. You have presented on a subject you understand, and you have a someone who wants to know more. Your can inform, educate and perhaps even entertain. If you do it right, you will look good in the eyes of the questioner and in the eyes of the audience. Enjoy the prospect of helping people when you answer questions.

Answering Questions Tip #3. Every question is different

We can never know what’s going on in the minds of the audience. That means each person in the audience will see you differently. For some, it will be about protecting their own interests, for others it may be about gathering more information.

And people have their own style – from super soft to nail hard . You’ll have to assess where they are coming from, what they re looking for and how they think. The best way to answer questions is to listen and learn from the comments they make and the questions they ask.

It may sound stupid to you, but every audience question is aimed at understanding something. Don’t assume that you know what the person really wants. Answering Questions Tip #6. How you answer questions is as important as what you say

As we said before, your meeting is not an exam. It’s more like a meeting of minds. So work out what the other person believes and is feeling. How can you do this?

You could ask probing questions, such as:

  • Does what I’ve just said explain it?
  • Do you want to know more?

For more hypothetical questions you could explore what they believe: “And what do you think?” The more it feels like a conversation rather then a quiz, the more likely you’ll be successful.

Give Great Answers Tip #7. You must prepare

We have seen too many people turn up to presentation Q&A sessions unprepared. By contrast, successful presenters and management teams prepare to answer questions with the intensity of an elite athlete.

After all, you want to be seen at your peak when presenting.

There are three best practice techniques for preparing your Q&A:

  • List the tough questions you may be asked – especially the ones you don’t want to be asked. Work out answers to these in advance, decide which should be answered before the Q&A by incorporating it into an earlier part of your presentation, and which will wait for the Q&A.
  • Select who in your team will respond – You will feel more confident and, if the questions do get asked, you will be properly prepared.
  • Bring in a fresh perspective . Get someone outside the organisation to identify new questions you may get asked – and get the outsider to listen to your answers to the tough questions. A neutral third party (like Benjamin Ball Associates ) can give you insight and expose the weaknesses in your arguments and answers.
  • Stress-test your answer s. Spend time as a team firing questions back and forth. Then review how you answer these. Keep at this until you have got it right. The more you prepare, the more natural you will sound.

For important presenting events, we frequently spend many hours preparing teams with tough questions, video review and rehearsals. Just like elite athletes, you only build muscle strength with practice.

Answering Questions Tip #8. Don’t try and answer impossible questions

There are some audience questions you cannot answer. If you learn our approach of Question Triage (a technique for classifying questions up front) you can spot these a mile off. Then you can use proven techniques to get yourself back to safe ground and onto a topic that you can talk about with confidence.

Presentation Question Answering Tip #9. Finish strong

Audience question sessions often end flat. Frequently, people feel pressured to finish quickly, especially if time is short. This is a mistake.

Never miss this opportunity to reinforce your important messages while also showing that you have listened to what the other person has said. Even a strong 30-second summary at the end will show that you have listened. This can also highlight what they need to hear.

Tough Question Tip #10. Beware the last question trap

AKA the Columbo moment. If you are a child of the ‘70s you may remember the TV series Columbo .

The bumbling detective always finished his interview with a suspect and, as he walked away, would say “Just, one more thing….’  With that one line he caught the suspect off guard and got the information he needed.

How to improve your presentation skills

Fear of public speaking is one of the most common phobias that people have. Unless you’re an experienced presenter, it’s easy to let your nerves about presenting get the better of you. If you’re someone who feels slightly panicked at the thought of speaking to a room of people, use our tips and tricks to combat that fear, improve your presentation skills and deliver a successful presentation.

1. Understand the brief and follow it

Before you even begin thinking about what to say during your presentation, make sure you know exactly what you are being asked to deliver. You’ll need to know what format your presentation should take (should it be a PowerPoint presentation, or will you need printed handouts for the audience?), how many people you’re going to be presenting to, how long the presentation should last and what questions it’s supposed to answer or topic it needs to address.

There will be a few boxes that your presentation will need to tick, so it’s best to know exactly what your tutor or employer is looking for. If you’re unsure, just ask! It’s better to ask lots of questions in the beginning rather than present something that’s not what they were expecting.

2. Do your research

The best presentations are delivered by those that really know their stuff. Is your presentation focused on a topic that’s been in the news or related to current affairs? Read up on the recent developments to ensure that any questions don’t catch you off guard. If you are giving a presentation as part of an interview, research the company well by having a thorough look at their website and social media.

Are you presenting on a political or historical subject that has a larger context? It would be beneficial to make sure you understand this context, as you may get asked to elaborate or discuss something in more detail.

If your presentation topic is based on research, for example within a field of science, then take some time to read the opinions of other researchers or theorists. Not only will this improve your presentation skills, but it will give you a well-rounded view and mean you can demonstrate your ability to take different perspectives onboard and think critically about a subject.

3. Design it well

Another key element of your presentation skills is ensuring your presentation is well designed. This isn’t just about how it looks, but a well thought out structure is key.

We would recommend keeping to a colour palette, for example using the same three colours throughout your slides or handouts, to make them look cohesive. Try to have at least one visual element per slide too, as a presentation that doesn’t make use of imagery can seem a little bland.

As with your colour palette, keep to the same font type and colour for all your text. When it comes to the amount of text, less is more. Don’t write everything you’re going to say on your slides. Include a heading and a couple of interesting facts or quotes to enhance the points you’re making.

When it comes to structure, all presentations should include a slide at the beginning that introduces the presentation, with the next slide explaining what people can expect to learn during the presentation. The end slide should thank people for listening and ask whether they have any questions.

If possible, follow the one slide per minute rule. If you need more time, then dedicate one slide to each topic, as moving onto a new slide indicates to the audience that the discussion is moving on to something new.

4. Practice

It sounds obvious but practicing your presentation all the way through a handful of times will help you to improve your presentation skills by identifying any problems that you won’t want to crop up on the day. If your presentation is only supposed to last a maximum of 10 minutes, you’re not going to know whether it goes over that time limit unless you practice.

Are you using software that you don’t have much experience with? Or maybe this is going to be your first time presenting over video call? Practicing helps you to get to grips with how this will work and reduces the risk of there being a technical problem when it’s time for the real thing.

Even though you created it, it’s easy to forget what you wrote in your presentation if you have only looked at it once or twice. Practicing helps you to become familiar with your presentation, meaning you can easily and confidently move through the slides. Plus, words sound different spoken aloud to how they look written down – so having the chance to talk through your presentation lets you hear it how the audience will hear it and gives you the opportunity to reword anything that doesn’t sound quite right.

While practicing, it’s a good idea to come up with a list of questions you may be asked by the audience and rehearse some answers to these too.

5. Write some prompts

You can avoid the awkward situation of getting up to present and being lost for words by writing prompts. Whether you are presenting in person or over video call, note cards are a great tool for jogging your memory.

As crucial as prompts can be for an effective presentation, don’t read from them throughout the whole thing. If you write down what you’re going to say word for word, you’ll be tempted to read directly from your notes, and it will come across as if you don’t know your stuff and have hardly practiced.

The key with note cards is to only write down a couple of words or phrases for each slide. This way you can present in a way that is engaging, making eye contact with who you are speaking to, but your prompts will still be there if you get stuck on what to say next.

6. Be prepared and get there early

Much like a job interview, driving test or anything else important, there’s nothing wrong with getting to your presentation 10 minutes early.

If your presentation is taking place in person, getting there early gives you a chance to scope out the room, get the presentation set up and distribute any handouts. For online presentations, entering the video call early gives you the chance to share your screen, check the technology is working properly and calm any nerves before you start.

In you are presenting in person, cover all bases and demonstrate your organisational skills by having the presentation saved on two memory sticks, emailing it to yourself beforehand and printing out some copies in case technology is really against you that day!

7. Find points around the room to look at

Are you going to be presenting to a larger group of people? A good tip here for your presentation skills is to find a few points around the room to focus on, rather than looking directly at the audience.

We would recommend finding around three to five points across the room that you can alternate looking at. Try to make at least one or two of your focal points people, as eye contact is important when it comes to presenting, but the others can be various points across the wall at the back of the room (for example, a light switch or corner of a window). Switching your gaze between these points will make you look confident and demonstrate you are trying to engage with everyone, rather than only looking at one part of the room.

8. Take the time you need

Nerves can often result in people talking too quickly, making a presentation seem rushed and meaning those listening find it difficult to keep up.

Before you start, take a few deep breaths. This should help you focus, slow down your heart rate and can help you to speak loudly and clearly. During your presentation, leave time for small pauses before moving onto your next point. This will help people take in what you’ve just said, interject with any questions and finish writing notes they may be taking.

Another important thing is to make sure you have a glass of water with you. This will give you something to do while you pause and help you avoid getting a dry mouth if you are going to be talking for a long period of time.

9. Leave time for questions

If you only have a short window for your presentation, try to leave a couple of minutes towards the end for questions from the audience. When introducing your presentation, let people know they will have the opportunity to ask questions at the end. It can be better to ask people to hold off on asking questions until then, rather than them interrupting you while you’re in the middle of making an important point!

10. Show your enthusiasm

The best presentations are delivered by those that show they really care about a topic. Demonstrating genuine enthusiasm for your presentation is much more likely to keep your audience engaged and entertained. While presenting may mean stepping outside of your comfort zone, try to see it as an opportunity to shine a light on an exciting and interesting subject that the audience may not be aware of.

The show must go on: how to refine your presentation skills as a learning leader.

Presentation skills are consistently highly ranked as crucial in nearly every industry, yet speaking in public is commonly quoted as 75% of the population’s greatest fear. At this year’s Training Industry Conference and Expo (TICE), I was a returning presenter and attended multiple presentations in which I learned from others. It got me thinking: How can the presentation skills in action at TICE be captured to benefit learning professionals?

I quote William Shakespeare (from the 1998 “Shakespeare in Love,” movie that is) when I say the show must go on. Let’s face that fear of public speaking and turn presentation skills into one of your best assets.

The Difference Between Presentations and Training

Can you tell the difference between a presentation and a training? Every training has presentation elements, but every presentation is not training. To identify a presentation, review its intent, engagement with the audience snd content complexity:

  • Intent : Build investment (intellectual and financial) and share supporting information that drives a desired decision, support or action.
  • Engagement : Acknowledge audience reactions and foster conversation without testing or assessing knowledge retention.
  • Complexity : Include an executive summary and key points designed to convey core information rather than to grow skills.

You know you have a presentation when the point is not to help others gain and practice skills but to convey information, gain support or spark specific action. Another way to tell the difference between a presentation and a training program is that a presentation ends with a recap or next steps, but a training concludes with testing knowledge retention.

How Is Training Also a Presentation?

Unless the goal of your training is to have a group of paid employees spend hours ignoring business-critical information, your training should incorporate best practices for presenting. The best trainers build rapport with learners that enable an environment of trust. Merely reading from the “trainer handbook” is checking the box that the information was delivered. The strength of the trainer’s presentation skills transforms the class into a cohort of engaged learners.

Let’s look at our three components to see how a presentation within training can be identified:

  • Intent : Provide learners with a measurable knowledge base and skill set that can be applied to the current job or a future role.
  • Engagement : Use a combination of practice sessions, activities, or quizzes to monitor the learners’ progress toward meeting the session goals.
  • Complexity : Progressing depth of information coupled with assessments to progress the audience to a predetermined level of comprehension and application.

A training program is carefully designed, building from measurable objectives, to include information delivery, skill development and assessment.

And Now … Welcome Our Next Presenter: You!

Regardless of your role in training, you will be called upon to present at some time. Consider these common business scenarios requiring presentation skills:

  • Presenting a proposed training topic to stakeholders.
  • Facilitating an in-person or virtual workshop.
  • Delivering learning analytics information and insights to management.
  • Making the case for additional training support to stakeholders.
  • Speaking at TICE!

The ability to convey information and keep your audience’s attention (especially in the age of social media and instant communications in the palm or on the smartwatch!) is a necessary skill. Successful presentations, whether in person, hybrid or virtual, can make the difference in getting budgetary support, role advancement or leadership support.

Presentation Skills of the Stars

An effective presentation has a strong content scaffolding that is brought to life by the energy and charisma of the presenter.

Content Development: The content part of presentation development contains a lot of information. You can see that at training conferences because presenters state their objectives, lay out the session structure, and then give supporting examples for each key point.

Content Delivery : I tap into my background in theater, talk radio, broadcast news and voice work to give you insight into the presenting part of presentation skills. The sparkle brings the presentation to life and has your audience leaning in (or turning up the volume, if virtual) to hear what comes next.

  • Find Your Voice: Your voice is an amazing tool, so use it. Pay more attention to podcasts, audiobooks and talk shows, and you will note that the narrator or host does not speak in a monotone voice. Different tones, levels, speeds, inflections, and pauses are used to cue the audience to understand how the information should make them react. Think of that famous movie commercial narration, “In a world.” If you say it going up at the end as if a question mark (“In a world?”), it lacks the gravitas it gets with the final syllable dropping in tone.
  • Bring It: Energy level and connections make it a presentation instead of a lecture. Bueller… Bueller…Like the teacher in the Ferris Bueller movie, if you seem bored or uninterested in your presentation topic, your audience will take that cue and ignore it. If you are presenting in a conference room, maybe stand up or move around a little. It will keep the energy higher. If you are online, be sure your audience can clearly see you (which means you are on camera) and that you consistently look at the camera, not at your presentation or notes.
  • Be present and be yourself so that your audience connects. I coach my clients to accept that things may go differently than planned. When you can admit a mistake or change to your audience, they will feel more connected to you — because it happens to everyone. For example, “Well, the clicker is not working, so I’ll just jump ahead here….” Or, “I want to check my notes here to ensure I give you accurate information.” And when the examples you share to make your points are personal or spoken from your own experience, they resonate more with the audience.

Learning professionals, like business leaders, are focused on outcomes: Strong presentation skills can ensure strong presentation outcomes, such as budgetary support, resource allocation and career opportunities.

Your audience’s response is one of the best measurements of an excellent presentation. You want people to lean in — to their screen or to you in the room — because they want to hear what you say next, more than checking their inbox or phone. You can achieve that with a shift in mindset, approaching the presentation as a show, not a course.

A show has an opening, audience engagement and a close. It does not have an attendance record or test. When you present, not teach, you want to deliberately bring your expertise and energy so that the audience reflects back with their interest and engagement. You are a star, so get that sparkle to your next show.

Two Unconventional Ways to Improve Your Public Speaking Skills

Engineers tend to invest in technical skills rather than communication skills. However, developing the latter can help you deliver your message in a way that is understandable by a wider (and not necessarily technical) audience.

Do you think you need to improve your public speaking skills? Do you think you are ready to speak at a conference? Welcome to the club! I bet you and I are not the only members.

What kind of advice have you usually received on the topic? Probably that you should practice as much as possible with a smaller audience — like preparing some slides and run a presentation in front of your team.

This is a good approach, but I can imagine possible second thoughts you might have. Maybe it’s imposter syndrome whispering, “What if I look too nervous and they won’t believe I know the subject?” or “They will ask questions, I won’t know the answers, and they will think I’m stupid.” Or maybe you don’t want to practice in a work environment and would like to have a less official experience.

Let me share a couple of other methods you could try. This is not based on any scientific research, only personal opinion. I’ve tried these ideas to improve my own speaking skills, and I enjoyed both of them a lot.

Join a Debate Club

Debate clubs are an excellent place to develop essential public speaking skills.

First of all, only eight participants are required for a debate round, plus judges. This means you probably won’t feel overwhelmed by the audience size. Next, the discussion topic is shared 15 minutes before the start of the round, so you do not have time to stress out — you only have time to prepare your speech. Moreover, the side your team is playing on might be opposite to your personal beliefs, so you will have a chance to hear and understand other points of view.

Depending on the regularity of your attendance, you will speak in front of familiar people. Eventually, it will be almost the same as presenting in front of your team, as you will get to know the other people who join regularly.

Other participants can ask you questions during your speech, so you will practice answering them without prior preparation. By practicing this skill in a controlled environment, it will come easier when such need arises in a real-life public speaking situation.

Discussion topics can be unexpected and related to politics, economics, art, health — basically anything. You will be challenged to prepare a speech about something you may have never thought about previously. You will also need to anticipate possible arguments from your opponents and have questions ready for them. This exercise makes your brain work fast, and this skill can be useful if you are invited to a discussion panel in the future.

Attend an Acting Class

Inside the acting studio, you are in a safe place: people come here to practice their acting, not to criticize you. This understanding can help you be more open during the class without self-censoring your creative flow. In my case, it wasn’t like that from the very beginning, as I usually need some time to feel comfortable around new people.

Classes are different and focus on various techniques of stage play. For example, one day it’s pure improvisation, where your classmates suggest what is happening to your character and you need to adapt accordingly. This can prepare you if something unexpected happens during a conference talk.

When a class is devoted to a group performance, you need to notice your partners and keep several attention points simultaneously. This is helpful to practice maintaining eye contact with the audience.

You might also have exercises to improve pronunciation and better control your breath and voice. All of those will come handy when you start practicing your future talk.

I have personally tried both of these methods to improve my self-confidence in preparation to become a public speaker. This is working for me, as after four months of the acting course, I have gained enough courage to perform a dramatic etude in front of 80 people.

The 4 Ps were first formally conceptualized in 1960 by E. Jerome McCarthy in the highly influential text, Basic Marketing, A Managerial Approach [ 1 ]. There, McCarthy noted that while the book's text was “similar to that found in the traditional texts, the approach is not.” 

McCarthy’s novel approach was influenced by the still-recent “marketing mix” concept, which Harvard Business School professor Neil. H. Borden popularized in the 1950s. In fact, Borden himself had been influenced by a 1948 study written by James Culliton, in which the author equated business executives to “artists” or “mixer[s] of ingredients” [ 2 ]. Rather than using the same approach for every situation, Culliton and Borden recognized that successful executives instead mixed different methods depending on variable market forces. 

McCarthy streamlined this concept into the four Ps—product, place, price, and promotion—to help marketers design plans that fit the dynamic social and political realities of their time and target market . In effect, the purpose of the four Ps remains the same today as when McCarthy first published his book: “developing the ‘right’ product and making it available at the ‘right’ place with the ‘right’ promotion and at the ‘right’ price, to satisfy target consumers and still meet the objectives of the business” [ 3 ].

The four Ps of marketing

The four Ps form a dynamic relationship with one another. Rather than one taking priority over the other, each is considered equally important in crafting a strategic marketing plan. 

The product is the good or service being marketed to the target audience. 

Generally, successful products fill a need not currently being met in the marketplace or provide a novel customer experience that creates demand. For example, the original iPhone filled a need in the market for a simplified device that paired a phone with an iPod, and the chia pet provided a humorous experience for consumers that was utterly unique.    

As you are working on your product, it is essential to consider potential customers in your target audience and their unique needs. Some questions to consider when working on a product include: 

What is your product? 

What does your product do? Does the product meet an unfilled need or provide a novel experience? 

Who is your product’s target audience? 

How is your product different from what others offer?

Price is the cost of a product or service. 

When marketing a product or service, it is important to pick a price that is simultaneously accessible to the target market and meets business goals. Different pricing models can have a significant impact on the overall success of a product. For example, if you price your product too high for your targeted audience, then very few of them will likely purchase it. Similarly, if you price your product too low, then some might pass it up simply because they are concerned it might be of inferior quality and cut into your potential profit margins. 

To identify a successful price, you will want to thoroughly understand your target audience and their willingness to pay for your product. Some questions you might ask yourself as you are considering your product’s price include:

What is the price range of your product’s competitors? 

What is the price range of your target audience? 

What price is too high for your audience? What price is too low? 

What price best fits your target market?

Place is where you sell your product and the distribution channels you use to get it to your customer. 

Like price, finding the right place to market and sell your product is key to reaching your target audience. If you put your product in a place that your target customer doesn’t visit—whether on or offline— then you will likely not meet your sales target. The right place can help you connect with your target audience and set you up for success. 

For example, imagine you are selling an athletic shoe you designed. Your target market is athletes in their early twenties to late thirties, so you decide to market your product in sports publications and sell it at specialty athletics stores. By focusing on sports stores over shoe stores in general, you target your efforts to a specific place that best fits your marketing mix.  

To decide the best place to market and sell your product, you should consider researching the physical places or digital channels where your target audience shops and consumes information. Some questions to consider include: 

Where will you sell your product?

Where does your target audience shop? 

What distribution channels are best to reach your target market?

4. Promotion

Promotion is how you advertise your product or service. Through promotional activities, you will get the word out about your product with an effective marketing campaign that resonates with your target audience. 

There are many different ways to promote your product. Some traditional methods include word of mouth, print advertisements, and television commercials. In the digital age, you can create online marketing campaigns to promote your product using content marketing , email marketing , display ads , and social media marketing .

Some questions to consider as you are working on your product promotion include: 

What is the best time to reach your target audience? 

What marketing channels are most effective for your target audience? 

What marketing messages would most resonate with your target audience?

What advertising approaches are most persuasive to your target audience?

Other marketing mixes

The four Ps aren’t the only marketing mix used today. Some other modern marketing mixes include the five Ps, the seven Ps, and the 5 Cs. Although each reflects certain aspects of the four Ps, they also possess some unique elements that alter their emphasis on the marketing process.  

The five Ps

The five Ps are product, price, place, promotion, and people . 

Today, many marketers use the five Ps over the four Ps because they center the experiences of customers and staff in the marketing process. Typical considerations include how a customer behaves, their product experience, and overall satisfaction with the business.  

The seven Ps

The seven Ps are product, price, place, promotion, people, processes , and physical evidence . 

The seven Ps are a further elaboration of the five Ps, adding considerations of the processes that define the customer experience and the physical evidence that the target market needs to see to become customers. While processes might involve the specific customer service processes that define a product, physical evidence can be websites or store displays that help the target market imagine themselves using the product. 

The five Cs

The five Cs are customer, company, competition, collaborators, and climate. 

In some respects, the five Cs reflect many of the same concerns of the four and five Ps, but with added emphasis on external factors, such as possible outside collaborations and competitive research. 

Furthermore, while “climate” refers to the social, political, and economic context surrounding the market, “customer” refers to the target market and customer experience. “Company,” meanwhile, refers to the place of the company and their available resources in the marketing process.

FRIDAY PUZZLE — In any themeless puzzle, there should ideally be a lot of open space (read: fewer black squares) so that the constructor can pack the grid with long, interesting entries. I consider these lively entries my reward for wrangling all of the shorter fill that I encounter earlier in the week. And when they are triple-stacked the way they are in Billy Bratton’s crossword, with exciting entries in all four quadrants, a good time is certain to be had by all. Or by most of us, anyway.

I predict that there will be what I like to call the Goldilocks reaction to Mr. Bratton’s puzzle (“This puzzle is too easy!” or “No, this puzzle is too hard!”). But perhaps we can take a moment away from the competition to appreciate what we do have: a crossword with sizzling entries and fun clues. In particular, I loved 8D. The entry is a fairly common phrase, yet it is making its New York Times Crossword debut. It was fun to see the clue call our attention with a red siren emoji on each side of it.

Whether you did or didn’t struggle with Mr. Bratton’s puzzle is unimportant, in my opinion. I just hope you enjoyed the experience. Remember, crosswords are games, and games are meant to be fun.
