Understanding Assessment Extensions

Everyone knows that sometimes life throws unavoidable curve balls that get in the way of completing assessments. For some, applying for an extension may be considered as failing or they may feel like they are not meeting expectations – this is not the case!

Our Student Accessibility and Equity team have explained assessment extensions and shared why you should not be ashamed of asking for an extension.

It is week 5 of term, and you have deadlines looming.

The term has not gone as planned.

You know you can apply for an assignment extension if needed. But you do not apply as you do not want your academics to think less of you. You spend the next week pulling all-nighters. You get your assignment in a day late, but it is rushed, you are exhausted, you will receive a late penalty, and for the next week, your health is impacted as a direct result.

This is a common occurrence for students and our Student Accessibility and Equity team are here to break down this notion. Know that your health is a priority and CQUni is here to support you throughout your time at university.

Academics want you to succeed, and to enjoy learning. You will not get in trouble or have academics think less of you by asking for an extension.

In fact, the Assessment Policy and Procedure exists for that reason. Because life happens, especially when you are managing ongoing health challenges. It may be disappointing for you to delay the submission of your assignment, but it is crucial to allow yourself to re-frame timelines. We are all people, and sometimes as people, we need a little extra time to complete tasks, and there is no shame in asking for help.

Did you know, with appropriate supporting documentation and approval from your School’s Deputy Dean of Learning & Teaching, you can get an extension up to 4 weeks? Of course, you may just need an extra day or two, and in those situations, your Unit Coordinator can approve that.

Your Unit Coordinator can authorise up to 14 days, and you can be granted an extension, and if you need extra time, you can apply again. Just keep a note of the 4-week limit and the supporting documentation requirements.

To apply for an extension, visit your unit’s Moodle site, click on the Support tab at the top, select the assessment extension request and pick the assessment you need the extension on. Attach your documentation, note your reasons for applying for the extension in the available comment box, and then submit. If you should find yourself in difficulties and are unable to submit an assignment by the due date, it is important that,  before that due date, you request an extension.

Please note: An extension cannot be granted by the School, through its procedures as set out below,  beyond the end of the assessment and examination period for that trimester . For an extension beyond the end of the examination period, students must apply for a  Special Extension of Time .

An extension of up to 7 calendar days can be granted without supporting documentation (although it may be requested). Most units in the School of HASS, with the exception of honours and reading or project units, use the automated extension tool that allows you to self-register for a 7-day extension via the unit myLearn page for most assessments. In the first instance, please use this extension tool. Where the automated extension tool is not available, please use UNE’s extension application portal .

Please note the extension tool will grant 7-days from the original assessment due date, not from the date that you register for the extension.

An extension beyond 7 calendar days will require supporting documentation. These assessments must be applied for through UNE’s extension application portal .

Please note, that should the extension be for beyond the end of a teaching term’s assessment and examination period, a  Special Extension of Time will be required, that must be applied for through the appropriate forum submitted through AskUNE .

Note: Assignments that have received an extension may be returned with a significantly reduced level of criticism and commentary. If an extension is obtained for the final assignment, it is unlikely that the work will be returned before the examination period. Assignments submitted late without an extension may receive a mark only, without commentary.

Personal health issues Signed medical certificate stating: A medical certificate which merely states any of the following is :
Unexpected work or family commitments.

Letter from employer (or a statutory declaration if self-employed).

Statutory declaration if family commitment.

Other extenuating circumstances A statutory declaration and/or other supporting evidence, e.g. death notice, police report.

Assignments received after the due date  WITHOUT an extension of time having been approved will be penalised.

  • Where an assignment is up to 10 calendar days late, a penalty will be imposed of 5% of the total marks for the assessment per day or part thereof. The penalty will accrue on both weekdays and weekends including public holidays (ie. 35% per week).
  • An assignment received more than 10 calendar dates late will receive no marks.
  • Tasks that are mandatory to submit that are submitted more than 10 days late but within the relevant teaching period will be deemed to have been submitted, although receiving no marks.

Students should be aware that late assignments submitted more than one week late may be returned with a significantly reduced level of, or no, feedback.

Please note that if an extension is obtained for the final assignment, it is unlikely that the work will be returned before the examination.

All coursework assignments must be submitted before the end of the examination period for trimester units unless the student has been granted a Special Extension of Time.

Special Assessments

UNE offers Special Assessments where students are unable to meet assessment requirements under specific circumstances.  The Assessment Guidelines state:

Part D - Special Assessments Due to personal health issues, unforeseen technical issues, unexpected work or family commitments or other extenuating circumstances, a student may: a. have an adverse perfomance in an assessment task or examination; or b. be unable to sit an examinatin or complete an assessment task within the relevant teaching period.

Please read the Assessment Guidelines , Part D, to ensure you apply correctly.

If you are unable to sit your exam or if your performance in the exam was severely affected, you may apply for a Special Examination. This is subject to approval, so it is always best that you attend your examination if you possibly can.

If your circumstances do not merit a Special Examination, you may apply for Special Consideration so that the Unit Coordinator can apply some discretion when marking your paper. If you have not sat/will not sit the exam you MUST apply for a Special Exam.

A student who is enrolled in a unit which is not subject to formal examination, or which the formal examination is the basis of a part of the total assessment, and who has been prevented through illness or other unavoidable circumstances from completing, by the specified date, work which the School considers essential, may seek a Special Extension of Time in which to complete the work. Special Extensions of Time apply to an assignment(s) that is unable to be submitted prior to the last day of the relevant examination period.

Apply for a deferred examination if you're unable to sit an examination due to medical or other special circumstances. This is available for the end-of-semester examination period or an examination organised by your unit coordinator during the semester (in-semester).

Start by selecting the link above relevant to your circumstances. You'll be asked to log in to HiQ.

Lodge your application as early as possible.

It may take up to five working days to receive a response to assignment extension or deferred exam applications. You should continue working on your assessment while your application is being processed.

Supporting documentation

All other applications will be processed as normal and will need supporting evidence.

You must provide relevant supporting documentation by scanning or photographing documents and uploading them to your online application form.

Applications won't be processed until your documentation is received.

The original supporting documentation must be available to be produced on request. Medical certificates must make it clear that your doctor thought you were unable to study.

When asking for an assignment extension or a deferred exam, what should I do if I didn't get a doctor's certificate within a reasonable time?

If you are applying for an extension of an assessment on medical grounds, you must obtain a medical certificate on or before the assessment item's due date and time. If you are applying to defer an exam on medical grounds, you must obtain a medical certificate no later than two business days after the date of the original examination.

Applying for assignment extensions

How do I apply for an extension of the due-date for my assignment?

Extensions are normally only granted if there are exceptional circumstances affecting your study, which you can substantiate with supporting documentation. To apply for an extension you need to:

  • Submit an  application for Special Consideration  no later than three University working days after the assessment is due date or class missed); and
  • Attach supporting documents or evidence. For example, a medical certificate.

Applying for an assignment extension.

Regardless of whether you are studying internally, online or externally, you will need to consult the Unit Information Guide (without delay) to see how your Unit Coordinator requires requests for an extension for an assessment to be made. Usu ally, to request an extension you will need to email your Unit Coordinator with your request and  ask for confirmation so that you can avoid any assessment penalty. Make sure to collect and attach any supporting documentation (i.e., a medical certificate).  

Try to avoid the trap of falling behind in submitting your assignments. Remember that the due dates for assignments have been organised to give you the opportunity for maximum feedback during the teaching period. Be aware that any extension granted may have repercussions on your other study commitments.  

And finally, never assume that an extension will be granted.

We understand that events can occur that may mean you will miss key dates in the academic calendar. It’s important not to get overwhelmed and feel as though your academic journey has to end. We’re here to support you.

Applying for special consideration

At Swinburne, we offer special consideration and assistance to help you continue your progress should unfortunate circumstance occur. It exists to enable you to maintain academic progress in the event of extremely difficult circumstances.  

However, ‘special’ really does mean special — it’s only given where genuine need is proven (e.g. having a vacation scheduled is  not  grounds for special consideration).

Application process (for all courses except ELICOS)

All applications for special consideration must be submitted using the  appropriate online form  by  no later than 5pm  of the third working day after the originally scheduled due date or exam date.

Application process for ELICOS students

If you wish to defer an assessment between Weeks 1 and 4 of your Teaching Block:

  • Check that you are  eligible for special consideration  then contact your teacher to discuss deferring your assessment.
  • Your teacher will assess your request and let you know the outcome. 
  • If approved, your teacher will schedule a time for your assessment with you.

If you wish to defer your final assessment during Week 5 of your Teaching Block:

  • Check that you are  eligible for special consideration  then submit your application for a deferred final assessment using the special consideration application process . You must submit your application no later than 5pm of the second working day after your originally scheduled due date or exam date.
  • You will be notified of the outcome of your request by the Student Progress Team.
  • If approved, your final assessment will be scheduled to take place on the Friday of Week 5 of your Teaching Block.

Am I eligible for special consideration?

Refer to the below table for examples of the specific circumstances that are eligible for special consideration adjustments and extensions. You can also view the type of adjustment arrangement you can apply for based on your individual circumstances and the application outcomes you can expect if your application is approved.

Adjustments available for specific circumstances

If you have:
A disability or long-term medical or mental health condition
Primary carer responsibility for a family member with a disability or long-term medical or mental health condition
An unavoidable cultural or religious commitment that falls on the day of a scheduled exam
National or specialist commitments such as elite national-level sports or the defence reserves
An illness or other unavoidable exceptional circumstance that affects your preparation for a non-exam assessment of time for submission of assessable work (for applications made in advance for an extension of up to 7 days)
Unexpected short-term physical or mental ill-health, such as: (for applications made in advance, for an extension of up to 7 days), or (for all other circumstances and types of assessment)

Other unexpected circumstances outside your control, such as:

(for applications made in advance, for an extension of up to seven days), or (for all other circumstances and types of assessment)

Special consideration eligibility for assessments

You may be eligible for special consideration for assessments, if:

  • you have been hampered, to a significant degree, by illness or extraordinary cause in studying for a unit; 
  • you have been prevented by illness or other extraordinary cause from preparing or presenting for a component of assessment, or part of a component of assessment; 
  • you have been, to a significant degree, adversely affected by illness or other extraordinary cause, during the performance of a component of an assessment; or, 
  • you have been adversely affected by illness in the first 60 minutes of an examination.

Examples include:

  • study hampered by acute illness or condition 
  • prevented from presenting an assessment task by a car accident 
  • prevented from preparing for an assessment task by unexpected flooding in your primary residence 
  • acute illness during the first 60 minutes of an exam 
  • family bereavement during the assessment preparation period.

In every case, you must provide documentary evidence to support your application.

The rules for applying for special consideration also apply to tests or assessments undertaken in test conditions, such as mid-semester tests, and assignment work.

Supporting documentation: Medical grounds

If a sudden or severe medical issue or chronic illness affects your ability to sit an examination or submit a major piece of work for assessment, you may be entitled to special consideration. 

Special consideration is granted only in exceptional circumstances, and you must provide documentary evidence to support your claim. 

There are some non-medical grounds under which special consideration is granted, but all medical claims must include a medical impact statement, to be completed by your professional practitioner and submitted with your application form. 

If granted special consideration for an exam, you will be awarded one chance to sit another examination on a different date, which you must be available to do. 

If granted special consideration for a non-exam assessment, you may be given an extension, or an alternate assessment, or be required to re-submit an assessment. You will be required to submit this work by the specified date.

Supporting documentation: Non-medical grounds

For non-medical reasons such as the death of a close family member, primary carer responsibilities, or hardship/trauma, you must provide documentary evidence to support your special consideration application.

Some examples include: 

  • where circumstances concern a close family member, documents that demonstrate a familial relationship
  • a copy of the death certificate of the family member 
  • a funeral notice obtained by the funeral director/company 
  • a Victorian or Commonwealth statutory declaration form detailing your specific circumstances and the impact this has had on your ability to complete your assessment task 
  • evidence of loss of employment, loss of housing, or being the victim of a crime.

Application outcomes for assessments

There’re five possible outcomes of an application for special consideration relating to a course assessment:

  • your assessment may be deferred 
  • you may be granted an extended period for assessment 
  • alternative arrangements for assessment are approved 
  • you're allowed to re-do one or more assessment tasks 
  • special consideration is not granted (a full reason will be provided). 

Special consideration for formal exams

You’re expected to sit all your exams at the scheduled time.

If you’re unable to attend an exam due to illness, misadventure or other extraordinary circumstance beyond your control, you can apply for and, if successful, be granted permission to sit a special exam at a later date.

If, for any reason, you leave the assessment after 60 minutes of writing time, you will not be eligible to sit a special assessment at a later date.

  • All special exams for on-campus students are usually held at our  Hawthorn campus
  • All special exams for OUA and Hawthorn Online students are held at the end of the following study period 
  • All applications must meet Swinburne’s compliance requirements to be eligible.

All applications for special consideration must be submitted using the appropriate online form by  no later than 5pm  of the third working day after the originally scheduled due date or exam date for all courses except ELICOS. 

ELICOS students must submit an application to defer their final assessment  no later than 5pm of the second working day  after the originally scheduled due date or exam date.

Application outcomes for exams

The possible outcomes of an application for special consideration are: 

1. Special consideration is granted.  

If your special consideration application is approved and your application relates to an exam, you may be allowed to sit a special exam on a specific date. You must sit this exam even if you sat the original exam as that mark is now void. If you don't sit the special exam you will receive a zero mark for the exam.

2. Special consideration is not granted.

Swinburne does not normally allow for special exams to be rescheduled unless the circumstances that prevented you sitting the special exam were extraordinary and severe. If special consideration is not granted, your application did not meet our compliance requirements. 

Application outcomes for Foundation Year and UniLink students

If your application for special consideration is approved and you’re awarded a special exam, you will sit this exam on the Thursday or Friday of the week following the formal exam period for that teaching period. You must be available for that sitting; no alternative will be arranged .

Application outcomes for ELICOS students

If your application for special consideration in relation to your final assessment is approved and you’re awarded a special exam, you will sit this exam on the Friday of Week 5 of the current teaching period. You must be available for that sitting; no alternative will be arranged .

How to apply

Applications for special consideration must be submitted using the appropriate application form listed below.

Applications that do not meet our requirements may be deemed ineligible. Your application may also be refused if you have not met all other mandatory requirements for successful completion of the unit, such as any specified hurdle requirements.

If you’re awarded a special exam, you must be available for the  special exam dates .

Application forms

To make an application for special consideration, select the relevant application form for your course or program and follow the steps for submission. Remember, all applications for special consideration must be submitted using the appropriate online form by  no later than 5pm of the third working day after the originally scheduled due date or exam date for all courses except ELICOS. 

ELICOS students must submit an application to defer their final assessment no later than 5pm of the second working day after the originally scheduled due date or exam date.

Undergraduate, postgraduate, Open Universities Australia and Hawthorn Online students

Special consideration applications can be made online by following the prompts.

Swinburne Online students

Swinburne Online students will need to log in via the Student Hub to make an online application for special consideration.

Vocational education and Swinburne Edge students

If you’re a vocational education or Swinburne Edge student, download, fill out and submit the form via email [email protected]

Your application should be submitted no later than 5pm on the third working day after the submission date for the assessment task for which you're requesting special consideration.

Foundation Year and UniLink students

Elicos students, retracting a special consideration application.

If you change your mind, you have two days to retract a special consideration application once lodged.

If your preparation for a non-exam assessment is affected by illness or other extraordinary circumstances outside your control, you may apply in advance for an extension to the due date. 

Extensions are generally granted up to a maximum of seven days. In very special circumstances a longer extension may be given.

How to apply for an extension

If you’re seeking an extension of seven calendar days or less (from the original due date) you must apply on or before the assessment due date. 

Applications for an extension must be made directly to the unit convenor or teacher, by email or phone. Log in to canvas to find unit convenor or teacher contact details.  

Application outcomes for extensions

You’ll find out if you’ve been granted an extension via your Swinburne student email account.

  • Check your Swinburne email regularly or redirect it to an email you check frequently. You’ll need to respond promptly to requests for action or information supporting your application. 
  • Your notification email will include details of the extension, and your revised deadline if one has been granted.

If you’re experiencing severe or compelling issues and require multiple extensions or are unable to sit a final assessment or exam, your application for special consideration must include supporting documentation.

Assessment extensions

We understand that on occasion there may be circumstances that prevent you completing and submitting an assessment item by the published due date. In these circumstances, you may be able to apply for an assessment extension .   

Assessment extensions are not available for all assessment items, so check your StudyDesk to confirm that an extension is allowed and appropriate for the specific assessment item before you try to submit your extension request.

If you are experiencing Special Circumstances and an assessment extension is not available for a specific assessment item, you may be asked to complete a deferred and/or varied assessment item instead. You can ask to defer an assessment item using the online Assessment Extension request available in your Student Centre.

Formal Examinations are not eligible for assessment extensions. If you are unable to complete your formal examination due to special circumstances , you may be able to apply for a deferred examination .

A short three (3) calendar day extension is available for many types of assessments and may help you manage short-term interruptions to your study that effect your ability to complete and submit assessment items by the published due date.

A short extension is not allowed for all assessment items. Check your StudyDesk to confirm that an extension is allowed and appropriate for the specific assessment item before you try to submit your extension request.

  • Short extension requests must be submitted by the published due date for the assessment item, using the online form in your Student Centre.
  • The first time you request a short extension on a particular assessment item you won’t need to provide a reason or supporting documents.
  • Note : If the assessment item is a quiz and the published due date has passed, or you have submitted your request outside University business hours, you will need to wait for our confirmation email that your course StudyDesk has been updated to reflect your due date extension. You won’t be able to attempt the quiz before we make the date changes to your quiz link in StudyDesk.

A short extension is only available once for eligible assessment items. If you require a further extension for the same assessment item, this will be considered a long extension. You will need to submit a new online request before the revised due date and provide supporting documentation, in accordance with the Assessment of Special Circumstance Procedure .

A long assessment extension of four (4) or more calendar days, is available for many types of assessments and may help you manage special circumstances that have a significant impact on your study and effect your ability to complete and submit assessment items by the published due date, or the revised due date of an approved short extension.  

The Assessment of Special Circumstances Procedure explains how the University decides if a situation meets the criteria to be called a Special Circumstance and provides examples of the types of supporting documents that may need to be provided for a further extension request to be considered. Examples are provided on the  reasons for requesting long extensions and Deferred Assessment  page.

A long extension is not allowed for all assessment items. Check your StudyDesk to confirm that an extension is allowed and appropriate for the specific assessment item before you try to submit your extension request.

  • Long extension requests must be submitted by the published due date for the assessment item, using the online form in your Student Centre.
  • A long extension request must be supported by a statement of circumstances and relevant, acceptable supporting documents, in accordance with the Assessment of Special Circumstance Procedure. 
  • Long extension requests that exceed the maximum number of days allowable for an assessment item will be considered a Deferred Assessment . 

Assessment extension requests will be considered a deferred assessment when one or more of the following occurs.

  • The assessment item is not eligible for an extension, and a deferred assessment is available because of  Special Circumstances , in accordance with the Assessment Procedure .
  • The assessment item is eligible for an extension, however the length and impact of an individual student’s Special Circumstances exceed the maximum long extension available for that assessment item.
  • The assessment item cannot be submitted before the last day of the study period, and the grade for the course cannot be finalised by the published results release date.

The deferred assessment will be equivalent, but may not be identical, to the original assessment item. You may be asked to complete a varied piece of assessment if it is not appropriate to defer the original assessment item. A varied assessment item will assess the same knowledge or skills as the original assessment item.

Deferred Assessment due dates

The revised due date for a deferred assessment is normally after the last day of the study period for your course, and no later than 1 University business day before the start of the next study period in your program. This may have the following implications:

  • An assessment item that is not eligible for an extension and has a published due date early in the study period may instead be approved as a deferred assessment with a revised due date after the study period ends. Extended periods of time between published due dates and revised due dates may impact your time management and how you build and consolidate your knowledge, understanding and skills.
  • Deferred assessment for multiple assessment items in one or more courses, may have the same revised due date. Managing your time effectively will be critical to ensuring your ability to complete multiple deferred assessments by the revised due dates. As the situation allows, we suggest working on your assessments and submitting each one as soon as possible. A penalty will be deducted from your mark for any assessment item submitted late.
  • Submitting deferred assessment on the revised due date does not guarantee that you will receive your final grade before the start of the next study period in your program. You may receive a temporary grade of Deferred Assessment (DA) at results release. If the grade for your course cannot be finalised by the published results release date, your final grade will normally be provided to you by the census date of the next study period in your program, and may impact your future course enrolments and academic progress.

A deferred assessment is not available for an assessment item that has already been deferred . If there are any reasons that might prevent you submitting a deferred assessment item by the revised due date, let us know as soon as possible.

A Supplementary Assessment is an exceptional, additional assessment, such as a supplementary examination or assessment item, that is normally offered to a student who has achieved at least 45% and less than 50% of the marks available for the course.

You are not able to apply for supplementary assessment . UniSQ will determine whether you are eligible and let you know how and when to complete any supplementary assessments.

  • If you are offered a supplementary assessment, your Course Coordinator can answer any questions you may have about the individual supplementary assessment item. 
  • If you require an extension on supplementary assessment because of special circumstances , email a detailed statement of your circumstances to the Assessment Support Team at [email protected]  and attach the relevant, acceptable supporting documentation.

If circumstances have affected your ability to complete an assessment task on time, you may be eligible for an assignment extension of up to ten working days .

Eligibility

  • Your application is submitted before the assignment due date, or date of the assessment.
  • You meet all requirements as listed in the policy outlining extensions .

  • The impact of your circumstances requires an extension of more than ten working days and you meet the eligibility criteria for Special consideration.

If you are affected by a chronic, permanent or ongoing illness, disability or hardship, are an Elite Athlete, Elite Performer, Army Reservist or Emergency volunteer you may Register for ongoing support . Your Academic Adjustment Plan (AAP) cannot be applied retrospectively so it is important to have this in place well in advance of any assessment deadlines.

If something prevents you from meeting the deadline for an assignment, then you should refer to your subject outline for the details of the extension process.

If you need an extension because of illness or misadventure beyond the end of session, see  Long-term extensions (Grade Pending) .

How to apply

Before you apply, follow these steps to make sure you're eligible and if so, that your application is complete.

Check your subject outline

You should apply for Special Consideration as soon as possible after the circumstances have occurred.

See  Time Limits for Special Consideration submission .

Make sure you're eligible

You’re eligible for one automatic extension per subject, per session, for subjects studied in Session 1 (30), Session 2 (60) and Session 3 (90). Automatic extensions are not available for micro-sessions and year-long subjects.

For any other extension requests, you’ll need to make sure you include the right documentary evidence to support your application.

If you're applying because of illness, your medical practitioner will need complete a  Charles Sturt University Student Medical Certificate form [PDF] and you must submit this with your request.

To apply for an automatic 7-day extension, select An automatic 7-day extension for an assessment item.

When can I claim special circumstances?

Special circumstances apply differently depending on the situation.

If you think special circumstances might apply to you, make sure you check the information for your situation.

You might be able to claim special circumstances when:

  • applying for an assignment extension
  • deferring exams
  • applying for special consideration for assessment
  • taking a leave of absence
  • adding or swapping units
  • withdrawing from units
  • claiming student fee refunds
  • requesting to transfer to another education provider (international students) .
  • requesting to transfer to another education provider (international students).

What can I claim special circumstances for?

When making a claim, you must provide independent supporting documents with your application to demonstrate special circumstances. You'll need to provide different types of documents depending on what your special circumstances are.

Special circumstances may be accepted for some applications but not for others. For example, if you're sick you may be granted an assignment extension but remain ineligible to withdraw without academic penalty from a unit. Withdrawing without financial or academic penalty after the due dates requires more substantial supporting documentation to be provided.

Health conditions (physical and mental)

You may be able to claim special circumstances if you're unwell, or a pre-existing physical or mental health condition has changed to such an extent that you're unable to continue studying, either temporarily or for the remainder of the semester.

Documents you must supply

You must provide a certificate or letter from a registered health practitioner, stating:

  • the date(s) the practitioner examined you
  • the nature, severity and duration of the complaint (where appropriate)
  • that, in the practitioner's opinion, you weren't fit to study or sit an exam on the relevant date (dates must be specified)
  • the health practitioner's name, contact details, provider number and signature.

A statement that you are or were suffering from a 'medical condition' without supporting comments from the practitioner on the effect of the complaint will not be sufficient.

Certificates provided must be dated within the time frame of the teaching period for which you are applying. Retrospective certificates will only be accepted where the issuing practitioner provides a dated history of your treatment.

We won't accept your application if your certificate or letter does not comply with these requirements. If it doesn't comply, you'll need to submit a new medical certificate or letter before we will process your application.

Attempts to alter, amend or falsify information on a medical certificate or letter from a registered health practitioner may result in formal disciplinary action. We regularly check medical certificates, letters and supporting documents to confirm their accuracy.

If you have a QUT Access Equity Plan, which is current for the semester and contains an assignment extension recommendation, we'll consider it as documentation for an assignment extension.

If you've tested positive for COVID-19, you should attach a medical certificate from a registered health practitioner (including supporting information from the practitioner as listed above).

Family or personal circumstances

You may be able to claim special circumstances if family or personal circumstances beyond your control have arisen or become apparent, and make it unreasonable for you to undertake study for a short period of time or expect you to continue studying for the remainder of the semester.

Family or personal circumstances include:

  • death or serious illness of a close family member or friend
  • significant medical problems within your family
  • family or relationship breakdown
  • severe disruption to domestic arrangements
  • being victim of a crime or accident
  • collapse of a family business which is severe enough to require your personal attention or unreasonable to expect you to commence or continue studies.

A decision based on family or personal circumstances is more subjective than one based on medical grounds.

Depending on the nature of the circumstances, supporting evidence may include a medical certificate or letter from a counsellor, doctor or police officer.

The supporting documentation must contain the name, date and contact details of the person providing the evidence. It should also demonstrate the impact these circumstances have had on your ability to complete your studies.

Employment-related circumstances

You may be able to claim employment-related special circumstances if your employment status or arrangements have changed to make it unreasonable to expect you to continue studying.

Employment-related circumstances may include:

  • defence reserve service
  • transfer to another city or country
  • substantial changes to your employment such as unexpected increase in responsibility and work hours.

Sudden and unplanned travel for work that's beyond your control may be considered for an assignment extension or deferred exam.

Applying for and being appointed to a new position will not be grounds for employment-related applications as these are normally circumstances within your control.

International students on student visas can't claim employment-related special circumstances.

You'll need to provide a signed and dated statement from your employer on official company letterhead stating:

  • the date your employment began or the conditions of employment changed
  • how this affects your study.

Unavoidable commitments

You may be able to claim special circumstances for unavoidable commitments in very limited cases. These are:

  • jury duty or other court appearances
  • sporting events where you have been selected to represent at a state, national or international event
  • significant cultural commitments
  • State Emergency Service call-out in the event of an emergency.

A signed and dated statement on official letterhead from an appropriate representative of the organisation stating:

  • the date of the jury duty, court appearance, sporting or cultural event, or emergency service
  • how this affects your study
  • why these commitments were not foreseen particularly in relation to sporting and cultural commitments.

Course-related circumstances

You may be able to claim special circumstances if a unit has been changed and therefore you'll be disadvantaged by:

  • not being able to complete the unit
  • not being given credit towards other units or courses.

A supporting statement from the QUT school or faculty that offers the unit, clearly indicating that changes made it impracticable for you to complete the unit requirements.
