Greeting:  A good greeting is imperative in any business situation, including a cover letter. When addressing the employer, use formal language that is still somewhat modern. 

For example, an enthusiastic “Hi!” won’t fly when you’re applying to big companies like Boeing, but a “To Whom It May Concern” is formal but dated (and impersonal). 

Your best bet is to stick to the old classic, “Dear Ms. or Mr. Lastname.”

Closing paragraph:  Many cover letters struggle with ending well. It’s all too easy to sign off with a quick “thank you for your time” and nothing else. Instead, leave the recruiter excited to follow up with you soon. Don’t leave them dozing off with a closer like this:

It’s not only what you include in a cover letter, but  how you include  it as well.

You want to  demonstrate your motivation  to work for the company.

It’s also essential to also show  how you will be a valuable employee  thanks to your skills and experience.

If you don’t have a good  cover letter structure , there’s a good chance the hiring manager will reject your application.

Let’s take a look at a good example and a poor example of  the beginning of a cover letter .

I am writing to submit my application for the customer service position. Along with this letter, I’ve included my resume. I have two years of experience and believe I’d be a great addition to your team .

How to Write a Cover Letter with an Employment Gap

What if you’re looking for a new job after not working for a long period?

It isn’t always easy to find cover letter and  resume examples  for inspiration that include a gap in employment history.

With a  gap in your employment history , you may think you have no shot of landing the job.

However, that doesn’t necessarily need to be the case.

There are good reasons you or anyone else may not work for a certain amount of time.

There are plenty of positives that can be gained from taking time off, maybe because you studied a master’s degree, or  learned a new skill .

So what are some things you should include in your cover letter if you were out of work for an extended period?

  • Choose honesty:  Don’t think a hiring manager won’t find out about your time off. If you don’t mention the reasons for your time off, they may come to the wrong conclusion. Briefly explain why you weren’t or couldn’t be working.
  • Don’t worry about all of your off time:  If it’s a short amount of time, or it was a long time ago, you probably shouldn’t mention it.

When it comes time to interview, you should also  prepare your answers .

You will most likely be asked a question or  questions related to your time off .

It’s always better to address your letter to a specific person, so if you’re applying for a marketing position, for example, try to find out the name of the marketing lead or head of marketing, as they will most likely be reviewing your application. If you can’t find a specific name, use a generic greeting such as ‘To whom it may concern’ or ‘Dear Hiring Manager.’

Opening paragraph

First, mention the job title and where you found out about the opportunity. Consider adding a hook, such as an impressive achievement, a shared interest in the company’s mission, or a connection to the industry. Express genuine enthusiasm about the possibility of joining the organization and briefly explain why your skills and experience make you a strong candidate. Keep the opening brief and engaging, encouraging readers to continue reading with interest.

Think broadly—often, good communication skills come in different ways, from staying on top of deadlines to planning events. Or how you creatively led a project at your last internship and how this showcases your critical and organizational skills. It’s all about how you frame it, but be specific and show off both your strengths and soft skills.

Let them know you are attaching your resume for their consideration, and express gratitude for considering your application. Restate your enthusiasm for the position and offer to answer any questions they may have. Finally, thank them once again for their time before signing off.

A cover letter is a one-page business letter that you submit along with your resume when applying for a job. Its primary purpose is to persuade the employer that you are an excellent candidate for the role. It complements your resume by clearly linking your experience and interests to the position you're applying for. Essentially, the cover letter is your chance to convince the employer to invite you for an interview.

A typical cover letter contains several key elements, each serving a specific purpose in showcasing your qualifications and enthusiasm for the position. Here’s a breakdown of what a cover letter typically includes:

Your Contact Information: Name, address, phone number, and email address.

Date: The date you are writing the letter.

Employer’s Contact Information: Name, title, company, and address of the person you are addressing the letter to.

2. Salutation

To proceed effectively, I will copy the job description and input it into AIPal to extract key keywords. These keywords are crucial as they highlight the skills and attributes the employer is seeking for the role.

To refine your keyword research, you can ask AIPal to extract keywords and categorize them into tiers.

Prompt: Extract keywords from this job description that I can in my cover letter. Assign them in three tiers ranging from the most important to least important.

This way, you'll identify the most critical keywords, which should be emphasized more in your cover letter, and less important keywords, which can be mentioned once or twice.

This approach will give me a comprehensive understanding of what the job entails and what qualities I should emphasize in my cover letter.

Step 2. Choose a template- WPS Office

Choosing a cover letter template is important because it gives you a clear structure to follow, saving you time and ensuring your letter looks polished. It guides you on what information to include, from your skills to your qualifications, making it easier to customize each letter for different job applications. Templates also help keep your letter organized and visually appealing, which is key to making a positive impression on employers.

WPS Office has been a godsend in this regard, offering plenty of cover letter templates. I followed these steps to find the desired cover letter for the Marketing Manager position:

Open WPS Office and click on "New" on the left side pane.

Next, simply click on the “All” tab in the left side pane. This will display numerous templates available on WPS Office for documents, spreadsheets, and presentations.

To save time browsing through all the options, simply search for "cover letter". This filters out irrelevant templates and helps find the right cover letter template for the job post in context.

Upon finding the suitable template for the job post, click on it to preview.

To start customizing the selected template, click the "Download" button at the top right corner, which will launch it in the WPS Writer interface for editing.

Header and Salutation

Headers and salutations are essential in a cover letter for their role in setting a professional tone. The header provides your contact details and the date, ensuring easy communication and formal presentation.

Salutations, like "Dear Hiring Manager," personalize your letter and demonstrate attention to detail, addressing the recipient directly and showcasing professionalism from the start.

Cover letters and resumes are the introductory documents that help an employer form their first impressions about a future employee. Thus, it is very important to draft the perfect documents to find success, especially when applying for an internship. Want to write the best cover letter for an internship role? Follow the steps below and learn how to write a cover letter. 

  • Mention Your Details: At the top left corner of the internship cover letter, write your full name, address, email ID, and phone number.
  • Add Date: Next, add the date you are writing the letter. 
  • Mention Receiver’s Details: Mention the receiver’s name followed by the company address. The receiver can be the manager or the HR professional responsible for recruitment. 
  • Address the Recruiter: Write “Dear [name]” to address the recruiter before beginning the main content of the letter.
  • Opening Statement: Write a brief statement that appeals to the recruiter and informs them of your intent to apply for the internship position. You can add one or two of your key achievements here but do not forget to mention which position you are applying for. 
  • For example , you mention you have strong communication skills. Back the claim with a background story of how you gave a presentation on a technical topic and were able to communicate your idea easily to the audience due to your skills. 
  • Closing Paragraph: Thank the recruiter and add a call to action, like requesting them to check your resume for more details or that you are available for an interview to discuss the internship opportunity further.
