The way I take notes for my PhD

In high school I was really bad at taking notes and studying. So much so that I barely got into a university degree! In my undergraduate I slowly learnt tricks for studying and remembering all the things I had to do. But when you begin a PhD, it is quite honestly a whole new ball game. The things you read you will need to be able to find, and remember in two or three years time!

Everybody has a different process, but I thought I would outline mine in this blog post. I’ll begin with a confession;  the thought of PDFs in folders has always scared me.  To me, the idea of knowing what a file is by the way I name it and being able to find the things I have highlighted a year later seemed (and still seems) impossible. I honestly do not know how people just use PDFs on their computer to remember all of the things they have read (hats off to those who can do that!). In the beginning of my PhD I printed every article I read, so I could file it manually ( my inspiration here ). I still think this is the best method for me, but I have had to adapt it due to overseas fieldwork (can’t exactly drag printed articles around the world with me).

Below I detail the steps I take when reading an article/book/whatever for my PhD.

Manually enter the article into EndNote

I know some (most?) PhD students import database searches into their EndNote libraries and work from there. But I have two issues from this:

  • You have to check the references to ensure authors don’t have different name versions (otherwise in documents your EndNote will automatically treat them like two authors who have the same last name and first initial).
  • How do you know what you have read? Or where to start reading?

I manually enter the details to avoid this. In the beginning I used the EndNote keyword feature to help find articles I had entered, but now I do not do this (as I use Nvivo and it is easier to find things and it is a bit redundant with the way I file articles). In my endnote I simply add all necessary bibliographical information and attach the PDF (my back up in case of catastrophic tech failure). I also use the endnote online to sync my library to the cloud.

This annotated bibliography is whatever I am thinking/feeling at the time. Some entries are more detailed than others. See the example below:

I have blocked the first two entries APA reference as I am quite critical in my entry of them (not quite ready to have such a strong academic voice just yet). You will notice how all four of the entries are quite different with what they identify and talk about. I don’t follow a set pattern for these, it is quite literally my thoughts. For most it is a summary of what the article said and my thoughts. This is a good way to begin to think critically about all of the things you read.

Add some writing to my scrivener file

This part has helped me to actually start writing. Since the beginning of my PhD I have always added sentences to my Scrivener file to match the article I am reading. For example:

This is my scrivener file for my whole PhD. On the left side you can see I have folders set up and each of these contains sub-folders and text within. The top ones are actual chapter drafts that I have begun working on and the ones filed under ‘research’ are things I have randomly written that I am unsure if I will need/what chapter they will be in. The text in this screen here is an example of where I have begun to write about postcolonialism and education. Notice how I have written sentences about what Matereke argues, but also included a quote I think might be relevant. When I begin to write this section later, I can use these as starting points to construct an argument that flows (and actual paragraphs). I will also know what authors I have read who are related to this area. My other files generally have more writing in them than this, but I chose a small example in case someone wants to read the text (to see what I mean)! Code the article in Nvivo

I have already discussed this in my blogpost:  Nvivo for a literature review: How and why . I use Nvivo to help me sort my PDFS and find quotes that I like, or in general sentences that I think are really eloquent and helpful at understanding a concept. For example:

A quick glance at my code for ‘colonialism’ allows me to see some ways of writing about colonialism and allows me to remember the key words that are used when discussing this concept (‘civilising mission’ ‘racialised hierachies’ etc).

In conclusion…

I hope this blog has helped you understand the way I take notes, as I have managed to transform from a person who was completely analog with note taking (in undergraduate) to able to work digitally. Not only do I work digitally, I always know where my readings are, how to find something quickly and I don’t start writing with a blank page!

If you are just beginning your PhD, don’t be afraid to find the system that works for you by experimenting with a jigsaw of other people’s methods!

Hi, yes I just kept them there. In the screenshot I believe you can’t see all my subheadings and folders. I eventually sorted my notes via how I anticipated my chapters would work out so more in headings and subheadings. Then I wrote my actual chapters!

The good things document is where I keep nice feedback I have received etc. it helps when you feel down to be able to see some positive feedback 🙂

Very often, students are led to think that good academic writing means using the most sophisticated, advanced vocabulary they can find. To make a piece of work more professional, it can be tempting to look for elaborate synonyms and use them in place of simple words.

However, doing this can actually prevent your reader from understanding the arguments and ideas you’re trying to put forward, and you might even get lost in your own sentences! Try to go for the simplest language, and the fewest words needed, to express an idea. Use short sentences, don’t be vague, and avoid overly complex language. Remember that academic writing is not about sounding a certain way, but about expressing your ideas clearly. Being concise, for me, is the essential first step to good academic writing.

Academic writing is always a work in progress, and your style and voice will develop and evolve throughout your studies. It also won’t be possible to apply all of these tips, all of the time, but experiment with those that appeal to you, and use them as you develop your own writing.

A dissertation is a long-form piece of academic writing based on original research conducted by you. It is usually submitted as the final step in order to finish a PhD program.

Your dissertation is probably the longest piece of writing you’ve ever completed. It requires solid research, writing, and analysis skills, and it can be intimidating to know where to begin.

When you’ve finished your coursework, as well as any comprehensive exams or other requirements, you advance to “ABD” (All But Dissertation) status. This means you’ve completed everything except your dissertation.

Prior to starting to write, you must form your committee and write your prospectus or proposal . Your committee comprises your adviser and a few other faculty members. They can be from your own department, or, if your work is more interdisciplinary, from other departments. Your committee will guide you through the dissertation process, and ultimately decide whether you pass your dissertation defense and receive your PhD.

Your prospectus is a formal document presented to your committee, usually orally in a defense, outlining your research aims and objectives and showing why your topic is relevant . After passing your prospectus defense, you’re ready to start your research and writing.

The structure of your dissertation depends on a variety of factors, such as your discipline, topic, and approach. Dissertations in the humanities are often structured more like a long essay , building an overall argument to support a central thesis , with chapters organized around different themes or case studies.

However, hard science and social science dissertations typically include a review of existing works, a methodology section, an analysis of your original research, and a presentation of your results , presented in different chapters.

The very first page of your document contains your dissertation title, your name, department, institution, degree program, and submission date. Sometimes it also includes your student number, your supervisor’s name, and the university’s logo.

The acknowledgements section is usually optional and gives space for you to thank everyone who helped you in writing your dissertation. This might include your supervisors, participants in your research, and friends or family who supported you. In some cases, your acknowledgements are part of a preface.

The abstract is a short summary of your dissertation, usually about 150 to 300 words long. Though this may seem very short, it’s one of the most important parts of your dissertation, because it introduces your work to your audience.

Your abstract should:

  • State your main topic and the aims of your research
  • Describe your methods
  • Summarize your main results
  • State your conclusions

The table of contents lists all of your chapters, along with corresponding subheadings and page numbers. This gives your reader an overview of your structure and helps them easily navigate your document.

Remember to include all main parts of your dissertation in your table of contents, even the appendices. It’s easy to generate a table automatically in Word if you used heading styles. Generally speaking, you only include level 2 and level 3 headings, not every subheading you included in your finished work.

While not usually mandatory, it’s nice to include a list of figures and tables to help guide your reader if you have used a lot of these in your dissertation. It’s easy to generate one of these in Word using the Insert Caption feature.

Similarly, if you have used a lot of abbreviations (especially industry-specific ones) in your dissertation, you can include them in an alphabetized list of abbreviations so that the reader can easily look up their meanings.

In addition to the list of abbreviations, if you find yourself using a lot of highly specialized terms that you worry will not be familiar to your reader, consider including a glossary. Here, alphabetize the terms and include a brief description or definition.

The introduction serves to set up your dissertation’s topic, purpose, and relevance. It tells the reader what to expect in the rest of your dissertation. The introduction should:

  • Establish your research topic , giving the background information needed to contextualize your work
  • Narrow down the focus and define the scope of your research
  • Discuss the state of existing research on the topic, showing your work’s relevance to a broader problem or debate
  • Clearly state your research questions and objectives
  • Outline the flow of the rest of your work

Everything in the introduction should be clear, engaging, and relevant. By the end, the reader should understand the what, why, and how of your research.

A formative part of your research is your literature review . This helps you gain a thorough understanding of the academic work that already exists on your topic.

Literature reviews encompass:

  • Finding relevant sources (e.g., books and journal articles)
  • Assessing the credibility of your sources
  • Critically analyzing and evaluating each source
  • Drawing connections between them (e.g., themes, patterns, conflicts, or gaps) to strengthen your overall point

A literature review is not merely a summary of existing sources. Your literature review should have a coherent structure and argument that leads to a clear justification for your own research. It may aim to:

  • Address a gap in the literature or build on existing knowledge
  • Take a new theoretical or methodological approach to your topic
  • Propose a solution to an unresolved problem or advance one side of a theoretical debate

Theoretical framework

Your literature review can often form the basis for your theoretical framework. Here, you define and analyze the key theories, concepts, and models that frame your research.

Your methodology chapter describes how you conducted your research, allowing your reader to critically assess its credibility. Your methodology section should accurately report what you did, as well as convince your reader that this was the best way to answer your research question.

A methodology section should generally include:

  • The overall research approach ( quantitative vs. qualitative ) and research methods (e.g., a longitudinal study )
  • Your data collection methods (e.g., interviews or a controlled experiment )
  • Details of where, when, and with whom the research took place
  • Any tools and materials you used (e.g., computer programs, lab equipment)
  • Your data analysis methods (e.g., statistical analysis , discourse analysis )
  • An evaluation or justification of your methods

Your results section should highlight what your methodology discovered. You can structure this section around sub-questions, hypotheses , or themes, but avoid including any subjective or speculative interpretation here.

Your results section should:

  • Concisely state each relevant result together with relevant descriptive statistics (e.g., mean , standard deviation ) and inferential statistics (e.g., test statistics , p values )
  • Briefly state how the result relates to the question or whether the hypothesis was supported
  • Report all results that are relevant to your research questions , including any that did not meet your expectations.

Additional data (including raw numbers, full questionnaires, or interview transcripts) can be included as an appendix. You can include tables and figures, but only if they help the reader better understand your results. Read more about results sections

Your discussion section is your opportunity to explore the meaning and implications of your results in relation to your research question. Here, interpret your results in detail, discussing whether they met your expectations and how well they fit with the framework that you built in earlier chapters. Refer back to relevant source material to show how your results fit within existing research in your field.

Some guiding questions include:

  • What do your results mean?
  • Why do your results matter?
  • What limitations do the results have?

If any of the results were unexpected, offer explanations for why this might be. It’s a good idea to consider alternative interpretations of your data.

Your dissertation’s conclusion should concisely answer your main research question, leaving your reader with a clear understanding of your central argument and emphasizing what your research has contributed to the field.

In some disciplines, the conclusion is just a short section preceding the discussion section, but in other contexts, it is the final chapter of your work. Here, you wrap up your dissertation with a final reflection on what you found, with recommendations for future research and concluding remarks.

It’s important to leave the reader with a clear impression of why your research matters. What have you added to what was already known? Why is your research necessary for the future of your field?

Be sure to choose one citation style and follow it consistently throughout your dissertation. Each style has strict and specific formatting requirements.

Your dissertation should contain only essential information that directly contributes to answering your research question. Documents such as interview transcripts or survey questions can be added as appendices, rather than adding them to the main body.

Making sure that all of your sections are in the right place is only the first step to a well-written dissertation. Don’t forget to leave plenty of time for editing and proofreading, as grammar mistakes and sloppy spelling errors can really negatively impact your work.

Dissertations can take up to five years to write, so you will definitely want to make sure that everything is perfect before submitting. After your written dissertation is approved, your committee will schedule a defense. Similarly to defending your prospectus, dissertation defenses are oral presentations of your work. How To Structure A PhD Thesis

Introduction

Universities and supervisors often assume that PhD students know how to structure their PhD theses. But often this assumption is false, which can cause considerable headache and uncertainty.  It can also waste a lot of time and money as you engage in a process of trial and error working out what goes where.

If you go to your university’s library, you’ll find whole shelves of   books on how to structure or write your PhD . Many of these are great, and I highly recommend you check them out, but here I want to present to you a thesis structure 101 lesson.

I’ve read those books,   proofread hundreds of PhDs   and   coached   dozens of students and want to take what I know and run you through a basic introduction to structuring your PhD   thesis .

In what follows, I’ll talk you through the basic outline of a typical thesis. This mirrors and expands upon the   PhD Writing Template   I’ve created. If you haven’t already downloaded it, you can find it   here .  

Now, I want to make an important observation: what I present below is an outline of the   typical   thesis. Yours may differ, whether considerably or just a little. That’s fine. The purpose is to give you an overarching summary so that when you do approach the books and guides that exist, you’ve already got a basic understanding of what goes where and why.

So, in what follows, I’ll walk you through each of the main sections and talk about what the purpose of each is, offer some tips for planning and writing them, and show you how they relate to one another.

At the end, I’ll tell you about an   email based course   I’ve put together that will teach you how to plan, structure and write your thesis. It goes into a lot more detail than I’ve presented here, so check it out if you’d like to learn more. 

How to Structure an Abstract

Your abstract should be a short summary at the beginning of the thesis that sums up the research, summarises the separate sections of the thesis and outlines the contribution.

Above all, your PhD abstract should answer the question: ‘So what?’ In other words, what is the contribution of your thesis to the field?

  • What is the reason for writing the thesis?
  • What are the current approaches and gaps in the literature?
  • What are your research question(s) and aims?
  • Which methodology have you used?
  • What are the main findings?
  • What are the main conclusions and implications?

One thing that should be obvious is that you can’t write your abstract until the study itself has been written. It’ll typically be the last thing you write (alongside the acknowledgements).

The tricky thing about writing a great PhD abstract is that you haven’t got much space to answer the six questions above. There are a few things to consider though that will help to elevate your writing and make your abstract as efficient as possible:

  • Give a good first impression by writing in short clear sentences.
  • Don’t repeat the title in the abstract.
  • Don’t cite references.
  • Use keywords from the document.
  • Respect the word limit.
  • Don’t be vague – the abstract should be a self-contained summary of the research, so don’t introduce ambiguous words or complex terms.
  • Focus on just four or five essential points, concepts, or findings. Don’t, for example, try to explain your entire theoretical framework.
  • Edit it carefully. Make sure every word is relevant (you haven’t got room for wasted words) and that each sentence has maximum impact.
  • Avoid lengthy background information.
  • Don’t mention anything that isn’t discussed in the thesis.
  • Avoid overstatements.
  • Don’t spin your findings, contribution or significance to make your research sound grander or more influential that it actually is.

How to Structure an Introduction

The introduction serves three purposes:

  • Establish your territory.
  • Establish and justify your niche.
  • Explain the significance of your research.

The reader should be able to understand the whole thesis just by reading the introduction. It should tell them all they need to know about:

  • What your thesis is about
  • Why it is important
  • How it was conducted
  • How it is laid out

How to Structure a Literature Review

Imagine you’re making a new model of mobile phone. You’d need to look at old models to see how other people are designing them (and so you know how yours will differ) and to see how they are made. You’ll need to look for their flaws, and get an idea of where they can be improved.

That’s because you can’t make something new if you don’t know what the old one looks like.

The literature review is the same. You use it to make the case for your research by surveying the work that’s already been done in your discipline (and sometimes beyond). It’s a bit like a family tree. You use it to trace the lineage of your study. Putting it in its place.

A literature review has three objectives:

  • Summarise what has already been discussed in your field, both to demonstrate that you understand your field and to show how your study relates to it.
  • Highlight gaps, problems or shortcomings in existing research to show the original contribution that your thesis makes.
  • Identify important studies, theories, methods or theoretical frameworks that can be applied in your research.
  • Pick a broad topic
  • Find the way in
  • Who’s saying what and when
  • Narrow down the field
  • Narrow does the sources
  • Think about questions that haven’t been asked
  • Write early, write quickly and write relevantly

How to Structure a Theory Framework Chapter

The theory framework is the scaffolding upon which your thesis is built. When you’re done writing your theory framework chapter or section, your reader should be able to answer these questions:

  • What theoretical concepts are used in the research? What hypotheses, if any, are you using?
  • Why have you chosen this theory?
  • What are the implications of using this theory?
  • How does the theory relate to the existing literature, your problem statement and your epistemological and ontological positions? How has this theory has been applied by others in similar contexts? What can you learn from them and how do you differ?
  • How do you apply the theory and measure the concepts (with reference to the literature review/problem statement)?
  • What is the relationship between the various elements and concepts within the model? Can you depict this visually?

That means that a theory framework can take different forms: 

It can state the theoretical assumptions underpinning the study.

  • It can connect the empirical data to existing knowledge.
  • It can allow you to come up with propositions, concepts or hypotheses that you can use to answer ‘how’ and ‘why’ questions.

Broadly speaking, a theory framework can be used to either derive certain testable assumptions or as a way of making sense of your data. In both cases, it structures your data collection by focusing your attention on a small subset of concepts.

You can, therefore, think of it as a toolbox. In your literature review, you outlined the problem that needs ‘fixing’. The theory framework is a toolbox stuffed full of concepts, variables, or hypotheses (your tools) that you’ll then use to address the problem and do the fixing.

When you discuss theory, you are seeking to provide a background examination of what other researchers think about a phenomenon and how they have conceptualised it. You should discuss the relevance of particular theoretical approaches for your study, and you should take care to consider the dominant theoretical schools in your field. This shows the examiner you have understood the state of the art.

But, you should do so critically, and question the suitability of any theories that exist or that you are creating to your particular study. That means that you should discuss previous applications of theory in order to discuss what implications they have for your own research.

The reason you do this is that your discipline likely has accepted and ’tried and tested’ ways of doing things. In many cases, this is an advantage, because it can serve as inspiration for your choice of concepts, hypotheses or variables, and can influence your choice of methods.

In other cases, it may be that the existing theory is ill-equipped to account for your particular phenomenon. In either case, you need to demonstrate a good understanding of what that theory is discussing, both to demonstrate your skills as a researcher and scholar, but also to justify your own theoretical and methodological position. 

How to Structure a Methods Chapter

The job of a methods chapter is:

  • To summarise, explain and recount how you answered your research questions and to explain how this relates to the methods used by other scholars in similar contexts and similar studies
  • To discuss – in detail – the techniques you used to collect the data used to answer your research questions 
  • To discuss why the techniques are relevant to the study’s aims and objectives
  • To explain how you used them

Your reader should be able to answer the following questions when they’re done reading it:

  • What did you did do to achieve the research aims?
  • Why did you choose this particular approach over others?
  • How does it relate to your epistemological and ontological positions?
  • What tools did you use to collect data and why? What are the implications?
  • When did you collect data, and from whom?
  • What tools have you used to analyze the data and why? What are the implications? Are there ethical considerations to take into account?

How to Structure an Empirical Chapter

  • What are the results of your investigations?  
  • How do the findings relate to previous studies?  
  • Was there anything surprising or that didn’t work out as planned?  
  • Are there any themes or categories that emerge from the data?   
  • Have you explained to the reader why you have reached particular conclusions?
  • Have you explained the results?

How to Structure a Discussion Chapter 

The discussion chapter is the place in which you discuss your empirics. Many people find it the hardest chapter, primarily because it’s the stage at which you start to flex your academic muscles and speak like a doctor. It is here that you start to push the boundaries of knowledge.

That’s a hard thing to do, largely because you’ve probably never had to do it before. All through your masters and undergraduate work you’ve learnt what other people have found. Now you’re finding out things that no-one else knows.

The difference between a discussion and an empirical chapter is subtle, but I’ve written   a detailed guide   that will clear up any confusion you’ve got.

How to Structure a Conclusion

The job of the conclusion is to:

  • Fully and clearly articulate the answer to your research questions
  • Discuss how the research is related to your aims and objectives
  • Explain the significance of the work
  • Outline its shortcomings
  • Suggest avenues for future research

It is not the place to introduce new ideas and concepts, or to present new findings.

Your job is to reflect back on your original aims and intentions and discuss them in terms of your findings and new expertise.

Three things to do in a conclusion:

  • Own your research by speaking with authority! You’ve earned the right to do that by the time you reach your conclusion 
  • See the thesis and not the detail. Drive home the contribution that the thesis has made. Whatever it is, you need to shout about it. Loudly. Like an expert.
  • Each chapter is a piece of the puzzle and only when they are all slotted together do you have an entire thesis. That means that a great conclusion is one that shows that the thesis is bigger than the sum of its individual chapters. 
  • By the time the reader has finished reading the conclusion, they should be able to answer the following questions:
  • Have you briefly recapped the research questions and objectives?
  • Have you provided a brief recount of the answer to those questions?
  • Have you clearly discussed the significance and implications of those findings?
  • Have you discussed the contribution that the study has made?
  • Do the claims you are making align with the content of the results and discussion chapters?

Wrapping Up 

There’s clearly a lot more that can be said about how to structure each of these sections. Go to your university library and you’ll find dozens of books on how to write a PhD. Google it and you’ll find thousands of posts. It’s hard to know where to start.

Hi Maureen – it really depends on so many factors, including how much familiarity you already have with research and how quickly you want to finish. It’s hard to say! I devoted around 3/4 of full time to mine per week – so roughly 30 hours. But then I had never conducted research before, didn’t have any caregiving responsibilities, and wanted to complete quickly.

Starting your PhD can feel like a daunting, exciting and special time. They’ll be so much to think about – has all the paperwork been completed? Which desk is yours? Where’s the best place to get coffee? You’ll also need to think about how to best get going with your multi-year research commitment. Here are a few tips to help you get started:

1. Start Writing

You’ll no doubt get to writing up your research as papers for peer-review towards the latter half of your PhD but definitely get into the habit of regularly writing up your notes from day one. This could be something like writing a diary of your thoughts every day or a summary of your week on a Sunday – whatever works for you, as long as you can be consistent about it. For lab-based projects, in particular, you’ll need to keep a lab book which keeps a record of your experimental workflow; important for you, your supervisor and your examiners to refer back to.

Writing regularly early in your PhD will help you develop your scientific writing skills and help you think about your work analytically from early on. Along the way, you’ll also have written useful content that could be transferred directly into journal manuscripts and future grant proposals.

2. Know Your Research Field

A key element of your PhD is to develop knowledge that is novel and adds to the body of work by others in your research field. You need to have a good understanding of what others have already done and what new things are being worked on – this single best way to do this is to read papers. Lots of papers!

Staying up to date with current knowledge by reading papers will help you ensure the novelty of your work and avoid unnecessarily duplicating what is already known. You’ll also get a feel of the key journals that your peers publish in and the expectations of writing style, content and format for these papers.

3. Read More than Just Papers

Doing a PhD is an enormous commitment; one that will give you challenges in managing your time, money, motivation and energy. Reading papers related to your research is essential however looking into other material could be useful in helping you manage your life during the 3-5 years of research. Good resources to start at include Google Scholar and ResearchGate .

You’ll find there are A LOT of books published on the topics of productivity and general life skills so choose wisely. Better options may be to follow blogs and even listen to podcasts to pick up tips and advice on getting through your PhD smoothly.

4. Get Feedback

Whether it’s through meetings with your supervisor or discussions over coffee with your colleagues in the lab, getting regular feedback on your ideas and work is essential to keeping you on track with your project. It’s all too easy in this type of independent research to get lost down a rabbit hole which may not lead to the results you’re after. Sense checking with people you trust is always a good idea.

5. Set Mini Milestones

The big milestones will be clear for you: (1) pass the upgrade viva to transfer from being an MPhil student to a PhD student (a common approach in UK universities) and then (2) pass your PhD viva! A lot of things need to happen for you to hit these milestones and so setting smaller short-term goals can help both with focus and motivation – it’s all about the mini-wins! This could be things like your first meeting with your supervisor, your first abstract submission to a conference or collecting your first series of experimental data.

There are many conventions in the academic world that can make it difficult to navigate the philosophiae doctor title. The PhD title is awarded to those who have completed a doctoral degree but, not many people know how to use it once they have it.

It’s best to use PhD not Ph.D in most cases!

This article will go through everything you need to know about using the PhD title and when you can start using it.

The “rules” are relatively simple and can be broken as they are not officially set in stone – other than when you can officially call yourself a doctor.

There is no one correct answer but it may be misleading if you use the PhD title incorrectly. Here are the recommendations for effective communication for a PhD graduate.

It very much depends on the setting. Here are some examples of how I would use both the titles awarded to me after my PhD degree.

It can be confusing to know exactly how to write PhD after your name as a person with a doctoral degree. Which bits are capitalised for a person with a doctoral degree? Is there a ‘.’ In the middle?

When writing a name with a PhD after it, the correct way to do so is to use “PhD” or “Ph.D. or Ph D”

Depending on the preference of the individual, either form can be used.

However, if the individual has a business card that states their degree in full, then the more formal “Doctor of Philosophy” should be used.

It is important to note that using “PhD” without any periods is incorrect; this abbreviation should only be used in informal contexts such as emails or text messages. I tend to use PhD in my YouTube videos and some people have pointed out that this is incorrect…

Following the individual’s preferred format will ensure that their name and credentials are properly represented.

Should you use Dr as well as PhD?

Some people like to use Dr and PhD in their official titles. There are a couple of important points that you need to know about markers and academic titles.

  • A person can have more than one marker in their name. For example my full title is Dr Andrew Stapleton, PhD, MChem.
  • The doctor title at the front can be used as a variant to the PhD at the end.

It can be a little bit ambiguous if I was to use Dr Andrew Stapleton, PhD as there are two markers. This could mean that I have two PhD’s, it could mean that I have a PhD and a medical doctorate, or it could just be that I want to use both the doctor and the PhD tags for the one degree.

However, in my experience, I still like to use both the title of doctor at the front and the PhD tag at the end of my name for official purposes.

Academics would rarely use the PhD suffix in everyday communication. They would much rather just use the doctor title.

What is the proper title for a PhD with a doctorate degree?

The proper title for a PhD is Doctor of Philosophy. However, some teachers and professors like to be referred to without their official title.

If you are not sure about how your professor, lecturer, or friend with a PhD wishes to be officially addressed you can ask them.

Most of the time, I like to refer to my colleagues with their doctor title for official purposes, but I do not include the type of doctoral degree at the end of their name. That is much better suited to a business card.

Your lecture may wish to be referred to as:

  • Dr [last name]
  • Dr [first name]

Asking them in the early stages of your relationship is the best way to work out which one they prefer.

If in doubt, always go for the more formal name and nomenclature.

When can you start to use your PhD title after your doctorate? As a PhD student? After your phd thesis?

When you have earned your PhD, you, as a person with a doctoral degree, can start using your title immediately. Although, it can be a little bit confusing as to when you have actually passed your PhD. Is it when you have submitted your dissertation for the advanced degree? Is it when you have received the comments back?

The University of Adelaide says that you can use it from your conferral date:

Students can be conferred on one of five dates during the year and for PhD students the conferral date will be the first available following the completion of all the academic requirements of your degree, including final thesis lodgement and the disbursement of any outstanding financial obligations to the University.

I started using my PhD title as soon as my confirmation letter arrived at my house. It was the first letter from the University that referred to me as Dr Stapleton. I was incredibly excited.

Generally, it is acceptable to use the title “Dr.” both professionally and socially but socially, people very rarely use it – at least in Australia. But you should never use it if you are a PhD student, PhD candidate or enrolled in a PhD program without a previous PhD qualification. 

I do use it in professional settings but it always makes me feel a little bit awkward.

However, there may be some restrictions for certain settings . For example, if have a research degree resulting in a doctor title and you are working in a medical setting – some institutions do not like you to use Dr as it can confuse patients into thinking that you have a medical degree. 

Instead, they ask that you use the PhD tag at the end of your name rather than the doctoral title for official and professional communications.

What is the correct way to write PhD?

When writing about someone’s PhD, the correct way is to write the term in full and capitalize each letter.

This should be done for all academic degrees, not just PhDs.

For example, it would be “Doctor of Philosophy” or “PhD” instead of “Ph.D.”, “Dr.”, or “DPhil”.

Additionally, it is common to mention the field of study in which the degree was earned if known, such as “Doctor of Philosophy in Mathematics”. It is also good practice to include the institution that granted the degree if it is a recognized one.

When writing about someone’s PhD, use proper capitalization and include relevant information like field of study and institution if known to ensure accuracy.

How do you put a PhD in a title?

Putting a PhD in a title is not as complicated as it may sound.

Generally speaking, the proper way to list a PhD in an academic or professional setting is by writing “Dr.” before the name, followed by the person’s full name and the appropriate abbreviations for their degree.

For example, if John Smith has earned a doctorate in psychology, his credentials would be listed as “Dr. John Smith, Ph.D.”

In some cases, such as when addressing someone formally in speech or on a business card, it may also be acceptable to list their credentials as “John Smith, Ph.D.”

Depending on context and personal preference, some people may also choose to list their higher degrees after their names by writing out the entire degree instead of just its abbreviation.

For example, John Smith could choose to write his full title as “John Smith, Doctor of Psychology”

However, I have not seen this in real academic life.

Should the font size of Ph.D. be the same as someone’s name?

The question of whether the font size of a Ph.D. should be the same as someone’s name is an interesting one.

On one hand, it could be argued that the Ph.D. deserves to be highlighted and therefore should be given a larger font size than someone’s name to denote its importance.

On the other, it could be argued that this would not be necessary or appropriate, and that treating everyone equally regardless of their title or degree is more important.

It depends on context and usage – if both names appear in the same document then they should likely have the same font size; however, if one appears in a formal setting such as a diploma or certificate, then it may make sense to give it a larger font size than someone’s name to emphasize its importance and significance.

Ph.Ds (or PhDs) are an important academic achievement and should be respected accordingly but without going overboard by giving them overly large fonts sizes which can take away from rather than add to their importance.

How to Write a Great PhD Research Proposal

You'll need to write a research proposal if you're submitting your own project plan as part of a PhD application. A good PhD proposal outlines the scope and significance of your topic and explains how you plan to research it.

It's helpful to think about the proposal like this: if the rest of your application explains your ability to do a PhD, the proposal demonstrates the actual PhD you plan to do. Of course, being able to effectively plan and explain a research project is one of the key qualifications for being able to complete one, which is why the proposal is such an important part of the PhD application process.

Thankfully, the secret to writing a good research proposal isn't complicated. It's simply a case of understanding what the proposal is for, what it needs to do and how it needs to be put together.

What is a phd research proposal.

First things first, do you need a research proposal for your PhD? It depends on the kind of project you want to do:

  • If your PhD is advertised by a university, you probably won't need to submit a research proposal for it. The broad aims and objectives for your PhD will already be defined: you just need to prove you're the right person to do it.
  • But, if you're proposing your own research topic to research within a university's PhD programme, you will need to write a proposal for it (the clue is in the word "proposing")

As a rule, advertised PhDs are very common in STEM subjects, whereas Arts, Humanities and Social Science students are more likely to propose their own PhDs.

Some PhD programmes actually wait and ask students to develop their research proposal during the degree (usually after they've completed some initial training). This is normal in the USA , but it's becoming more common for some UKRI-funded UK PhDs.

For the purposes of this guide we're going to assume that you do need to write a good research proposal for your PhD application. So let's explore what's involved in that.

What should a research proposal for PhD admission include?

It's natural to be a little intimidated at the thought of structuring a PhD proposal, particularly if you've never written anything like this before.

But here's the thing: a research proposal isn't a fiendish test designed to catch you out and stop you ever doing a PhD. It's actually much more boring than that.

All a research proposal really is is a document that demonstrates three things:

  • Your PhD is worthwhile
  • Your PhD is feasible
  • You are capable of completing it at this university

Or to put it even more simply: the PhD is worth doing, it's doable and you can do it.

Demonstrate your PhD is worthwhile (the what and the why)

A successful PhD project has to make a significant original contribution to knowledge. If it doesn't, it won't meet the criteria for a doctoral degree and will probably fail the viva exam .

Your PhD proposal itself doesn't have to meet those criteria (or pass a viva!) but it does need to indicate that your PhD project eventually will.

It does that by first demonstrating that your research topic is original. That means nobody else has studied this same topic (or one very similar) before.

There are all sorts of ways a PhD can be original. You might examine new data or primary sources, to look at existing material from a fresh perspective, or deal with the impact of new events. It doesn't matter how your project is original, so long as your proposal is really specific about what makes it original.

You also need to explain why your proposed research will be academically significant. To do this properly, you'll need to acknowledge relevant existing scholarship and explain how your research will relate to it. You don't need to be exhaustive at this point, but you should be able to show how your PhD will contribute to its field and – ideally – indicate some of the gaps in knowledge it will aim to fill.

The final step in demonstrating your PhD is worthwhile is to suggest what will become possible as a result of your research. How could other researchers use or build upon your results? What might closing those gaps in academic knowledge mean for audiences outside the unviversity?

Demonstrate your PhD is feasible (the how)

It isn't enough just to show that your research is worth doing; it also needs to actually be doable.

The length of a full-time PhD is around three to four years in most countries (it's longer in for a PhD in the USA , but you don't spend all that time doing research).

Three years may seem like a long time, but researching a PhD is a lot of work and you'll probably spend at least some of your time on other activities like teaching, conference presentations or even publication.

So, one of the things your proposal needs to do is demonstrate that your project is feasible: that it fits within the scope of a PhD.

The most important criteria for this is to be clear about what you plan to do. It should be obvious from your proposal what the scope of your project is – what is and isn't included within it.

You also need to outline how you plan to go about your research. Where will you start and what order do you expect to proceed in? Is the logic for that obvious? If not, it's probably a good idea to explain it.

Finally, you need to explain the methodology you plan to use. This could include techniques for collecting data and sources, theoretical perspectives for analysing them – or both. You may also need to detail specific equipment you expect to use or fieldwork you'll need to undertake (including trips to archives or other external resources).

None of this needs to be exact or completely final. The key word here is 'plan' – but you do need to have one.

Demonstrate that you can complete it at this university (the who and the where)

So far we've thought about the project itself: what makes it worth doing and how it's going to get done. But your proposal also needs to address the who and the where: why are you the right person to carry out this research, and why do you want to do it at this particular university?

The first part of this is easier than it probably looks. Writing a good research proposal demonstrates enthusiasm for your project much more convincingly than simply saying you're very interested in it (a classic case of 'show, don't tell').

You also don't need to repeat your grades and academic achievements (other parts of your PhD application will cover those). Instead, try to underline experiences that relate to this project. Has a particular module or Masters dissertation topic prepared you with useful subject knowledge or methodological skills? If so, highlight it.

It's also fine, within reason, to be honest about the skills you don't have and to identify your training needs. This shows you're being practical about your project and thinking seriously about what it will require. Just make sure you can realistically acquire the skills and training you need within the time available (this goes back to the feasibility).

Showing your project is a good fit for the university is also relatively simple. There should already be some reasons why you've chosen this university for your PhD so make sure you explain what they are. Perhaps there's a particular supervisor you'd like to work with , or facilities and resources your research could use. The key is to emphasise the fit between the project and the university – so don't just say you want to research there because it's highly ranked .

PhD research proposal structure

Hopefully the above sections have given you a few ideas for the things your proposal needs to include. Let's be honest though, the scariest thing about a proposal isn't deciding what to include: it's actually writing it.

But, if we flip that on its head, we remember that all a research proposal really is is a piece of writing that follows a pretty standard format. And that's a lot less scary.

Research proposal structure

Because proposals for PhD all have to do the same things, they mostly follow a similar structure. Yours will probably go something like this:

  • Title – Keep it simple and descriptive: the clever alliteration and quotes can come later when you write up your thesis. For now, you just want the person reading this to know exactly what your research is about and, perhaps, which prospective supervisor to send it to.
  • Overview – Start by defining your research question (the what) and explaining how it contributes to current work in your field (the why). This is also a good place to reference one or two pieces of scholarship: the full literature review can wait until your PhD begins, but you should show that you have some understanding of relevant academic research.
  • Methodology – Make sure the reader understands the practical and / or theoretical approaches you'll take to your research. What data will you collect, how will you collect it and how will you analyse it? Ideally refer to relevant research methods and models. It's also a good idea to provide some sort of roadmap for how you'll go about things. Don't worry, you can change it later (and you will).
  • Outcomes and impact – What will exist as a result of your research (other than just another PhD on a library shelf) and what will it make possible? You don't need to identify every specific outcome from your project (blue sky research is fine) but you should think about what some potential outcomes might be.

You probably won't need to include a specific conclusion - it should be obvious, by now, what your project is doing, how you're going to do it and why that matters. A quick summary sentence is fine though, if you think it will help.

Writing tips

Being able to effectively communicate academic concepts, ideas and results is a key skill for PhD research in all subjects . Think of your proposal as a chance to demonstrate this.

The good news is that the key principles of good proposal writing aren't that different from other work you've probably done as a Bachelors or Masters student:

  • Be clear – The person reading your research proposal should know exactly what it is you're proposing to research, with no room for ambiguity and confusion. This is important on a practical level (they need to know where to send it) but it's also important to the success of your application: a confusing proposal suggests a confused project. Try having a friend read it and ask them "do you know what it is I'm proposing to do here?" (even if they don't understand the details).
  • Be concise – You will have more ideas than you can include in your proposal. That's fine. Choose the best ones and leave the others for your interview .
  • be coherent – Follow something like the structure above. Don't start with your methodology, then say what it is you want to research.

How long should a PhD research proposal be?

Honestly? As long as the university asks for it to be. Most will have guidelines and you should follow them closely if so.

If you honestly can't find a suggested word count for your proposal, then consider asking a prospective supervisor . If you still aren't sure, aim for somewhere between 1,000-2,000 words .

As a very general rule, Arts, Humanities and Social Sciences are a bit longer than STEM proposals (and a lot of STEM students don't have to write one anyway, as we've explained).

Research proposal for PhD admission - dos and don'ts

Research proposals are a popular topic over on the FindAPhD blog , where we've shared stories of how students wrote theirs , along with mistakes to avoid and a counter-intuitive look at the things a PhD proposal doesn't actually need to do .

Here are a few general tips and mistakes to avoid:

#1 Give yourself enough time to do a good job

Preparing to write a PhD proposal takes time and effort. None of this is wasted as the process of evaluating and framing your ideas for a proposal will improve your project plan immensely. So will the need to decide which ideas to include.

But you need time and space to do that, so make sure you get it. How long it will take to write your PhD proposal is heavily dependent on your personal working style, but you'll likely need to give yourself at least a few weeks to do a good job.

#2 Set out to impress

A good proposal isn't a begging letter. You're approaching the university with a great idea that's going to contribute to and enhance their research. Be honest, be realistic, but don't be unnecessarily humble. They should want you and your project.

#3 Demonstrate original thinking!

You may not need to present original research findings yet, but your proposal does need to present original ideas – and it should be clear why and how those ideas are original.

Make sure you indicate how your project is going to expand, enhance or even correct existing work in your field. Remember that making an "original contribution to knowledge" is a key part of what a PhD is .

#1 Send the same proposal to several universities

A good proposal needs to explain why you want to do your research at a particular university. That's a big part of the feasibility (the fit between project, person and place) and methodology (how are you going to use this university's equipment and archives; when and where will you need to travel).

It's OK to apply to more than one university in parallel, but, in that case, you're writing research proposals .

#2 Use online proposal templates (without evaluating them first!)

It can be tempting to search for PhD proposal samples on the internet, but make sure you evaluate what you find. Some websites may host old proposals from previous PhD students, but there's no way of knowing how relevant these are to your subject and university – or if they were even successful! More 'generic' research proposal examples can offer guidance, but they won't be tailored to your specific project.

The best place to look for a PhD proposal sample is your university. Consider asking your supervisor if they can share a good proposal from a previous student in your subject – or put you in touch with a current student you can ask.

#3 Confuse the proposal with the PhD

We've covered this on the blog , but it's simple enough to include here too.

You're setting out to do a PhD, but you (probably!) haven't done one yet. So you don't need to include research findings, in-depth analysis or a comprehesive literature review. You need to make a case for the research and analysis you want to do.

#4 Ignore your university's help and guidance

The advice on this page is necessarily quite general. We're considering adding guides to writing PhD proposals in specific subjects in future but, for now, the best place to get specific advice for your academic field is probably the university you're applying to.

What is a PhD thesis? And what is a PhD viva?

General College Writing Expectations

Writing as a college student can seem daunting, but drawing on your previous writing experience and relying on instructors and campus resources can help to ease the transition. Although writing assignments may differ, many have similar expectations to those listed below.

  • Understand what the assignment is asking . Assignment guidelines can be confusing or lengthy, and reading carefully and slowly can help to make sense of them.
  • Refer to assignment guidelines , rubrics, and class policies for questions about the assignment
  • Learn the conventions of your discipline , including genre, audience, citation style, and AI policies. Notice the writing style used in your field, then practice using it in your assignments.
  • Ask questions of instructors, writing center tutors, and librarians.
  • Present clear, coherent ideas . Consider if a reader would understand what you intend to say.
  • Maintain a professional tone appropriate for your audience and their needs.
  • Improve writing mechanics , such as spelling, grammar, and punctuation. Writing mechanics can be complicated, but your skills can improve with practice.

  • Outlining : Determine your main point for the writing assignment. Create sections with brief notes and develop your thoughts from prewriting.
  • Drafting : Elaborate on your outline and form sentences or paragraphs. Write about your thoughts and arguments in detail. If needed, add sources by using quotations, paraphrases, and summaries.
  • Revising : Read your draft and adjust it to clarify points and strengthen the argument.
  • Editing : Check for spelling, grammar, and punctuation errors. Change the format according to a style guide, example, or template.
  • Writing processes are cyclical and take time . The first draft is not your final draft. Steps such as drafting and revising often occur more than once.

How To Pay For A Ph.D.

If your heart is set on earning a Doctor of Philosophy (Ph.D.) degree, you’ll join an elite club. In the United States, only 4.9 million people—about 2% of adults—hold a Ph.D. or other doctoral degree.

A Ph.D. can lead to a significantly higher salary. According to The College Board, the median earnings for those with doctoral degrees was $120,700, 38% more than the median for those with master’s degrees.

However, earning a Ph.D. can be an expensive endeavor. To avoid racking up too much debt, learn how to pay for a doctorate with grants, scholarships and other sources of financial aid.

What Does a Ph.D. Cost?

If your goal is to earn a Ph.D., be prepared for a significant investment of both time and money. Depending on the type of university you choose and your program, a Ph.D. usually takes three to five years to complete. If you attend school part-time, it can take even longer.

According to the National Center for Education Statistics (NCES), tuition and fees cost, on average, $20,513 for the 2021-2022 academic year, so you’ll spend anywhere from $61,539 to $102,565 to complete a Ph.D. program. In addition, you’ll need to account for about $16,000 to $20,000 per year in added costs, such as room and board, supplies and other fees.

That total is on top of what you spent on a bachelor’s and master’s degree, so your education will likely cost well into the six figures. With such a high cost, it’s no surprise that many Ph.D. earners have substantial student loan balances.

7 Ways To Pay For a Ph.D.

Ph.D. costs can be significant, but a variety of financial aid opportunities can make the price tag more manageable. Paying for a Ph.D. is possible using the following options:

1. Fully Funded Ph.D. Programs

Fully funded Ph.D. programs typically cover the cost of tuition and fees, and they also provide a monthly stipend for living expenses and health insurance. Some examples of fully funded Ph.D. programs include:

  • Boston University . Attendees of Boston University’s Charles River Campus can take advantage of a fully funded model. The program includes 100% tuition coverage, a health insurance credit and a living expense stipend. Depending on your program, the stipend ranges from $27,318 to $40,977 per year.
  • Duke University . At Duke University, Ph.D. students are guaranteed five years of tuition and living stipends and up to six years of full health and dental insurance coverage. The amount of financial support varies by program and stipend amounts range from $2,538 to $3,217 per month.
  • Massachusetts Institute of Technology (MIT) Sloan School of Management . MIT’s fully funded Ph.D. program covers students for up to five years. The program pays for the full cost of tuition and provides students with a monthly stipend of $4,497, student medical insurance and a new laptop. Students also receive up to $4,500 for travel and conferences.

Not all universities offer fully funded Ph.D. programs, and existing programs are highly competitive. For example, the Stanford University Department of Political Science Ph.D. program selects 12 to 15 students per year.

2. Ph.D. Fellowship Programs

A fellowship program provides students with financial support so they can focus on their academic work. Issued based on the student’s academic merit or research achievements, fellowships may or may not have a service requirement attached.

Fellowships can come from universities, nonprofit organizations or government agencies. For example:

  • American Psychological Association (APA) Doctoral Fellowship in Health and Substance Abuse Services . The APA fellowship is for full-time doctoral students who are committed to working in behavioral health. It provides up to three years of financial support, and the stipend amounts vary by year and program.
  • Cornell Fellowship . Cornell University operates several fellowship programs. The Cornell Fellowship pays for one academic year of tuition, fees, health insurance and a stipend.
  • U.S. National Science Foundation (NSF) Graduate Research Fellowship Program . The NSF Graduate Research Fellowship Program is a five-year fellowship that gives students three years of financial support. The fellowship includes an annual stipend of $37,000 and pays up to $16,000 per year in tuition and fees.

3. Doctoral Scholarships

Scholarships are available to Ph.D. students, and these merit-based awards can come from nonprofit organizations, private companies, states and government agencies. The award amounts vary, ranging from smaller awards that may only cover incidental expenses to more substantial awards of $20,000. For example:

  • Accounting Doctoral Scholars Program . Certified public accountants (CPAs) intending to earn a Ph.D. in accounting can qualify for up to $20,000 through the Accounting Doctoral Scholars Program.
  • American Library Association (ALA) Century Scholarship . The ALA Century Scholarship gives up to $2,500 to library school students with disabilities pursuing a doctoral degree.
  • Washington State American Indian Endowed Scholarship . In Washington, Native American students can receive $500 to $2,500 to pay for their education at an eligible school within the state.

4. Ph.D. Grants

Unlike scholarships, grants are usually awarded based on the student’s financial need. Ph.D. grants can be issued by states and nonprofit organizations. For example:

  • José Martí Scholarship Challenge Grant Fund . This grant, issued to Hispanic students in Florida, is both need-based and merit-based. Eligible recipients can receive up to $2,000 per year.
  • Organization For Autism Research Graduate Research Grant . Doctoral candidates conducting autism research can qualify for a grant of $2,000.
  • Virginia Tuition Assistance Grant Program . Virginia residents attending an eligible university can receive between $5,000 and $12,500 per year in financial assistance.

5. Employer Reimbursement

If you’re currently working full- or part-time, your employer may be willing to help with some of your education expenses. According to the Society for Human Resource Management, 48% of employers offer tuition assistance or reimbursement benefits.

6. Federal Student Loans

Depending on the other financial aid you qualify for, you may need to borrow some money to cover your remaining expenses. Federal student loans are a good starting point since they have more borrower protections than other options, and you may qualify for loan forgiveness later on based on your employment.

Ph.D. students may qualify for either direct unsubsidized loans or grad PLUS loans. Unsubsidized loans have lower interest rates but have annual and aggregate borrowing maximums that your program may exceed. If that’s the case, you can use grad PLUS loans to pay for your remaining expenses.

7. Private Student Loans

If you aren’t eligible for federal loans or need to borrow more than the federal limits allow, private student loans are another way to pay for your Ph.D. Private loans come from banks, credit unions and other lenders, and your loan eligibility is based on your credit, income and whether you have a co-signer (someone who agrees to repay the loan if you miss payments).

If you have excellent credit, you could qualify for private loans with lower rates than you’d get with federal loans, and private student loans can have terms as long as 20 years.
